To encrypt a Word file, use desktop Word’s Encrypt with Password command on Windows or its document-protection settings on Mac. These are different workflows: a PDF can also have a separate permissions password to limit printing or editing, while Word for the web cannot encrypt a document with a password.
Keep the password somewhere secure before you share the file. If you lose it, recovery may not be possible.
Choose the protection you actually need
“Password-protect” can mean either preventing a file from opening without a password or limiting what someone can do after opening it. Pick the protection based on the risk you are trying to address:
- Require a password to open: A recipient must enter the password to view the document. This is the relevant choice when you want to restrict access to its contents.
- Restrict actions in a PDF: A permissions password can limit printing, editing, or copying. It is distinct from the password needed to open the PDF, and some third-party PDF products may not enforce these restrictions in the same way.
- Protect a Word document: Word desktop can encrypt a document with a password. Mac’s protection settings also let you choose whether to require a password to open, modify, or both.
These controls do not remove the practical need to share the password safely. Send it separately from the file when possible, and use a secure password manager or another safe storage method so you can retrieve it later.

Put a password on a PDF in Adobe Acrobat
Adobe’s Acrobat desktop instructions, updated December 5, 2025, describe a simple protection workflow that lets you choose whether the password is for viewing or editing. To make the PDF ask for a password as soon as someone opens it, use the more specific document-open encryption option instead.
Require a password before the PDF opens
- Open the PDF in Acrobat desktop.
- Choose All tools > Protect a PDF.
- Under Advanced Options, choose Encrypt with Password, then select Yes if prompted.
- Select Require a password to open the document.
- Enter the Document Open Password and confirm it.
- Acknowledge the security message, then save the PDF.
Save the file after applying protection, then verify that it prompts for the password when you reopen it. A password that merely restricts editing is not the same as a password required to open the document.
Use Acrobat’s simpler password option
- Open the PDF and select All tools > Protect a PDF.
- In the left pane, choose Protect with password.
- In the dialog, select whether the password applies to Viewing or Editing.
- Enter and re-enter the password, then select Apply.
Choose the viewing option if your goal is to require a password before a person can view the PDF. If you need specific printing, copying, or change controls, use the permissions workflow below instead.

Limit printing, editing, or copying in a PDF
- Go to All tools > Protect a PDF > Encrypt with Password and select Yes if prompted.
- Under Permissions, select Restrict editing and printing of the document.
- Choose a Printing Allowed level: None, Low Resolution, or High Resolution.
- Choose the appropriate Changes Allowed level.
- Decide whether to allow copying of text and images and access to text for screen readers.
- Enter and confirm the Change Permission Password, then save the PDF.
The Change Permission Password governs the restrictions; it is not necessarily the password a reader enters to open the PDF. Adobe’s learning material cautions that some third-party products may not enforce selected restrictions. If a recipient’s ability to print or copy matters, test the protected file in the software they will use rather than assuming every PDF viewer treats permissions identically.
Password-protect a Word document in desktop Word
Use the desktop application to encrypt the file. The menu path differs by platform.
Windows
- Open the document in Word.
- Choose File > Info > Protect Document > Encrypt with Password.
- Type a password and select OK.
- Type the password again to confirm and select OK.
- Save the file so the password protection takes effect.
Reopen the saved document to check that Word asks for the password. Word passwords are case-sensitive and Microsoft says they can be a maximum of 15 characters.

Mac
- Open the document in Word for Mac.
- Choose Review > Protect > Protect Document.
- Under Security, choose whether a password is required to open the document, modify it, or both.
- Enter and confirm the password or passwords, then select OK.
- Save the document.
Choose an open password when the goal is to keep the contents inaccessible without permission. A modify password serves a different purpose: it controls editing rather than simply requiring a password to view the document.
Word for the web
Word for the web cannot password-encrypt a document, and it cannot edit a password-encrypted document. In the web app, use Open in Word to switch to the desktop application, then use the appropriate Windows or Mac steps above. Do not assume that applying protection in desktop Word will make the encrypted file editable in the browser.
What to do if you forget the password
For Word, Microsoft says it cannot recover a forgotten password. An IT administrator may be able to help only if the organization implemented Microsoft’s DocRecrypt tool before the document password was created. Adobe’s learning material likewise warns that a lost Acrobat password cannot be retrieved.

Before encrypting a file, record its password in a secure password manager or another safe location you can access when needed. If you have already lost it, first check for a saved copy or ask the person who created the protected document. Do not count on changing file permissions, switching apps, or sending the file to someone else to recover a password that is not available.

Protection only works smoothly if the recipient can open the file and obtain the correct password. Before sending it, check that you have saved the protected version, that the password is recorded securely, and that you have told the recipient how you will share it. For PDFs with print or editing restrictions, confirm those controls in the recipient’s intended viewer; third-party enforcement may differ.
Use a strong, unique password that you can still communicate accurately. For Word, remember that the password is case-sensitive and subject to the stated 15-character maximum. Avoid putting the password in the same message or attachment as the protected file if that would defeat your purpose.

Troubleshooting password protection
- The PDF opens without asking for a password: You may have set an editing or permissions password rather than a Document Open Password. In Acrobat, use Encrypt with Password and select Require a password to open the document.
- A PDF recipient can still print or copy: The restriction may not be enforced by that person’s PDF software. Check the chosen permissions in Acrobat and test using the same type of viewer the recipient will use; Adobe cautions that third-party products may not enforce restrictions.
- Word for the web will not open or edit the protected file: This is expected for a password-encrypted document. Use Open in Word and continue in desktop Word.
- Word rejects a password you believe is correct: Check capitalization because Word passwords are case-sensitive. If the password has been forgotten, Microsoft says Word cannot recover it; check your secure saved record or contact an IT administrator if DocRecrypt was implemented before the password was set.
- The file appears unprotected after you set a password: Make sure you saved it after applying the setting. Close and reopen the saved copy to verify the prompt.
