Stop treating meeting notes as a growing archive. Use a short shared record that captures what was decided, who owns each next step, and when it is due. A practical routine is to prepare an agenda, record decisions and action items, check the notes for accuracy, then share them where the team will act on them.

Why meeting notes pile up—and what to keep instead

Notes become hard to use when they preserve every comment but leave decisions and commitments buried. The goal is not a fuller transcript; it is a record that lets someone who attended—or needs to follow through—quickly find the outcome and the next move.

Keep three things distinct:

  • Discussion: context that helps explain the outcome.
  • Decision: what the group agreed to do or defer.
  • Action item: a specific task with a named owner and deadline.

Capture only enough discussion to make decisions understandable. A task without an owner is easy to overlook; a task without a date is difficult to prioritize. Put next steps in the system the assignees already use, rather than assuming a notes document by itself will ensure completion.

Use a repeatable before, during, and after workflow

Before: make the agenda a shared starting point

Add a short agenda before the meeting and invite participants to contribute topics. This gives the group a place to attach notes and makes it easier to distinguish planned discussion from decisions and follow-up. In Teams, participants can collaborate on meeting notes and agenda items, with changes visible to others. See Microsoft’s guide to taking meeting notes in Teams.

If you use Google Meet’s “Take notes for me,” eligible organizers can configure note sections and recipients. Availability depends on the organizer’s Workspace edition and organization settings; check Google Meet’s feature and eligibility details.

During: record decisions and owned tasks

Use a shared document or an approved meeting-notes feature. Capture the decision, any essential rationale, and each action as it becomes clear. In Teams, people can collaborate on notes and tag a participant on a task. Make sure the person named as owner agrees that the task is theirs, and add a deadline when the group sets one.

Do not try to create a word-for-word record unless the meeting genuinely requires one. A concise decision-and-task record is easier to check and act on than an undifferentiated stream of comments.

  2. Make the next steps actionable. Ensure each task is clear enough to complete and put it where its owner will see and update it.
  3. Share with the intended audience. Use the team’s normal location for meeting records, and check access settings before distributing.

Google Meet can create a Google Docs record after the meeting, with a concise quick-notes view and a fuller notes view. Microsoft also documents AI-generated meeting notes; its support guidance says to verify the result because AI-generated content could be incorrect. See Microsoft’s guidance on generating meeting notes.

Choose a notes method that fits your team

There is no universal winner between shared manual notes and automated notes. Choose based on the tools your team already uses and how the record will be reviewed, shared, and retained.

Google Meet Help For Intelligent Recap, Microsoft describes where transcript, recording, notes, and tasks are stored; the details apply to that feature, not automatically to every Teams notes workflow. A shared manual record offers direct control over what is written, while automated notes can provide a starting draft. In either case, decide who can access the record and how it will be checked. If your organization has rules for recording, transcription, or retention, follow those rules before enabling capture.

Review AI-generated notes as a draft, not a verdict

Automated summaries can miss details, attribute a statement to the wrong person, or fail to capture what mattered to a participant. A 2025 PACM HCI paper describing a prototype and evaluation with seven participants identifies missed details, harmful misattributions, and imperfect capture of personal relevance. That small study is a reason to review notes, not a population estimate or proof of a quantified productivity effect. Read the paper at Summaries, Highlights, and Action Items: Design, Implementation and Evaluation of an LLM-powered Meeting Recap System.

Review for errors that could change what someone does: a wrong owner, a softened or reversed decision, a missing condition, or a deadline that was never agreed. Google also warns that its summary may be incomplete, inaccurate, or missing in some situations, including connectivity problems and certain meeting-length conditions. For Teams, Microsoft’s caution is straightforward: verify generated results because they may be incorrect.

Set access and retention deliberately

Meeting notes can contain sensitive information, and transcription or recording may create additional records. Before using an automated feature, consider who can start it, who receives the output, where the related files are stored, and what your organization’s retention rules require.

Google says participants are informed when “Take notes for me” is active, and its documentation describes configurable sharing. For Microsoft Intelligent Recap, Microsoft Learn explains that transcript and recording copies for the described recorded-and-transcribed meeting are stored in Exchange Online and OneDrive, while generated notes and tasks are stored in Exchange folders in participants’ mailboxes. These storage details are specific to Intelligent Recap; they should not be generalized to every Teams meeting-notes feature. Consult Microsoft’s Intelligent Recap privacy and security documentation.

Confirm the relevant settings and policies with your administrator when you are unsure. A recap is useful only if it is accessible to the right people and handled in a way your organization permits.

Keep the system small enough to maintain

Start with a single shared agenda and a compact record containing discussion context, decisions, and action items. Use the same routine after each meeting: check the record, correct it, assign or confirm ownership, and share it in the team’s normal workspace. If notes still accumulate, look first for unowned tasks, unclear decisions, or records saved somewhere the team does not check—not for another layer of archiving.
