Keep a digital event engaging by building participation into its agenda: open with a simple prompt, use relevant polls or chat questions during the presentation, protect time for moderated Q&A, and add breakout discussions when attendees need to collaborate. Rehearsal, accessible materials, and a clear follow-up plan help make those moments work for more people.

Plan interaction around the event’s purpose

Start with the outcome attendees should leave with: understanding a topic, learning a skill, making a decision, or exchanging ideas. Then choose a few interaction points that support that outcome. A poll can surface opinions; chat can collect quick reactions; Q&A can address individual questions; a breakout can make room for peer discussion. Adding every available feature can distract from the purpose rather than improve the event.

For a webinar or town hall built around one-to-many communication, polls and moderated Q&A may be enough. For a training session, a short quiz or practice prompt can check understanding. For a virtual conference or workshop where people need to develop ideas together, a structured breakout may be worthwhile. Build a run of show that gives attendees a way in

Interaction works best when it is scheduled, explained, and facilitated—not left as an optional feature that attendees have to discover. The outline below is a practical starting point; adjust it to the session’s purpose and length.

  1. Before the event: Define the audience outcome, select a small number of interaction moments, prepare polls and moderator prompts, brief presenters and moderators, test the platform from the attendee perspective, and check captions and slide accessibility.
  2. At the opening: Explain how attendees can use chat, polls, and Q&A. Start with a low-stakes question, such as asking participants to choose a topic they most want covered. This lets them try the interaction channel before a more substantive discussion.
  3. During the main presentation: Break up presenter-led segments with a relevant poll, quiz, or chat prompt. Acknowledge the responses—for example, share what the poll indicates and connect it to the next point—so attendees can see that their participation matters.
  4. For discussion: Reserve time for questions and assign a moderator to collect, group, and route them. If peer exchange is part of the goal, give each breakout a specific question, a time limit, and a clear way to report back.
  5. At the close: State the key takeaways and next steps, collect brief feedback, and explain how unanswered questions will be handled.

Zoom’s How To Host A Virtual Event describes Q&A, polling, breakout rooms, and post-event feedback among its planning and interaction options. Microsoft’s Virtual Event Playbook: Before the event also recommends interactive content, rehearsal, Q&A, and breaks for longer programs.

Keep the session focused and make room for questions

Long stretches of uninterrupted presentation leave little opportunity for attendees to contribute. Zoom advises keeping a session under an hour and allowing time for Q&A; Microsoft recommends shorter sessions and breaks in multi-hour or multi-day programs. Treat these as planning guidance, not a universal attention limit: the right length depends on the content, format, and audience.

For a longer event, divide the program into purposeful segments and schedule breaks rather than treating one continuous presentation as the default. Make the transition between segments clear, and tell attendees when they can ask questions or take a break.

Give chat and Q&A active moderation

Assign a person—not the presenter alone—to monitor questions, surface recurring themes, and flag urgent issues. A moderator can also seed the discussion if the room is quiet. Microsoft’s playbook recommends preparing questions in advance and allowing silence after inviting responses: attendees may need time to type, unmute, or account for audio delays. Avoid answering your own prompt immediately; leave a real pause.

Decide before the event how questions will be handled. The moderator might group duplicates, route technical issues to a producer, and keep a list of questions that need an answer after the session. If attendees can participate by chat or Q&A without speaking on camera, say so explicitly.

Use breakouts only when people need to work together

Breakout rooms are useful when the event’s goal calls for small-group discussion, practice, or collaboration. They add transitions and facilitation work, so they are not automatically a better choice than chat or a poll. Give groups a concrete prompt, a defined amount of time, and a task that can be completed in that time. If reports from every group would consume too much of the agenda, ask for one takeaway per group or invite responses in chat instead.

For a primarily informational webinar, a poll followed by a short explanation of the results may create enough participation without dividing attendees into rooms. Zoom’s guide covers breakout rooms alongside other interaction tools, while the University of Chicago CME guide includes breakout discussions among virtual conference options.

Rehearse the presenters and production

Online presentations make it harder for speakers to read non-verbal reactions, and the technology adds its own failure points. Rehearse the sequence, test audio and video, check that slides are legible on a typical screen, and confirm that polls and Q&A are ready to launch. Walk through transitions between speakers and decide who handles technical interruptions.

Microsoft Adoption puts it plainly in its playbook: “There is no replacement for preparation.” Its before-the-event guidance recommends rehearsal as speakers adapt to presenting online. In Microsoft Teams, organizers can also preview an event as an attendee using the instructions in Host an event in the Microsoft Teams Events app. Platform features and limits can change, so check current documentation for the event format you plan to use.

Make participation accessible

Engagement depends on more than asking people to speak. Offer participation routes that work for attendees who cannot or do not want to unmute, such as chat, polls, or written Q&A. Microsoft’s playbook recommends closed captions, alt text for images, and accessibility checks for slides. Include these checks in preparation rather than trying to fix materials during the live event.

  • Check that slides have readable text and a logical structure.
  • Provide alt text for meaningful images.
  • Enable or arrange closed captions where available.
  • Explain how to contribute through text as well as audio.
  • Make prompts and instructions clear before sending people into a poll or breakout.

Microsoft’s Virtual Event Playbook emphasizes accessibility and inclusion across event delivery. The exact setup depends on the platform and event format, so confirm the available accessibility features in the current product documentation.

Choose the event format and platform to fit the interaction

Compare options against your expected audience, the kind of interaction you need, accessibility requirements, and the moderation capacity available. One-to-many polling and Q&A are different needs from small-group collaboration; a format that supports one may not be the best fit for the other.

Microsoft Support states that polls are available in events with up to 20,000 attendees. The page does not state a publication year, and this is a platform availability limit—not evidence that polling improves engagement or a guarantee that every event configuration supports the same feature. Check the current Teams Events instructions for the event type you intend to host.

Production complexity also matters. Microsoft’s playbook describes semi-live events that use recorded core content with live Q&A. That approach can suit a program where presenters want a prepared presentation but attendees still need a live question period. Choose it only if the format fits the event and the team can manage the live elements.

Collect feedback and follow up

Close the loop after the live session. Send a short survey focused on useful questions—such as whether attendees found the session clear and what they still need—rather than a long form that is harder to complete. Review unanswered questions and follow up with answers or a pointer to the right resource. Zoom documents post-event feedback and Q&A reporting in its virtual event guide.

These practices are supported as planning recommendations by Zoom, Microsoft, and institutional event guidance; the cited sources do not establish a quantified engagement increase or prove that one tactic works best for every audience. Use feedback from your own events to decide which interaction moments deserve to remain in the agenda.
