To limit employees’ use of sensitive information in AI tools, approve specific services and data uses, tell staff what they must not enter, and enforce the rules with data classification and data loss prevention (DLP) controls wherever your systems support them. A blanket ban or an enterprise subscription alone does not guarantee that sensitive data is protected.
Decide which AI tools employees may use
Start by identifying the AI services employees can reach, not just tools the organization bought. Include browser-based sites, installed applications, browser add-ins, APIs, and AI features built into business software. Treat an unapproved service as an external recipient of anything a user enters, uploads, or connects.
Publish a short approved-services list. For each service, specify permitted data categories, approved business uses, and any required approval. The list should describe what the organization has actually reviewed; it should not imply that approval makes every use safe.
Give employees a clear data-handling rule
Define sensitive information in terms employees can recognize. Depending on the organization, categories may include confidential business records, personal data, credentials, source code, customer information, and other restricted material. Tell employees not to enter, upload, or connect those materials to an unapproved AI service.

For approved services, state which data classes are allowed and any limits or approval steps. Communicate the policy to everyone involved in AI use, and provide practical examples so employees know how to handle borderline cases. A rule that staff cannot apply consistently will not reliably prevent risky disclosures.
Use classification and DLP to enforce the rules
Maintain useful data classifications and sensitivity labels, then configure DLP policies to detect sensitive information in prompts and uploads. Depending on the product, deployment, and policy, a control may warn the user, block the action, or offer an override flow. Microsoft documents Purview endpoint controls that can warn or block sharing sensitive information with third-party generative AI sites through a browser, subject to supported platforms and configuration: Microsoft Purview: Learn about endpoint data loss prevention.

Map controls to the channels employees actually use. Browser protection may not cover a local application, add-in, API, or another network path. Microsoft also documents network data security capabilities for generative AI sites; availability and setup depend on product prerequisites and supported platforms: Microsoft Purview: Data Security Posture Management for AI.
Before describing coverage as comprehensive, test it in your own environment. Confirm which browsers, endpoints, applications, and data types are covered, and whether the policy detects the content employees might submit. Some documented capabilities may be in preview, and feature coverage can depend on licensing, configuration, and rollout state.

Review an AI service before approving sensitive workflows
When employees have a valid business need to use AI with sensitive material, assess the particular service and configuration rather than relying on the provider’s general claims. Check:
- How prompts and responses are handled, including retention and administrative controls.
- Whether organizational permissions and sensitivity labels apply to the data the AI can access.
- What audit and logging options administrators have.
- How connected data sources, agents, and other enabled features handle information.
- Which users can access the service and what data they are permitted to use.
- Whether the necessary licenses, deployment prerequisites, and supported platforms are in place.

Monitor use and respond to policy gaps
Discovery and audit capabilities can help identify unsanctioned AI use and reveal where policy coverage is incomplete. Insider-risk monitoring may also assist with investigations. Use role-based access and appropriate privacy controls for monitoring, and establish who reviews alerts and how they respond.
Monitoring is for detection and investigation; it does not replace access controls, DLP, or clear employee instructions. A useful response process should distinguish an accidental policy violation from an approved workflow or a control gap, and route each to the responsible team.
Set security controls to the risk and context
Choose controls according to the sensitivity of the information and how it is being processed. The UK Information Commissioner’s Office (ICO) says, “There is no ‘one-size-fits-all’ approach to security” in its guidance on assessing security and data minimisation in AI: ICO: How should we assess security and data minimisation in AI?. The ICO says its AI data-protection guidance is under review following the Data (Use and Access) Act. It is UK guidance, not a substitute for jurisdiction-specific legal advice or your organization’s compliance assessment.
Compare services and controls consistently
Use the same questions when evaluating a sanctioned AI service or a security control. Record answers for the specific product, plan, and deployment rather than treating a provider or platform name as proof of coverage.
