To move a grid from a web page into Excel, use Excel’s Data > From Web connector, select the correct table in Navigator, clean it in Power Query, and then load it to a worksheet. If you already have an HTML file, import that file instead. If you mean the reverse—saving an Excel grid for another application—choose CSV or tab-delimited text for data exchange, or HTML for a web-page representation. Keep an .xlsx master when formulas, charts, PivotTables, or VBA matter.

First, identify which direction you need

“Export an HTML grid to Excel” can describe two different jobs:

  • Web page or HTML file → Excel: bring rows and columns into an Excel worksheet. This is the usual interpretation and is covered first.
  • Excel workbook → HTML, CSV, or tab-delimited text: publish or exchange the grid outside Excel. That workflow appears later.

HTML is a page format, not a guarantee that every visual layout is a rectangular data table. Excel can detect many standard tables, but complex cards, nested layouts, virtualized grids, and script-rendered content may require cleanup or a different export path.

Import a live web-page grid with Excel

1. Open the web connector

  1. In desktop Excel, choose Data > From Web. In some versions the path is Data > Get Data > From Other Sources > From Web.
  2. Enter the page URL and confirm. The web connector uses Power Query and requires internet access; Microsoft’s newer connector experience requires an Office 365 subscription. See Microsoft’s web connector documentation for version-specific labels.
  3. When Navigator appears, inspect the preview and select the table containing the required headers and rows.

2. Choose the right detected table

A page can expose several candidates: navigation tables, hidden layout tables, summaries, and the actual grid. Click each item in Navigator and verify the column names, row count, and first few records. Do not load the first result merely because it has a plausible name.

3. Transform before loading

Choose Transform Data when you need to remove banners, promote a header row, split a column, change data types, filter records, or delete empty columns. Power Query lets you preview each step, so corrections happen before data reaches the worksheet. Choose Load when the preview is already correct. Queries can be refreshed later when the source page and its structure still support the connection.

4. Validate the worksheet

  • Check that the header row was not imported as ordinary data.
  • Compare a few totals and identifiers with the source page.
  • Look for merged cells, repeated headings, missing rows, and numbers interpreted as text.
  • Confirm dates, decimal separators, and currency values use the intended regional interpretation.

Import a saved .html or .htm file

For a local file, use the file-import route rather than From Web. Microsoft documents this path for Microsoft 365 for Mac, Excel 2024 for Mac, and Excel 2021 for Mac:

  1. Choose Data > Get & Transform Data > Get Data > From File.
  2. Select the saved HTML file and choose Import.
  3. In the resulting navigator, select the intended table, preview it, and choose a destination or transform it first.

The exact labels differ by platform and release. Microsoft’s CSV, HTML, and text import guidance identifies the supported Mac editions and the file-selection workflow. If your Excel build does not show an HTML connector, open the file in a browser and use From Web with a local or reachable URL, or convert the table to a delimited text file.

Clean common HTML-grid problems in Power Query

Extra rows above the header

Use Remove Rows to discard titles or explanatory text, then select Use First Row as Headers. If the page repeats headings inside the body, filter those repeated values before changing data types.

Nested or split columns

Choose Split Column by a delimiter, fixed positions, or transitions between letters and digits. For a cell that contains a label and value on separate lines, replace line breaks or split on the appropriate delimiter, then rename the resulting fields.

Numbers imported as text

Select the column and set its data type explicitly. If commas and periods follow a particular locale, use Change Type > Using Locale rather than relying on the computer’s default. Remove currency symbols or non-breaking spaces only when they are formatting artifacts, not meaningful data.

Blank rows, subtotals, and footnotes

Filter out rows where the key column is blank, and use a condition to exclude subtotal or footnote labels when you need transaction-level records. Keep a separate query or duplicate step if those summary rows are important for reporting.

