Gemini can help sort loose Google Drive files by suggesting folders, but it will not move them on its own in the dedicated “Suggest file moves” workflow. Review the proposed groupings and destinations, then confirm the files you want moved. For a smaller task, Ask Gemini can move up to five files to an existing folder after you review its action preview.
Which Gemini file-organizing option should you use?
| Option | Best for | What it does |
|---|---|---|
| Suggest file moves | Cleaning up loose files in My Drive or a folder | Recommends existing or new folder destinations for eligible files; you choose what to move and confirm. |
| Ask Gemini action | Moving a few specific files | Moves up to five files to an existing folder, or creates a named folder, after you review an action preview. |
| Drive’s manual tools | Predictable filing with direct control | Lets you create and manage folders, rename and color them, add descriptions, and move files yourself. |
These are separate workflows with different interfaces and limits. Google’s “Let Gemini organize your files” instructions cover suggestions; the Ask Gemini action instructions cover direct actions.
How to use “Suggest file moves” for a broader cleanup
This workflow is for a computer browser. Open drive.google.com and go to My Drive or a folder. If Drive finds eligible loose files, select Suggest file moves. Gemini recommends destinations, which may be existing folders or new ones.
- Review the suggested groupings and destinations before selecting files. You can ask for a rule such as “Group these by year,” request grouping by project or meeting notes, or adjust the number of new folders.
- Refine the suggestions as needed: shorten or rename a proposed folder, change a destination, or select only particular files.
- Choose Move files, then confirm with Create and move.
Google says, “Gemini will not move any files without your permission.” The suggestions draw on file contents, organizing patterns, and general organization practices, so check both the proposed folder names and destinations before confirming.

Undoing a move or dismissing a suggestion
After a move, the confirmation message offers Undo. You can also use Ctrl+Z on Windows or Command+Z on Mac. Undo does not remove newly created folders. If you reject a suggestion, Gemini will not recommend that same file-and-folder pairing again for 30 days.
How to move a few files with Ask Gemini
In the separate Ask Gemini interface, prompt Gemini to move up to five files to an existing folder. Review the action preview card and select Move to carry it out. To create a folder, ask Gemini for a named folder, review the preview, and select Create.

Google advises checking file permissions because ownership and access may change when using this action. Gemini in Drive may also generate inaccurate or unsupported output; Google’s Get started with Gemini in Google Drive page describes its feedback controls.

- Interface and language: Google documents “Suggest file moves” for Drive on the web in English. The documentation does not establish that this dedicated suggestion interface is available in Drive mobile apps.
- Eligible content: PDFs, Google Docs, Sheets, Slides, Microsoft Office files, images, videos with transcripts, and shortcuts can be included.
- Access: You need Editor access to eligible files.
- Plan: Google says Gemini in Drive requires an eligible Google Workspace or Google AI plan. Eligibility varies; check Google’s current plan information rather than assuming every account qualifies.

Use Drive’s built-in tools when you already know where files belong or want to control every decision yourself. Google recommends short, meaningful names, optional dates or numbering, and folders and subfolders. Folder colors and descriptions can also make a structure easier to scan.
To move files manually, select a file and choose Organize > Move, or drag it to a folder. If you do not have permission to move an item, Drive may create a shortcut in the destination instead. Google’s file organization guide explains these standard tools.
