Use a consistent hostname label and a searchable catalog—not folders alone—to organize a large screenshot collection. Keep the original files safe, decide whether subdomains count as separate sites, then group files by domain and record useful details such as page, capture date, and subject. This makes it possible to find a screenshot by site without losing the context that distinguishes one capture from another.
Choose a system that is easy to search and recover
Folders provide a predictable place for files, but a folder tree alone cannot conveniently represent every way you may want to retrieve a screenshot. A domain can contain home, pricing, documentation, and product pages; captures can also belong to different projects or dates. Use folders for storage and tags or searchable metadata for those additional attributes.
Before changing anything, make a backup or working copy. Inventory the existing names, locations, formats, and apparent duplicates. If you plan to move or rename files, record their original paths or filenames first. Test the full process on a small copy and confirm that the result is searchable and recoverable before applying it to the archive.

Use the hostname as the primary domain value, normalized according to a rule you write down. For example, lowercase hostnames and decide explicitly whether to treat www.example.com as example.com or as a distinct hostname. Preserve subdomains when they identify meaningfully different services or products, such as docs.example.com and shop.example.com. Do not silently merge them: a consistent distinction is more useful than a simpler but ambiguous label.

Keep the hostname separate from page details. Record the page path or title, capture date or timestamp, and a short description as separate fields or tags when those details are available. A filename can help identify an image, but it should not have to carry the entire catalog.
Build a practical folder and naming convention
A simple example is screenshots/example.com/2026/, with a filename such as example.com__pricing__2026-10-03__01.png. This is a suggested convention, not a required standard. Adapt the date precision to your collection, and add a sequence number when multiple captures could otherwise produce the same name.
- Use the normalized hostname consistently in the folder, tag, or both.
- Use a short page title or page type in filenames only if it helps scanning; keep the full path or longer description in the catalog.
- Keep capture dates in a consistent format so names sort predictably.
- Preserve the original filename in a catalog field or metadata when renaming would make it difficult to trace a file back to its source.
Catalog by domain, page, and project
Start with a small set of fields or tags that match likely searches: domain, page type, project, capture date, and review state. Examples of page-type tags include home, pricing, docs, and product. Add more only when you have a real retrieval need; a complicated taxonomy is harder to apply consistently.

When comparing cataloging options, check ordinary-folder portability, tag and metadata export, searchable fields, batch-operation previews and recovery, duplicate review, supported formats and platforms, and current price or program terms.
Rename and move files without losing the originals
If filenames are opaque, batch renaming can make a collection easier to scan. Work on a copy or a small test group first, and preview every generated name. Confirm that names will not collide, especially for multiple captures from the same domain and page. Keep a record of original names or use an available option to preserve them in metadata; do not assume every file format or application will preserve and read that metadata identically.

Adobe Bridge documents a Batch Rename preview and an option to preserve the current filename in XMP metadata. Its controls can also place renamed files in the same or another destination folder, compose filenames from selected elements, and substitute strings, including with regular expressions. These controls help review a proposed operation, but they do not make a bulk rename risk-free.

Metadata can help keep descriptions and capture details searchable, but Exif, IPTC, and XMP do not serve identical roles. The digiKam 9.2.0 manual describes Exif primarily as camera and configuration information, and IPTC and XMP primarily as post-processing text metadata such as author and copyright. The same manual warns: “Synchronizing metadata may produce undesired results because Exif is limited to the ASCII character-set.” Keep edits to camera-origin fields conservative and test metadata synchronization before applying it broadly. IPTC publishes guidance for its photo metadata fields and mappings among IPTC Photo Metadata, Exif tags, and Schema.org properties; those mappings do not guarantee that all applications store or interpret fields the same way. Review duplicates and test retrieval
Use identical-file or similar-image discovery to find candidates, but inspect them before deleting anything. Two screenshots that look alike may show different dates, page states, or experiments. Eagle documents both identical-file scanning and similar duplicate-image finding, but no accuracy rate or specific behavior for your archive is established.
- Search for several representative domains, including a subdomain if your convention keeps subdomains separate.
- Search by a page title or page type as well as by domain.
- Open a few results and verify that the filename, tags, and metadata still identify the intended capture.
- Check that a moved or restored copy remains findable in the catalog you plan to use.

Use whichever makes the domain easy to retrieve in your catalog, and keep a predictable folder layout for storage. If your catalog supports both, using a domain tag alongside folders can serve different retrieval needs.
Should www and non-www versions share a domain label?
Choose a rule that suits how you search, document it, and apply it consistently. Keep distinct subdomains separate when they represent different services or products.
Can I delete similar-looking screenshots automatically?
Do not rely on visual similarity alone. Review candidate duplicates because different capture dates or page states can make similar images meaningfully distinct.
