Inserting a screenshot depends on two separate steps: capturing the screen and placing the resulting image where readers can see it. Microsoft Word can capture an open window or a selected region directly into a document. Google Docs accepts an existing image by upload, drag-and-drop, copy-and-paste, or URL. A web page uses an HTML <img> element whose src points to an image file that the browser can reach.
Use the workflow below that matches your destination and the screenshot’s current location: live on your screen, already saved as a file, or copied to the clipboard.
Choose the right insertion method

Capturing directly into a document is different from inserting an existing picture: the first workflow creates the image, while the second places an image you already have.
Insert a screenshot directly in Microsoft Word
Word’s Screenshot command is useful when the target window is open and you want to capture it without saving a separate file first. The steps apply to the Word versions covered by Microsoft’s current support guidance, including Microsoft 365 and several perpetual releases on Windows and Mac.

- Open the window you want to capture and make it the active window. Word places the active window first in its gallery.
- Switch to Word and open the document.
- Choose Insert > Screenshot.
- To capture an entire open window, click that window’s thumbnail in the gallery.
- To capture only part of the screen, choose Screen Clipping, then drag across the region. Release the pointer when the selection contains everything you need.
Word inserts the result as a picture at the cursor. If the wrong window appears in the gallery, return to that application, activate it, and open the Screenshot gallery again.
Adjust size, wrapping, and reading order
Select the inserted picture to resize it or open the layout options. For a document that must work well with screen readers, inline-with-text placement is the predictable choice described in Microsoft’s accessibility guidance. Add alternative text that explains the useful information shown, rather than leaving a reader to infer it from the image.
Check the image at its final size. A screenshot that looks sharp while editing can become unreadable after being reduced to fit a page. Crop irrelevant browser chrome only when doing so does not remove context the reader needs.
Insert an existing screenshot in Word
When the screenshot is already saved, inserting the file avoids capturing the screen again.

- Place the cursor where the image should appear.
- Choose Insert > Pictures (the exact source labels vary by Word edition and platform).
- Select the image from your device. Depending on the platform, Word can also offer OneDrive, stock images, or web search.
- Confirm the insertion, then set an appropriate size and text-wrapping option.
Word for the web also supports pasting a copied picture and dragging an image into the document. If an image is on the clipboard, click the target location and press Ctrl+V on Windows or Command+V on Mac.

Put a screenshot in Google Docs
Google Docs provides several ways to add an existing screenshot on a computer.
Upload, use a URL, or choose another source
- Open the document and place the cursor at the intended location.
- Choose Insert > Image.
- Select the available source, such as Upload from computer or By URL, and complete the picker.
- Click the image to expose its size, alignment, and image-option controls.
Drag or paste
You can drag an image file from your computer into the document. You can also copy an image from your computer or a website and paste it into Docs. The image appears at the insertion point, after which you can resize or reposition it.
Wrapping and pageless documents
In a pages-format document, image options can provide text wrapping and position controls. Google notes that these controls are not available in pageless documents. If you need text to flow around the screenshot or want precise positioning, switch the document to pages format before adjusting the layout.
Add alt text
Open the image’s options and choose Alt text. Write a concise description of the screenshot’s meaning—for example, “Billing settings page with the Export CSV button highlighted.” Do not use “image” as the description and do not rely on the file name.
Add a screenshot to an HTML web page
A browser can display a screenshot only when the page can retrieve the image. Upload the file to your site, place it in a public assets directory, or use another reachable image URL. Then reference it with an img element:

A relative path such asimages/screenshot.pngis resolved from the current page; an absolute HTTPS URL points to another host.altsupplies the useful meaning for people who cannot see the image and appears if the image cannot load.widthandheightstate the intrinsic dimensions, helping the browser reserve space and reduce layout shifts while the image loads.
Use an empty alt="" for a purely decorative screenshot that adds no information. If the screenshot is itself a link, describe the destination or action in the link’s alternative text, not just its visual appearance.
Use a figure and caption when context is visible

- Meaning: Alt text explains what the screenshot teaches, not every visible pixel.
- Layout: Verify that labels remain legible at the document’s or page’s final display size.
- Reading order: In Word, use inline placement when predictable screen-reader order matters. In Docs, use pages format for wrapping and position controls.
- Loading: Confirm that the HTML path or URL works from the published page, not only from your local computer.
- Dimensions: Include intrinsic width and height in HTML when known.
- Rights: A screenshot can contain third-party text, logos, photographs, or personal data. Microsoft places responsibility for respecting copyright on the user; obtain permission or remove sensitive material before public reuse.
Troubleshooting common problems
Word captures the wrong window
Activate the desired application before opening Word’s Screenshot gallery. Close unrelated windows if the gallery is crowded, then reopen Insert > Screenshot.
The screenshot is blurry after insertion
Do not enlarge a low-resolution capture. Recapture at a larger viewport or higher scale, then insert the new file. Keep text-bearing screenshots large enough for the final page or browser layout.
Google Docs will not wrap text around the image
Check whether the document is pageless. Google Docs does not provide the cited wrapping and positioning controls there; switch to pages format.

The HTML image shows a broken-image icon
Check the path, capitalization, file extension, and server permissions. Open the exact src URL directly in a browser. A local path on your computer will not work for visitors to a published site.

The image loads but shifts the page
Add accurate width and height attributes so the browser can reserve the image’s space before downloading it.
The screenshot contains a consent banner or chat widget

Provide meaningful alt text when it conveys information. For a decorative image, an empty alt attribute is appropriate.
What is the difference between a screenshot URL and a file path in HTML?
