Prepare a guest by sending the correct join link and schedule, then testing their camera, microphone, audio, lighting, and connection before the broadcast. A laptop’s built-in camera and microphone are often enough if they work well in a rehearsal; headphones or earbuds can help prevent echo. The host should also test the show’s stream destination, scenes, and chat plan.

1. Send a clear invitation

Give the guest the details they need in one message so they know where to go and what to expect.

  • Date and start time, including the time zone
  • Expected duration and a brief description of the show format
  • The guest’s join link and the platform’s current browser or device guidance
  • Whether they should prepare slides, share their screen, or have any other material ready
  • A contact method in case they cannot enter the session
  • When to join for a camera and microphone check

Explain how you will handle a connection problem—for example, reconnecting through the same link or continuing with audio if video fails. Follow the selected service’s current instructions. 2. Check the guest’s space, device, and connection

Start with the equipment they already have

A computer with a webcam and microphone is a practical baseline for a remote guest. Mobile participation may also be possible, depending on the platform and its current requirements. Have the guest join from the device they will actually use on air; switching devices at showtime can introduce new permission or input problems.

Ask them to close applications and browser tabs they do not need, especially if they will share a screen. If possible, have them use a stable connection; Ethernet is worth trying when available. For Riverside specifically, its help center recommends download faster than 10 Mbps and upload faster than 5 Mbps for a smooth live conversation with other participants. That is Riverside’s recommendation, not a universal threshold for every service: Riverside connection guidance.

Test microphone and headphones

Have the guest select the microphone they intend to use and speak at their normal volume for a few sentences. Listen for low volume, clipping, room echo, fan noise, or sound coming from the wrong input. Headphones or earbuds can reduce the chance that speaker audio feeds back into the microphone; StreamYard recommends them for preventing audio echoes in its guest instructions.

An external microphone is optional, not a prerequisite. Consider one only if the built-in microphone does not sound acceptable in the test. A microphone closer to the speaker’s mouth may pick up less background noise, but intelligible, echo-free speech matters more than owning particular gear.

Improve the camera view

  • Put the camera near eye level and frame the guest comfortably.
  • Place a light source in front of the guest, ideally near the camera. Avoid a bright window or lamp behind them that leaves their face dark.
  • Choose a quiet, simple background that does not distract from what they are saying.
  • Check the framing and lighting in the actual video-call view, not just through a separate camera preview.

Zoom’s May 2020 technical guide supports the general setup principles of testing from the attendee perspective and using front lighting rather than backlighting; its dated hardware and bandwidth specifications should not be treated as current universal requirements: Zoom host and panelist setup guide. Google’s Live Streaming Guide also recommends choosing a setting that does not distract from the message.

3. Rehearse the whole show before broadcast

A short check with the guest is useful, but a private or unlisted end-to-end test can catch problems that a camera check alone will miss. Google recommends testing the internet connection, camera framing, audio capture, and lighting before a live stream.

  1. Have the guest join using the invitation link, grant camera and microphone permissions, and select the intended devices.
  2. Speak and listen from the host’s side. Confirm that the guest is clear, audible, and free of disruptive echo or background noise.
  3. Check the guest’s framing and lighting, then make any adjustments before the real broadcast.
  4. Run a private or unlisted test when possible. Verify the stream destination and that the host’s scenes or layouts are ready.
  5. If using Riverside, send its guest checklist in advance, make a test recording, prepare scenes, and check the destination status on the day. Riverside says video may take around 30 seconds to appear on destination sites, so allow time before treating a brief delay as a failed connection.   6. Decide who will monitor chat. If nobody can moderate it, consider turning chat off. If the guest will answer viewer questions, agree on how the host will signal a question and when the guest should hand back.

Keep control of the broadcast on the host side. StreamYard’s instructions note that guests cannot start or stop the broadcast or control layouts and graphics, so make sure the host—not the guest—is ready to manage those tasks: StreamYard guest instructions.

4. Day-of checklist

  • Send a reminder with the start time and join link.
  • Ask the guest to join early enough to confirm camera, microphone, permissions, and connection.
  • Confirm the intended camera and microphone are selected, and listen for echo or background noise.
  • Check the guest’s lighting and framing in the live production view.
  • Confirm the destination is ready, the planned scenes are available, and any screen share or slides work.
  • Know who is monitoring chat and how audience questions will be handed to the guest.
  • Use the agreed fallback if a device or connection fails, rather than spending the opening of the show troubleshooting without a plan.
