To live stream a company town hall on YouTube, first confirm that the channel is eligible, then schedule a live event in YouTube Studio and choose a production method: use the webcam option for a simple presenter-led session, or an encoder for external cameras, overlays, and a more produced program. Rehearse the full setup, confirm who can watch, assign moderation and technical roles, and check the recording’s access after the broadcast.
Choose a production method
YouTube offers mobile, webcam, and encoder live-streaming methods. For a company town hall, webcam is usually the simpler path when one presenter and a computer camera and microphone are enough. An encoder is better suited to a program involving external equipment, overlays, or multiple production components. YouTube describes encoders as common for conferences and recommends professional-grade hardware encoders for higher-production events. These are workflow distinctions, not tested performance comparisons; YouTube does not require a particular camera, microphone, encoder, or software package.

Check eligibility and access before scheduling
YouTube says a channel must be verified and must not have had live-streaming restrictions in the previous 90 days to live stream. Mobile streaming has additional requirements; do not assume those apply to the webcam or encoder route. Check the channel’s eligibility well before the town hall so there is time to address any issue.

In YouTube Studio, create or schedule the live event and review its title, description, thumbnail, audience setting, and visibility before circulating a link. YouTube provides public, private, and unlisted visibility options. A scheduled event can appear as upcoming, and viewers may opt in to notifications.

Choose visibility according to company policy and the sensitivity of the material. YouTube’s visibility choices do not establish that an unlisted link is authenticated employee-only access. Decide separately how employees should be identified, how confidential information may be handled, and whether the platform’s access model is suitable for the meeting. YouTube’s guidance does not determine your company’s confidentiality, legal, accessibility, or retention requirements.
Prepare the stream and protect the channel
- Confirm the operator’s access. Make sure the person running the broadcast has the channel permissions needed to schedule, start, and manage it. YouTube advises granting admin access only to trusted people.
- Choose webcam or encoder. In YouTube Studio, open the live-streaming workflow and select the method that fits the program. For webcam, check the selected camera and microphone. For encoder, configure the encoder to send to YouTube using the event’s stream URL and stream key.
- Handle the stream key as a credential. YouTube Help says, “Stream keys are like your YouTube stream’s password and address.” Do not expose it in a shared document, on screen, or in chat. If it may have been exposed, an owner or manager can reset it in YouTube Studio and update the encoder.
- Set visibility and rehearse access. Use a private or unlisted rehearsal only if it fits your company’s access policy. YouTube permits testing before the event, but unlisted should not be treated as employee authentication. Open the actual watch page on desktop and mobile using the access path employees will use.
- Check upload capacity. Compare the configured total streaming bitrate with available upload bandwidth. YouTube recommends leaving 20% upload-bandwidth headroom; its Help page does not display a publication year, and the recommendation is platform guidance rather than an independent measurement.
- For an encoder, allow setup time. YouTube recommends setting up at least two hours before the event and starting the encoder at least 15 minutes before the scheduled start. Inspect the Live Control Room preview, verify playback on the watch page and a mobile device, and test backup failover if a backup encoder is configured.
- Confirm local recording and assign roles. Check that local archive files are being written if you need them. Assign a presenter, stream operator, chat moderator, and someone to monitor viewer-side playback and audio. YouTube recommends monitoring quality and moderating chat; this division of duties is practical event planning, not a platform requirement.
Run the town hall
Keep YouTube Studio’s Live Control Room or the compact Live Control Panel available so the operator can check status and chat visibility. A live status in the control interface is not a substitute for checking the stream as a viewer: have the playback monitor watch for audio, video, or access problems throughout the event.

Have the moderator handle unwanted chat using YouTube’s moderation tools. Keep sensitive personal information out of both the broadcast and chat. If the meeting includes audience interaction, choose latency with the tradeoff in mind: YouTube defines latency as the delay between capture and playback and notes that lower latency can mean more buffering.

When the town hall is over, end the broadcast in YouTube Studio or the Live Control Room and stop sending the encoder feed. YouTube says encoder streams shorter than 12 hours are automatically archived. That automatic archive does not decide whether the recording should remain available to employees or for how long.

Check that the saved video plays correctly, review its visibility, and apply the company-approved retention and sharing approach before distributing the recording. YouTube says live metrics are available in Live Control Room during and after the stream; review them in YouTube Studio after the event as part of your follow-up.
