Moving away from The Events Calendar (TEC) means more than transferring event titles and dates. You need to decide which records, relationships, visitor-facing pages, and staff workflows the new calendar must preserve, then prove the migration on a staging copy before switching the live site. No single export method described here guarantees a complete transfer of every plugin-specific field or ticketing relationship.

First, distinguish a TEC data migration from replacing TEC

TEC’s 6.0-era custom-table transition changes how TEC stores event data; it is not a migration to another calendar product. TEC’s older recurring-event approach maintained posts and metadata for occurrences. The newer system stores one post for a recurring event and keeps distinct occurrence date and time information in custom tables. Before mapping data into another product, identify the installed TEC version and whether that internal migration is complete.

TEC’s documentation estimates that its own data migration takes 5–10 minutes for many sites, but this is the vendor’s estimate, not a promise for an individual installation. Event volume and complex recurring rules can extend the time. It is not a benchmark for moving to a third-party calendar.

Know the internal migration’s constraints

TEC states that recurring events with RSVPs cannot be migrated in its internal system migration. Its documented alternatives are to remove the RSVPs, convert them to free tickets, or split the recurring event into single events. In that same migration, tickets on recurring events are converted to Series Passes, which should be checked against the site’s requirements. These restrictions describe TEC’s own storage transition; they do not establish what any third-party importer can or cannot do.

During TEC’s internal migration, visitors can still view calendars and events, but cannot RSVP, buy tickets, or submit events. Administrators cannot create or edit events, venues, or organizers, or change Events/Tickets settings. CSV, Eventbrite Tickets, and Event Aggregator imports also pause. A replacement migration has its own downtime and workflow requirements, which depend on the chosen method and destination.

What should be included in the migration inventory?

TEC’s technical documentation describes distinct event, occurrence, series, venue, organizer, ticket, and attendee objects. Build an inventory around those records and their connections, not just a count of event titles.

Events and recurrence

  • For each event, record its title, full and short descriptions, start and end dates and times, timezone, all-day setting, status, cost, featured image, categories, tags, custom fields, and metadata.
  • For recurring events, record the series identity, recurrence rule, generated occurrence dates, exceptions, exclusions, cancellations, and any content that differs between occurrences. Include daily, weekly, and complex patterns, as well as boundary dates and timezone changes.
  • Include past and future events, drafts, private records, and any trashed records that must be retained. TEC’s internal migration documentation says it includes past, current, and future events across post statuses; that does not guarantee a third-party importer will handle the same scope.

Related records and attendance

  • List venues and organizers with their details and the events they are associated with. A correctly imported event can still be incomplete if its venue or organizer is detached or duplicated.
  • Inventory ticket types, prices, capacities, orders, attendees, RSVP records, check-in status, refunds, and the relationships connecting each record to the relevant event or occurrence. TEC’s documentation identifies ticket and attendee objects, but the migration materials do not promise that every destination preserves order, refund, or check-in history.
  • Record image attachments and taxonomies as well as the records that use them. Make a note of custom fields whose values affect event display, filtering, or other site behavior.

Pages, integrations, and feeds

  • Save important event and archive URLs, including slugs, and identify pages or templates that render them.
  • List theme overrides, page-builder layouts, shortcodes, widgets, filters, search and filter views, and any event submission flows.
  • Identify REST API clients, JSON-LD structured data, email automations, calendar subscriptions, and imported source feeds. TEC documents these kinds of interfaces and features, but a different plugin may expose different routes, templates, or data.

Before the migration, establish a baseline: counts by event status and date range, venue and organizer counts, recurrence series and occurrences, and ticket, attendee, and order counts. Save representative URLs and select specific records for manual comparison. Counts help spot omissions, but cannot prove that exceptions, relationships, or page behavior survived.

Which transfer method fits the data you need?

CSV, ICS, APIs, and destination-specific importers serve different purposes. Choose based on the records and behavior you need to move, then verify the result in staging.

CSV for supported tabular records

TEC’s CSV importer supports events, venues, and organizers. If events need linked venue or organizer records, import those records before importing the events. CSV can support bulk transfer of tabular fields, but the available documentation does not establish that it preserves tickets, orders, every custom field, recurrence exceptions, templates, or route behavior. Map columns deliberately and inspect both values and associations after import.

ICS for calendar interchange, not a complete site copy

A downloaded ICS file is a snapshot: later edits and new events will not appear unless you export again. A calendar subscription can receive later changes, subject to the receiving calendar application’s sync schedule. TEC says the default subscribe/export scope is the first 30 events; Month View exports the visible month, while List View can be used for a broader range up to six months ahead. These are calendar-sharing features, not evidence of a full migration of TEC-specific data.

