To perform regression testing manually, choose checks that cover the changed feature, its dependencies, and the business workflows most likely to be harmed; run them against a known build and test data; compare each observed result with its expected result; and record failures, evidence, and untested risks. Retest fixes and rerun related checks before reporting what the run did—and did not—cover.
What manual regression testing checks
Regression testing follows a change to confirm that the software still behaves as expected and that the change has not introduced defects. The change may be in code, configuration, or data; it is commonly performed before a change reaches production. It can be manual or automated. Microsoft’s testing guidance describes combining coverage of critical business processes with extra testing of changed features.
Manual execution means a person follows test steps, observes the product, and judges whether actual behavior matches the expected outcome. It is especially useful when a workflow is new or ambiguous, visual behavior needs judgment, or exploratory investigation could reveal interactions that fixed scripts would miss. Stable, frequently repeated checks may be candidates for automation as the suite grows, balanced against the cost of creating and maintaining automation.
How to perform regression testing manually
- Understand the change. Read the change description, affected requirements or stories, defects fixed, configuration or data changes, and known dependencies. Identify direct effects and less obvious user journeys that rely on the changed area.
- Choose a defensible scope. Include critical end-to-end workflows, cases for the changed behavior, and cases for connected processes where a failure would matter. Use impact and risk to decide whether to run a near-full suite, a prioritized subset, or a targeted set—and document what remains untested.
- Prepare the environment and data. Use a development, test, or preproduction environment appropriate to the change. Record the build and relevant configuration. Prepare representative data, user permissions, and starting state for each case.
- Run each case consistently. Follow the steps in order, compare behavior with the expected outcome at important checkpoints, and record pass, fail, or blocked. Include the tester, build, environment, data variation, and concise notes.
- Investigate and record failures. Capture reproducible steps, expected versus actual results, impact, and useful evidence. Link or file a defect. Check whether the discrepancy is a regression, a setup or data problem, or an intentional change.
- Retest fixes and check for side effects. Verify a fix in the environment where the defect occurred. Then run relevant regression cases around the fix to look for unintended effects. Update cases when intended behavior or workflow has changed.
- Report the run and maintain the suite. Summarize the build, environment, cases selected and run, outcomes, defects, blocked checks, and residual risks. Link cases to requirements, stories, and risks; review them after incidents or workflow changes, retire obsolete cases, and add checks for escaped defects when appropriate.
Choose scope by risk, impact, and time
No single scope is right for every release. A near-full suite offers broader coverage but can demand substantial manual effort. A narrow change-targeted run is quicker, but it depends on reliable knowledge of the change’s impact and can miss indirect effects. A risk-prioritized run gives important functions attention first, while making its coverage tradeoffs explicit.

Traceability between requirements, user stories, risks, and cases helps identify what to rerun or revise. The ISTQB Advanced Level Agile Technical Tester syllabus treats impact analysis, risk-based selection, exploratory testing, and traceability as complementary techniques, not a universal one-size-fits-all rule. A selected set passing means those checks met their expected outcomes; it does not show that untested areas are defect-free.
Write test cases that produce useful evidence
A manual case should be specific enough that another tester can reproduce it. State the precondition, action, and observable expected outcome. A useful structure is “Given [starting condition], when [action], then [expected result].” Link the case to its requirement or user story and note data, permissions, and configuration that affect the result.
- Precondition: the account, system state, permissions, and data required before starting.
- Action: the steps the tester performs, in order.
- Expected result: the visible or otherwise verifiable outcome at each meaningful checkpoint.
- Evidence: concise notes or artifacts needed to evaluate the result or reproduce a failure, handled according to the organization’s data rules.
For example: “Given an active account with an unpaid invoice, when the user submits a valid payment, then the invoice shows paid and the account balance reflects the payment.” The case should also specify what makes the payment valid in the relevant test environment. This prevents an ambiguous pass based only on the page appearing to load.

Microsoft’s Azure Test Plans documentation describes cases with steps and expected results, configurations, manual execution, captured results, screenshots, and recordings. These are examples of how a team can organize evidence, not prerequisites for running a manual test.
Execute, classify, and report results
Keep the run record close to the test case or defect so results can be traced to the exact build and conditions. Use consistent outcome labels: pass when the expected behavior is observed; fail when actual behavior differs; blocked when the case cannot be evaluated because a prerequisite, environment, or dependency is unavailable. Do not silently omit a case that could not run.
For a failure, record:
- Build/version, environment, tester, and relevant configuration.
- Starting state and test data, without exposing sensitive data unnecessarily.
- Steps to reproduce and the point where behavior diverged.
- Expected and actual outcomes, plus impact or severity according to the team’s conventions.
- Relevant screenshot, recording, or log reference when it helps reproduce or assess the issue.
Before labeling a discrepancy a regression, check whether the environment is healthy, data and permissions are correct, and the behavior was intentionally changed. File or link a defect when appropriate, communicate blockers promptly, and rerun the affected case after a fix. The report should state the chosen scope and the untested risks as clearly as the pass/fail counts.

When manual testing is the right choice
Manual testing is a good fit when a person needs to interpret visual quality, explore a new interaction, investigate unclear behavior, or test a rapidly changing workflow. Fixed manual steps are less attractive for stable checks repeated on every change: as volume and frequency rise, automation may reduce repetition, but introduces implementation and maintenance costs. A balanced suite preserves human exploration while automating repeatable checks when the risk and economics justify it.
Microsoft’s guidance identifies exploratory work and fast-changing user interfaces as areas where manual testing remains useful, while discussing automation investment in relation to defect risk and maintenance cost. For later automation, it names UI tools such as Playwright and Selenium and API tools such as Postman or RestAssured; those tools are not required to perform a manual regression run.

A small team can start with a case list, a shared run record, and a reliable way to file defects. The important qualities are traceability, repeatable setup, and a clear record of outcomes—not a particular product. A test-management system can help when many cases, configurations, testers, or linked defects need coordination. Azure Test Plans is one documented option for plans, suites, cases, manual execution, and linked results, but tool fit depends on licensing, usability, workflow integration, and maintenance needs.
