Keep a chronological, reconciled record of every crypto transaction, backed by original exchange statements, payment evidence and wallet or blockchain records. Each entry should show what happened, the amount and BRL value, any fees, which accounts or wallets were involved, and where the supporting evidence is stored. This makes it easier to substantiate acquisitions and disposals and to prepare for Brazil’s reporting and income-tax requirements, which differ by purpose and are changing under DeCripto.

Build one auditable record across exchanges and wallets

Start with a single ledger covering every exchange account, self-custody wallet, payment service and blockchain you used. Use one row per event, not just one row per tax year or one row per asset. Include purchases, sales, swaps, gifts, payments, deposits, withdrawals and transfers, including movements that do not involve Brazilian reais.

Preserve each provider’s original CSV, statement or confirmation unchanged. Work from a separate copy if you need to normalize dates, currencies or asset names. For each export, note when you downloaded it, which account and period it covers, and whether it includes fees and transfers. Keep payment receipts, bank records, order confirmations, wallet receipts, transaction hashes and relevant gift documentation with the corresponding ledger entries.

Receita Federal’s 2026 IRPF Questions and Answers says taxpayers must keep documentation proving the authenticity of cryptoasset acquisition and disposal transactions. The following fields are a practical way to organize that evidence; Receita does not describe them as a mandatory, exhaustive checklist.

Ledger field What to record
Date and time Event time and the timezone used by the exchange or blockchain.
Event and asset Transaction type, ticker, full asset and network identification where symbols may be ambiguous, and quantity at the precision shown in the source.
Values and fees Quantity in and out, gross value in BRL, fees in BRL, and the valuation source or method. Retain the original foreign-currency amount and exchange record as well.
Accounts and parties Platform or counterparty, account identifier, and whether the service provider is domiciled in Brazil or abroad. Keep evidence linking the account to you.
On-chain or platform reference Wallet addresses and blockchain transaction hash where available; for exchange activity, the order or trade ID.
Evidence and reconciliation Source filename, supporting document, ownership or transfer explanation, and reconciliation status.

For example, if you withdraw bitcoin from an exchange to a wallet you control, retain the exchange withdrawal record and the receiving wallet transaction. Mark the event as a self-transfer and link the two records. That helps explain why the exchange balance fell without treating the movement as a sale. Reconcile opening and closing balances for each account or wallet, and investigate unexplained differences rather than silently adjusting them.

Keep evidence that explains each kind of event

  • Acquisition: Keep the trade confirmation or invoice, payment or bank record, quantity received, fees and the source of the BRL valuation.
  • Sale or crypto-to-crypto swap: Keep the disposal confirmation and evidence of what you received. For a swap, record both assets, quantities and the BRL value used on the date the replacement asset was received.
  • Transfer between your own accounts: Preserve both the sending and receiving records, addresses or account details, transaction hash where available, and a note identifying common ownership.
  • Gift, payment or other unusual movement: Retain the relevant agreement, receipt or correspondence and a short explanation of the event. Do not label an unexplained movement as a self-transfer.

Under the legacy IN RFB 1.888/2019 framework, reportable event types included purchases and sales, exchanges, donations, transfers to or withdrawals from exchanges, temporary assignments, payment in kind, issuance and other transfers. That list is useful when checking whether a ledger has omitted a kind of movement, but it does not establish the current DeCripto filing scope.

Separate transaction reporting, income tax and the asset declaration

These are related but distinct questions. Keeping a complete transaction history does not by itself determine whether you must submit a particular transaction report, recognize a taxable gain or list an asset in an individual return.

DeCripto reporting from July 2026

Receita Federal stated on 23 July 2026 that cryptoasset transactions made from July 2026 are reported under DeCripto, established by IN RFB 2.291/2025. Receita describes DeCripto as aligned with the OECD Crypto-Asset Reporting Framework. Its DeCripto materials page, published 9 January 2026, lists the instruction, ADE Copes 2 of 31 December 2025, a version 1.0 layout manual and version 1.0 layouts.

Check the current instruction and manual for whether your activity triggers an individual filing, what fields apply and when a report is due. Receita’s public information cited here does not establish the complete individual triggers, fields or deadlines. Do not assume that the old reporting threshold or calendar automatically carries over.

Legacy IN RFB 1.888/2019 figures are historical, not a DeCripto shortcut

Under the legacy regime, Brazilian-domiciled crypto exchanges had reporting duties without a value threshold. Brazilian-resident individuals and legal entities had to report specified activity on foreign exchanges or outside exchanges when monthly transaction totals, alone or combined, exceeded R$30,000. The threshold applied to the listed transaction types, not only to conversions into fiat currency. Receita’s current crypto portal identifies IN RFB 1.888/2019 as revoked by IN RFB 2.291/2025, so treat R$30,000 as a legacy figure rather than a general current DeCripto threshold.

A Governo Federal service page modified on 24 July 2026 still describes the legacy deadlines: individual and company information by 23:59:59 Brasília time on the last business day of the month after the transaction month, and Brazilian-domiciled exchanges by the last business day of January for the preceding calendar year. The page cites IN RFB 1.888/2019; these are not confirmed DeCripto deadlines.

Income-tax treatment of swaps and disposals

Receita’s 2026 IRPF Questions and Answers says a direct exchange of one cryptocurrency for another can generate an individual income-tax capital gain even when no fiat currency is received. It says the disposal value is assessed in reais at the market value on the date the replacement asset is received. Keep the trade details and valuation evidence needed to reconstruct that value.

The same Q&A mentions a R$35,000 monthly-disposal exemption only in a passage expressly labeled as applying through 31 December 2023. Do not treat that historic threshold as a verified current exemption; confirm the applicable rules and your circumstances.

Cryptoassets in the 2026 online individual asset declaration

Receita Federal’s online return manual, updated 26 May 2026, says to declare original acquisition value, not current market value, for cryptoassets. It gives a declaration threshold of acquisition value equal to or greater than R$5,000 for the same cryptoasset type. The description may include quantity and the model of digital wallet used for self-custody. This asset-declaration instruction does not decide whether a separate transaction-reporting duty applies.

Choose a recordkeeping method that you can verify

Method Best fit Check before relying on it
Spreadsheet and organized source files A small, straightforward history across a few accounts and wallets. Can you account for every source export, fee, BRL valuation and self-transfer, and reproduce each total from dated evidence?
Crypto tax or portfolio software High-volume activity or history spread across many providers and chains. Verify current Brazilian source coverage, transfer reconciliation, BRL valuation and support for applicable DeCripto and income-tax needs. Do not assume a product is compliant based on a general claim.
Brazilian tax professional Cross-border activity, complex or unusual events, or uncertainty about filing triggers and personal tax treatment. Provide complete source records and ask which current rules and reporting period apply to your case.

For any method, store records in a stable folder structure organized by tax year and platform or wallet, with a secure backup and controlled access. Keep originals separate from working files. Receita’s cited materials require evidence to be retained but do not establish a specific retention period; confirm the applicable period against current rules and your tax circumstances.