Lazy-loaded or script-generated rows

If Navigator shows only the first visible page, the source may load additional records after scrolling or through an API call. Power Query cannot always reproduce browser interactions. Look for a documented download link, a server-side page parameter, or an API supplied by the site owner. Do not assume that a visually complete grid is fully present in the initial HTML.

Fix garbled characters and encoding

Broken accents, symbols, or non-Latin text usually indicate an encoding mismatch rather than a failed table import. Check the source page’s declared encoding and select a matching option in Excel’s Web Page Options. Microsoft describes these settings in Web Page options. Preview the result after each change; there is no universal encoding choice that is correct for every site.

When copying and pasting is acceptable

For a small, static table, selecting the grid in a browser and pasting into Excel can be fastest. Use Paste Special > Text if formatting causes merged cells or unwanted links. This approach does not create a refreshable query and can miss rows hidden behind pagination or scrolling, so use the connector for repeatable imports.

Export an Excel grid to a format other programs can read

CSV for simple comma-delimited data

Choose File > Save As, select a CSV text format, and confirm the worksheet scope when Excel warns that CSV stores only the active sheet. CSV is suitable for row-and-column exchange, but delimiters and regional settings affect how another program parses fields. Quoted commas, line breaks, and leading zeros deserve a check in the receiving application. Microsoft’s text import and export guidance covers these considerations.

Tab-delimited text

Select a tab-delimited text format when tabs are the agreed field separator or commas occur frequently in values. It is still data-only exchange: formulas, charts, PivotTables, and VBA are not preserved.

HTML or MHTML for a web-page representation

Excel can save supported workbook content as .htm/.html or a single-file .mht/.mhtml. Use this when the recipient needs a page-like view, not a full-fidelity workbook. Microsoft’s Saving Documents as Web Pages documentation and supported file-format list describe the options. Formulas, charts, PivotTables, and VBA projects are not supported in these web formats and can be lost when the file is reopened in Excel, as detailed in Microsoft’s formatting and feature-transfer guidance.

Keep an .xlsx master

Save the original workbook as .xlsx (or the appropriate macro-enabled format) before creating CSV, text, or HTML derivatives. Excel’s documented text-import/export limit is 1,048,576 rows and 16,384 columns; larger or more complex datasets may require a database or specialized pipeline.

Troubleshooting checklist

Navigator shows no useful table

Confirm the URL is publicly reachable, wait for the page to finish loading, and inspect whether the grid is generated by JavaScript or hidden behind a login. Look for a download or API option; Excel’s detector cannot infer data that never appears in the retrieved page.

The wrong table loaded

Return to Navigator, preview every candidate, and select the one with the expected headers. Then use Transform Data to remove layout tables and promote the real header row.

Everything pasted into one column

Import the source through Power Query or use Data > Text to Columns with the actual delimiter. Check whether the source uses tabs, commas, semicolons, or line breaks and whether quoted fields contain separators.

Rows or columns are missing

Check pagination, infinite scrolling, filters, and collapsed groups on the source page. A browser view can show records that are fetched only after interaction; obtain a complete export or parameterized endpoint when available.

Special characters are wrong

Review Web Page Options and match the source encoding. Reimport after changing the setting, then verify several languages or symbols rather than checking only one cell.

Refresh fails later

The page may have changed its markup, URL, authentication, or anti-bot behavior. Open the query’s applied steps, identify the first failing step, and update the source or transformation. A refreshable connection is not a promise that an external page will remain stable.

Can Excel preserve the web page’s colors and layout?

Power Query is designed to extract data, not reproduce a page’s visual styling. Treat the imported worksheet as structured data and format it in Excel after loading.

Should I use HTML instead of XLSX as a backup?

No. HTML is useful for a browser-readable representation, but keep XLSX when you need workbook behavior or editing fidelity.

Can I automate a recurring import?

Yes, when the source remains reachable and structurally compatible: save the Power Query connection and refresh it. Build validation checks for headers, row counts, and data types so a markup change is detected.

Is a screenshot an Excel export?
