To edit the words in a screenshot, run optical character recognition (OCR) on it, then review and edit the recognized text. OCR turns the letters visible in the image into selectable text; it does not turn the screenshot’s original pixels into a text document. For a quick text extraction, use OneNote desktop. To edit recognized text within a document, use Acrobat’s OCR tools on an image-based PDF.
What “editable” means for a screenshot
A screenshot is a raster image: its words are pixels, not document text. OCR analyzes those pixels and recognizes likely letters and words. Depending on the workflow, it can give you text to paste into another app or add a recognized text layer to a PDF so you can search for and edit text there.
Those are different outcomes. Copying OCR text into a document gives you editable text, but it does not reproduce the screenshot’s exact layout. Editing recognized text in a PDF preserves a document-style workflow, but it still does not make every original pixel a native text object. If you need to change the screenshot’s appearance rather than its wording, edit the image itself in an image editor; OCR is for working with its text.
Choose the workflow that matches the result you need

For an existing screenshot, OneNote or an OCR-enabled PDF workflow is usually the more direct fit. Lens is documented as a way to capture an image and send it to Word, not as a required step for processing a screenshot you already have.

Extract text from a screenshot with OneNote desktop
- Open the desktop OneNote app. OneNote for the web does not provide the picture-text copying command described here.
- Insert or paste the screenshot on a OneNote page. Use the clearest available image. If you already have it in your clipboard, paste it; otherwise insert the image file.
- Wait for recognition if necessary. Right-click the picture and look for Copy Text from Picture. The option may not appear immediately while OCR is processing. Microsoft says some results may take 24–48 hours; that is a possible delay, not a promise that every image takes that long.
- Choose Copy Text from Picture, then paste the result. Paste into OneNote or another text-capable app, such as a document or note.
- Proofread before using the text. Compare it with the screenshot, especially names, numbers, punctuation, small print, and table-like content. Correct recognition mistakes in the destination app.
Recognition depends on image complexity, legibility, and the amount of text. Microsoft’s OneNote guidance recommends checking copied text for errors. If the menu item is absent, first allow more processing time and confirm you are using the desktop app rather than OneNote for the web.
Make a screenshot searchable and editable in Acrobat
This path is for a screenshot or scan you have placed in an image-based PDF. If your starting point is only an image file, first put it into a PDF using a workflow available in your PDF tools; the cited Acrobat desktop instructions concern scanned PDFs.

- Open the image-based or scanned PDF in Acrobat desktop.
- Choose Edit. Acrobat’s desktop instructions say it automatically applies OCR and creates an editable PDF copy.
- For explicit recognition controls, choose All tools > Scan & OCR > Recognize text. Follow the recognition flow shown in your installed version.
- Select the recognized text you want to change. Type the replacement, then save the edited copy.
- Inspect uncertain words and the surrounding page. Acrobat can flag words it is unsure about so you can review and correct them. Confirm that the change has not introduced a mismatch in spacing, line breaks, or neighboring content.
Adobe also describes a web tutorial in which a photo or scanned image is opened and Convert > Recognize text with OCR is selected to create searchable and editable text in the file. Interface labels and account requirements can vary by platform and version, so verify the controls available in your installed product.
Use Microsoft Lens when you are capturing a document into Word
Microsoft’s Lens for Android support documentation describes a capture workflow: choose Word as the output, and Lens creates a Word file with legible text extracted from the captured image. The documentation says the resulting text, formatting, and layout are editable.

That is useful when you are photographing a document and want a Word output. It is not necessary just to extract words from an existing screenshot; for that, use OneNote desktop or an OCR-to-PDF workflow. Lens is specifically described here for Android, so do not assume the same steps or availability on another platform.
Improve OCR results and check the result
Start with the best source image
- Use the original screenshot or a clear copy rather than a version that has been repeatedly resized or compressed.
- Make sure the text is legible at its displayed size. Small, blurry, or visually complex text is harder to recognize.
- For a blurry or low-resolution PDF scan, Adobe recommends enhancing the image before editing it in Acrobat.
Proofread details that OCR can misread
Check the output against the image before relying on it. Pay particular attention to names, numbers, punctuation, symbols, closely spaced text, and content arranged in columns or tables. A result that looks plausible can still contain recognition errors. OneNote recommends reviewing copied text, while Acrobat provides a way to inspect and correct uncertain words.

Keep the source alongside the extracted text
Retain the screenshot or original PDF while checking your OCR output. It is the reference for deciding whether a character, line break, or number was recognized correctly. If the extracted text will be used in a document with a specific layout, expect to adjust that layout separately; OCR recognition alone does not make the original screenshot’s pixels editable text.
Troubleshoot common problems

What OCR does not guarantee
OCR produces recognized text, not a guarantee of perfect transcription, preservation of the original design, or a conversion of every visual element into editable content. The official workflow documentation does not establish a universal accuracy percentage or a measured speed comparison among these options. Choose based on the output you need, inspect the result against the image, and correct errors before sharing or relying on it.