APIs and custom extraction for deeper mapping

TEC’s technical documentation describes REST APIs and ORM repositories for events and related objects, including venues, organizers, tickets, and attendees. Developer-facing interfaces may help when CSV or ICS does not cover the needed data. They do not make the destination automatically compatible: check API coverage and pagination, define how recurrence is represented, and test the target’s import behavior for the installed versions.

A destination-specific wizard as a candidate to test

The Event Genius WordPress.org listing advertises a wizard to import events, recurring events, registrations, venues, organizers, Event Tickets attendees, categories, tags, and settings from supported TEC versions. It says the existing calendar remains active while the imported data is reviewed and that current event URLs remain active during that review. The listing does not enumerate the supported TEC versions or detail mappings for custom fields, orders, refunds, check-ins, URL redirects, or recurrence exceptions. Treat those as questions to resolve in a representative staging migration rather than assuming they are covered.

What is most likely to need extra checking?

Recurring schedules and exceptions

A series may import while individual occurrences, exceptions, or cancellations change representation. Compare representative simple and complex schedules, including boundary dates and timezone changes, against the source. Confirm both the rule and the resulting occurrence dates rather than relying on the imported series title.

Registrations, tickets, and attendance

Check whether registrations and ticket holders remain associated with the correct event or occurrence, and whether capacity, attendee notes, check-ins, orders, and refund history are retained where needed. A claim that an importer handles “tickets” or “attendees” does not by itself establish that all associated records and their status are preserved.

URLs, rendered pages, and search visibility

Record event and archive routes before migration, decide how their slugs map to the destination, and set redirects for changed URLs where needed. Inspect actual rendered pages, event links, and structured data. Event Genius’s listing says that it prefixes conflicting slugs while both plugins coexist; this is destination-specific behavior to validate, not a general URL-preservation rule.

Relationships, templates, and integrations

Verify that venues and organizers are neither detached nor duplicated, and that custom layouts, widgets, shortcodes, filters, API consumers, submissions, emails, and external feeds still work. Check each dependency against the actual site: the presence of a feature in TEC does not mean the destination implements it the same way.

How to rehearse the move and cut over safely

  1. Identify the installation. Record the WordPress, PHP, TEC, and add-on versions; whether TEC’s custom-table migration is complete; active ticketing and import add-ons; and custom code or template overrides. Check the requirements for the actual source migration or destination importer you plan to use.
  2. Inventory and capture the baseline. Count records by object type, status, and date range; document recurrence rules and important URLs; and note ticket, attendee, and order totals. Include past or draft material when it has retention value.
  3. Choose the transfer route. Use CSV for supported tabular records, ICS for calendar interchange or subscriptions, APIs and custom mapping for deeper object-level needs, or a destination importer after checking its compatibility. Match the route to the data you must retain.
  4. Back up and rehearse on staging. Make a restorable database and file backup, then run the complete migration on a staging copy. TEC recommends staging and a database backup for its own internal migration; a replacement migration also needs a separate rehearsal before live cutover.
  5. Reconcile data and test workflows. Compare source and destination counts, then spot-check dates, timezones, descriptions, images, venues, organizers, taxonomies, statuses, recurrence instances, ticket and attendee links, and custom fields. Test relevant visitor and staff flows, including filters, event pages, registration, checkout, check-in, submissions, email, API use, and calendar subscriptions.
  6. Protect routes and connected services. Map old URLs to new ones, implement redirects where needed, inspect structured data, and update API or feed consumers. Keep the old installation and exports available until the destination passes the site’s acceptance checks.
  7. Schedule the switch and monitor it. Tell staff and visitors about any registration or ticketing pause. Switch traffic only after the staging rehearsal passes; then monitor for 404s, failed registrations, duplicate events, and feed problems. The exact cutover mechanics depend on the site’s hosting setup and chosen destination.

How should you compare destination options?

When assessing more than one candidate, compare the capabilities that affect your records, visitors, and operations. The available product information here does not establish a complete, independently validated comparison of multiple destinations, so it cannot support a universal ranking.

  • Data coverage: events and statuses, custom fields, venues, organizers, categories and tags, images, recurrence rules and exceptions, tickets, registrations, attendees, and settings.
  • Relationship fidelity: whether records remain linked to the correct event, occurrence, series, venue, organizer, ticket, or order.
  • Compatibility and recovery: exact supported TEC and add-on versions, importer behavior on errors, and whether a failed run can be rolled back or safely repeated.
  • Visitor continuity: event and archive URLs, redirects, structured data, calendar subscriptions, accessibility, and mobile rendering.
  • Operational fit: checkout, capacity, refunds, check-in, submissions, email, integrations, API access, and staff workflows.
  • Review and rollback: whether the import is a copy, whether the old calendar remains usable during review, how duplicates can be cleaned up, and whether rollback leaves the source intact.
