To highlight duplicates in Excel, select the cells you want to check, then choose Home > Conditional Formatting > Highlight Cells Rules > Duplicate Values. Pick a formatting style and select OK. Excel marks matching values without deleting them.
Highlight duplicate values with Excel’s built-in rule
- Select the range. Highlight the cells or column you want Excel to inspect.
- Open the Home tab and select Conditional Formatting.
- Choose Highlight Cells Rules > Duplicate Values.
- In the dialog, choose how duplicates should look, then select OK.
The rule applies to the selected cells and is a visual aid for reviewing data; it does not remove or change the values. Microsoft documents this path for Microsoft 365 and Excel 2024, 2021, 2019, and 2016. Microsoft’s instructions for finding and removing duplicates
Use a formula when the built-in rule is not flexible enough
If you need to define the comparison range or use custom matching logic, apply a formula-based conditional-formatting rule. For example, to mark values occurring more than once in A2:A400, select that range and create a conditional-formatting rule using:
=COUNTIF($A$2:$A$400,A2)>1
The dollar signs lock the comparison range so each selected cell is checked against the same A2:A400 range. Microsoft documents this approach in its guide to using conditional formatting to highlight information.

Unusual text and PivotTable cases
- The built-in duplicate rule cannot highlight duplicates in the Values area of a PivotTable report. This limitation is specific to that area, not necessarily every cell in a PivotTable.
- When Office authoring languages use a double-byte character set, the built-in rule treats half-width and full-width characters as alike. A formula rule can distinguish them.
- The built-in rule treats
*and?as wildcard characters, even when those symbols appear in a cell formula. Consider a formula-based rule if those characters need literal, distinct matching.
Choose between highlighting, hiding, and deleting duplicates

| Temporarily show only unique values | Filter for unique values | Hides other entries from view rather than deleting them. |

If you choose deletion, copy the original range to another worksheet first. The Remove Duplicates command permanently deletes data, so keep a recoverable copy if you may need the original entries. Microsoft recommends copying the original range before removing duplicates.
