Use your dashboard platform’s scheduled email or subscription feature to send a current image after the relevant data refresh. Choose an inline image when readers need a quick visual scan, a PDF when they need a printable attachment, and include a dashboard link for drill-down. Before sending, check recipient access, sensitive data, rendering prerequisites, and email attachment limits.
Choose how the dashboard should appear in the email
The right format depends on how recipients will use the report. An inline screenshot is quick to scan, but it is a static copy: readers cannot filter or explore it inside the email. A PDF is easier to save, print, or circulate as a document. A dashboard link supports interactive analysis, but recipients may need to sign in and have permission to view the underlying dashboard.

For many report emails, the useful combination is a small inline preview plus a clearly labeled link to the dashboard. State the capture date, time, and time zone near the image so a reader can distinguish a current snapshot from an older email.
Schedule delivery to match data freshness
Prefer an “after data refresh” trigger if your platform and configuration support it. Otherwise, schedule delivery for a fixed time after the refresh is expected to finish, then check that the emailed snapshot contains the latest data. Dashboard rendering can depend on cached results, query execution, or a separate image-rendering service, so a scheduled email time alone does not guarantee fresh data.

- Confirm the refresh or data pipeline’s expected completion time.
- Set the email to run after refresh where that option exists; otherwise leave a practical buffer after refresh completion.
- Send a preview to representative recipients and compare its timestamp and values with the dashboard.
- Include a link for readers who need to verify details or explore beyond the snapshot.
Power BI: send a report or dashboard snapshot
Power BI subscriptions email a snapshot on the schedule you set, and can include a report-page preview and a “Go to report” link. Microsoft describes the subscription as an email and snapshot delivered on the schedule you choose (Power BI subscriptions). Subscription scheduling can be configured to run after data refresh where available. Check the report’s sensitivity before enabling a preview: Microsoft notes that sensitivity labels are not applied to the subscription email or preview image (sensitivity labels in Power BI).
- Open the report or dashboard and choose Subscribe.
- Create a subscription and set its cadence and delivery time, or select the available after-refresh option.
- Select the report-page preview if an inline image is appropriate, and include the report link for interactive access.
- Choose recipients who are permitted to see the data, then save and test the subscription.
If the email needs a PDF attachment rather than an inline preview, a Power Automate workflow can export the report and send the file as a scheduled email attachment. That is a file-delivery workflow, not the same as embedding a live, interactive report in the message.
Grafana: schedule a report with an embedded image
Grafana Reporting can send scheduled emails from dashboards, with options to Embed dashboard image and Include a dashboard link (Grafana reporting documentation). The redesigned reporting feature is documented as public preview, so confirm that it is available in your Grafana deployment before designing a workflow around it.

- Open the dashboard and select Share > Schedule a report.
- Set the schedule and recipients.
- Enable Embed dashboard image; optionally enable the dashboard link for drill-down.
- Use Send preview to check the rendered message and snapshot before relying on scheduled delivery.
Grafana email delivery needs SMTP configuration, and image or PDF generation requires the image-renderer service. Check both when a report arrives without its image or fails to send. Grafana documentation says attachments—including PDFs, CSVs, and embedded images—larger than 10 MB are not sent by default; treat that as a default product setting, not a universal mail-server limit.

Google Cloud Looker scheduled dashboard delivery supports email. Select PNG visualization to place a dashboard image inline, or PDF to send an attachment. Looker describes PNG visualization as “An image of the dashboard as a single PNG file” (schedule and send dashboards).
- Open the dashboard’s Schedule delivery menu and choose Email.
- Choose PNG visualization for an inline image or PDF for an attachment.
- Set recipients and timing, then review the instance’s email policy before sending.
- Test the delivery and check that the image or attachment reflects the expected data.
Looker can use valid cached results or rerun a query if cached results are missing or expired (Looker caching and datagroups). This can affect how current a scheduled snapshot is and how long delivery takes. Administrators can also enforce a Send Link Only email policy; a linked dashboard requires the recipient to authenticate (Looker email settings).

Tableau Cloud or Server: subscribe to a view or workbook
Tableau subscriptions send an image or PDF snapshot of a view or workbook at regular intervals. Recipients can select the image, or a link in a PDF subscription, to open the Tableau content; access to the linked view or workbook still depends on their Tableau permissions. Tableau describes subscriptions as image or PDF snapshots delivered at regular intervals without requiring sign-in just to receive the email (Tableau subscriptions).
- Open the view or workbook and choose Subscribe.
- Select image or PDF, then set the schedule and recipient list.
- Where configured, align delivery with the data-refresh schedule.
- Test the subscription and verify any Tableau Cloud email security or allow-list requirements for your environment.
Protect data and confirm recipients can act on it
An email image is a copy of dashboard content, not a secure substitute for dashboard permissions. Verify the intended recipients and the fields shown in the preview before enabling automated delivery. This matters especially when a platform’s email image does not inherit the same sensitivity protections as its interactive report.
- Use a test recipient list that represents the actual audience, including external recipients if they are intended.
- Remove or mask fields that recipients should not receive in email.
- Check whether a link requires authentication, an account, a license, or a specific dashboard permission.
- Label the snapshot with its capture time and time zone, and make clear if its values can be cached or delayed.
- Follow your organization’s rules for confidential data, retention, and email distribution.
Troubleshoot missing, blank, stale, or oversized reports
The email arrives without an image
For Grafana, verify SMTP settings and that the image-renderer service is installed and healthy. For other platforms, confirm that the chosen subscription format is supported by the instance’s admin policy and that the preview or image option is enabled.

The image is blank or shows an error page
Open the dashboard directly using the same account and check whether it renders successfully. Review permissions, dashboard filters, data-source availability, and refresh status, then send a preview again. If the dashboard itself is empty, the email renderer cannot create meaningful report content from it.
The screenshot contains old data
Compare the image’s timestamp with the latest refresh completion. If delivery is fixed-time, move it later or use an after-refresh schedule where available. In Looker, consider whether valid cached results are being reused or a query must run; query completion and cache policy can change the snapshot’s timing.
The report is delayed or fails to send
Check mail delivery configuration and service health first. In Grafana, confirm both SMTP and the renderer. For Looker, query execution may be required when usable cached results are absent. Send a preview and reduce the requested content if rendering or attachment generation is taking too long.

The attachment is rejected or missing
Reduce the dashboard’s rendered scope or choose an inline preview or link instead of a large PDF. Grafana’s default behavior does not send emailed PDFs, CSVs, or embedded images above 10 MB. Other platforms and mail systems may apply their own limits, so confirm the applicable threshold in your deployment.
A recipient can see the image but cannot open the dashboard link
The link does not grant access by itself. Confirm that the recipient can authenticate and has permission to the Tableau, Power BI, Looker, or Grafana content. If your organization uses a link-only email policy, recipients must sign in to view the dashboard.
