Organize research notes by the question your piece must answer, and keep each useful finding attached to its source and location. Then label quotations and paraphrases, group evidence by the points you need to make, and outline from those groups. A document, spreadsheet, notebook, index cards, citation manager, or linked-note system can work; choose the simplest setup that lets you retrieve and attribute evidence reliably.
1. Start with the question your writing must answer
Write the central question at the top of your notes. It gives you a test for whether a fact belongs: does it help answer the question, establish relevant context, or reveal a useful disagreement? If not, leave it out of the working set. Revisit the question as your reading changes what you need to find. Cornell University Library advises beginning with a research question and adapting the method to the assignment or project: Cornell’s research guidance.
Turn the question into a few search terms or subquestions. For example, a question about how remote work affects onboarding might become: what onboarding practices are used, what outcomes are reported, and what limits or differences appear in the evidence. These subquestions can become provisional groups later; they are not yet your final outline.
2. Record where every useful finding came from
Save source details at the same time you save a passage or finding. If source identity lives in one file and the evidence in another, it becomes easy to lose attribution or waste time searching for the original again.

- Retrieval information: URL or DOI when relevant, plus a page, section, paragraph, or timestamp that takes you to the material.
- Evidence: the quotation, paraphrase, summary, or finding you may use.
- Your note: why it matters to the question, what it supports, or what you still need to check.
A citation manager can store and retrieve reference details and may help insert citations or create a bibliography. Cornell describes these uses in its citation-management guidance. For a small project, a document or spreadsheet with the same fields may be enough.
3. Separate evidence from your interpretation
Make it unmistakable which words came from a source and which are yours. Put exact wording in quotation marks and label it as a quotation. Mark a paraphrase or summary as such, and keep its source and locator beside it. Then add your own brief explanation of how the evidence relates to the question.
A practical entry might look like this:
- Source: Organization, title, publication details, and link.
- Location: Page, heading, or timestamp.
- Evidence type: Direct quotation, paraphrase, or summary.
- Evidence: The source’s exact words or your faithful restatement.
- My note: What this helps establish, and any question or qualification to follow up.
This distinction protects against accidental plagiarism and makes drafting easier: you can see what a source says without mistaking your reaction for its conclusion. Cornell’s writing guidance recommends recording questions and reactions alongside information drawn from sources: notes and quotations.

4. Build an evidence chart you can sort
Once you have several useful entries, arrange them in a chart that connects each source to a finding and to your purpose. Include a locator so you can verify the passage later.

This chart is a practical way to apply Cornell’s advice on taking notes and recording source material; it is not a proven universal format. Use whatever columns help you compare evidence without separating it from its origin.
5. Group the evidence into the points your draft needs
Sort or tag entries by the claim, subquestion, or theme they may support—not just by the source they came from. As you group them, look for:

- Evidence that converges on the same point.
- Sources that disagree or define a term differently.
- Claims with only one weak or indirect source.
- Gaps where you need more evidence, a qualification, or a narrower claim.
This grouping is an editorial step that makes the chart useful for planning; it does not establish that one note system produces better writing than another.
6. Turn the groups into a short outline
Give each planned section a job: a question it answers or a claim it explains. Place the relevant evidence beside it, including source and location. A simple outline entry could be:
- Section point: What the reader should understand.
- Evidence: Which notes support the point, with locators.
- Open issue: What remains uncertain, contested, or unsupported.
If a planned factual claim has no source attached, return to the material or qualify the claim. If a note supports no section and does not resolve an important question, it may not belong in the draft.

7. Check attribution before drafting
Before turning notes into prose, verify that quotations match the original, paraphrases are faithful, and each source can still be found from its recorded details. Cornell University Library notes that citations should let readers easily find the sources used; see its research guidance.

The useful format is the one you will maintain and can search, sort, and cite when needed. The sources describe options, not a controlled comparison establishing a universally best method.

Cornell’s library guide describes notebook practices such as numbered pages, a running table of contents, tags, and an index, as well as index cards that can be sorted and laid out while preparing to write: research note-taking strategies. A Zettelkasten-style approach is another option for linking ideas; its overview emphasizes making notes understandable later and connecting them into a network: Zettelkasten introduction. Treat these as methods to try rather than requirements.

Keep the system lighter than the writing task
Do not spend more time decorating a note system than using it. For a short piece, a single document or spreadsheet with source, locator, evidence, and relevance may cover the need. For a larger reference list or a project that requires formatted citations, a citation manager can reduce reference-management work. If you think best on paper, a notebook or cards can serve just as well when each item remains traceable to its source.
No single format is established here as more effective than the others, and the cited guidance does not provide a verified statistic comparing handwriting with typing. Choose based on retrieval, attribution, sorting, collaboration, and citation needs—not an assumed performance advantage.
