To organize a breast cancer fundraiser at work or school, choose a charity and a manageable activity, get approval before promoting it, set a date, make donating simple, and plan how you will report the proceeds. Charity toolkits can supply ideas and free materials; workplace and school rules, and local requirements for activities such as raffles or food sales, still need to be checked for your location.
1. Choose a charity and a fundraiser that fits your setting
Start by deciding which organization will receive the proceeds. Review its official fundraising page for activity ideas, registration steps, donation instructions, and printable materials. For example, Living Beyond Breast Cancer offers workplace and school suggestions; Susan G. Komen lists DIY, social, and workplace options; and the National Breast Cancer Foundation describes company, school, college, online, and sports fundraising.
Pick an activity that suits the time, helpers, budget, and rules available. The examples below are ideas, not evidence that one format raises more than another.

Breast Cancer Now has workplace and school fundraising guidance with suggestions for both settings. Before settling on a sale, raffle, or public event, check the institution’s policies and the rules that apply where you live.

2. Get approval and choose a date
At work, ask your boss or manager before making arrangements. At school, speak with the headteacher or department leader, and check dress-code and student-participation policies before inviting students. Approval first can prevent problems with the venue, schedule, communications, or activity.
Choose a date when participants and volunteers are available. If you plan to use NBCF materials customized for an event, the National Breast Cancer Foundation says planning six to eight weeks ahead of October is ideal; its fundraising resources are available year-round. That timing is advice for coordinating those materials, not a requirement for every fundraiser.

If you are organizing Breast Cancer Now’s Wear It Pink campaign, its FAQ lists October 23, 2026 as the campaign date. The charity also says organizers can hold an event on another convenient date by contacting it, so this date does not apply to all breast cancer fundraisers. 3. Make donating easy and assign a small team
Recruit a few helpers and give each person a clear role: event setup, communications, activity logistics, or tracking donations. Share why the group is fundraising, which charity will receive the money, and how people can contribute.

A charity fundraising page can make online giving straightforward. For an in-person event, use a collection method the charity accepts, such as an approved donation box or its specified payment option. Ask the charity how it wants funds paid in; one organization’s process should not be assumed to apply to another. Breast Cancer Now’s Wear It Pink instructions, for example, direct organizers to register, share a JustGiving page, and use the campaign’s available payment options.
4. Promote the event through approved channels
Use communication channels that suit your organization and have been approved: workplace email, an intranet, or team messages; school newsletters, posters, announcements, or approved social channels. Include the date, activity, beneficiary, participation details, and donation method. Send a reminder before the event so people know what to expect.

If you share event photographs, get permission from the people shown first. Breast Cancer Now specifically advises organizers to obtain people’s permission before posting photos.
5. Apply Gift Aid correctly if the event is in the UK
For eligible donations to Breast Cancer Now, the charity says it can claim 25p for every £1 donated through Gift Aid. This is UK-specific and depends on the donor being a UK taxpayer, providing permission and required details, and meeting the tax rules. The donor may owe the difference if they pay less Income Tax and/or Capital Gains Tax than the amount claimed on their donations. Check the charity’s Gift Aid guidance for the requirements.

Gift Aid does not apply to raffle or auction payments or fixed-price purchases such as cakes. Breast Cancer Now says a voluntary donation instead of a fixed cake price may qualify, subject to the rules. If your event is outside the UK, use the applicable rules in your jurisdiction rather than this guidance.
6. Pay in the proceeds and report the total
After the event, reconcile the money collected, pay it to the charity using its current instructions, thank the participants and helpers, and share the total raised. Let people know how the funds will benefit the organization. Living Beyond Breast Cancer recommends communicating both the amount raised and its benefit; charity-specific payment options should be confirmed directly with the beneficiary.
