Capture the post promptly, save its direct URL and surrounding context, and keep an unchanged copy alongside fuller records such as platform downloads, messages, and original media. A screenshot is useful, but it may not show everything needed to explain or authenticate what appeared online. Preservation and admissibility rules vary by jurisdiction; if a dispute is urgent or high-stakes, contact a lawyer in the relevant jurisdiction. No checklist guarantees that a court will admit the material.
What to save before a post is deleted
Make a record of what appeared, where it appeared, and how you collected it. For the post or page, preserve:
- The full visible statement and enough preceding and following content to show the conversation or thread.
- The displayed account, profile, publisher, or page identity.
- The direct URL or platform location. Do not rely on a screenshot of the post if it omits the address.
- The capture date and time, including the time zone, and the name of the person who collected it.
- The device and software or method used to capture or download the material.
- Related replies, reposts, notifications, direct messages, emails, attached media, and other records that help explain the publication.
This is practical preservation guidance, not a universal legal format. The UK Practice Direction 31B describes electronic documents broadly, including email, texts, voicemail, files on devices and servers, deleted data, metadata, and embedded data: Practice Direction 31B.

Are screenshots enough?
Use screenshots as one part of the record, not the whole record. They can preserve visible text and context quickly, but may omit dates, times, recipients, metadata, or other page details. Capture the browser address bar if practical, or write down the direct URL separately. If the post is part of a thread, capture enough of the exchange that it is not reduced to an unexplained fragment. Also use the platform’s export or download function when it provides relevant post or account data, and download attached photos, videos, or documents in their original available formats.
Do not crop, annotate, recompress, or edit the only preserved copy. If you need redactions or notes for discussion, create a separate working copy and retain the original unchanged.

How to preserve the material step by step
- Capture what is visible now. Take screenshots that include the statement, account or page identity, and surrounding context. Save the direct URL and record the time, time zone, collector, device, and capture method. If the material changes or disappears, take a new capture and note that it is a later capture rather than replacing the earlier one.
- Save fuller records and native files. Use the platform’s own export or download tools where available. Save relevant messages, notifications, replies, reposts, and original attached files. UK PD 31B discusses native formats and metadata in the context of electronic documents: Practice Direction 31B.
- Write a collection note. For each item, note who collected it, when and in what time zone, the URL or platform location, the device/software used, and the steps taken to capture or download it. A clear account of how an electronic record was retrieved can matter when its authenticity is disputed.
- Keep an unchanged master and a separate working copy. Store secure copies, make a second backup, and limit access. A removable storage device such as a USB drive can hold a separate copy; it does not authenticate the material or make it legally admissible.
- Do not delete related records or escalate publicly before preserving them. Avoid replying in anger, reposting the accusation, or altering relevant account data before saving pertinent material. If litigation is contemplated, do not delete relevant messages, accounts, or files; ask a lawyer in the relevant jurisdiction what to preserve and what steps to take next.

Can a capture prove who posted it?
A capture can document what appeared at a page or account when it was collected. By itself, it does not necessarily prove who authored or published the words. Account identity, control of an account, authorship, and admissibility are separate questions that may require other records or testimony.

US Federal Rule of Evidence 902 includes provisions for self-authentication of certain electronic processes and records. Its example discusses a webpage printout accompanied by a certification describing retrieval; authentication does not independently establish authorship or resolve hearsay, relevance, or every other objection. See Federal Rule of Evidence 902. That US rule is not a universal standard and does not determine the rules in other jurisdictions.

None of these methods guarantees admission in court. The appropriate level of preservation depends on the dispute, the available platform records, and the applicable jurisdiction.

When legal procedure matters
In the UK, Practice Direction 31B says legal representatives must notify clients of the need to preserve disclosable documents once litigation is contemplated. It also addresses electronic-document scope, metadata, and native format. These are UK procedural materials, not a worldwide rule.
The UK Pre-Action Protocol for Media and Communications Claims applies to specified claims under CPR 53.1, including defamation and certain claims arising from online or social-media publication.
