To give a live PowerPoint presentation, prepare the deck and display or meeting setup, rehearse the talk aloud, then present with deliberate slide control. Use Presenter View if you have a separate presenter display; otherwise, keep notes available privately and use manual slide advancement. Test the exact setup before the audience arrives, including media, captions and the screen the audience will see.

Choose the right setup for your audience

There is no single best setup for every talk. Decide how the audience will see the slides and how you will control them before you build your final run-through.

Setup Good fit What to check
One screen, in person A room where the presenter and audience share one display. Confirm the slideshow is readable from the back of the room. Keep notes somewhere the audience cannot see.
Presenter display plus audience display An in-person talk where you want private notes and a preview of the next slide. Check which display shows the audience slideshow and which shows Presenter View.
Remote or hybrid meeting A talk delivered through a meeting platform, possibly to both in-room and remote attendees. Test the meeting share, audio, captions and any organization-specific access. Microsoft says Present Live for PowerPoint on the web is deprecated and directs remote presenters to PowerPoint Live in Teams; verify the current interface and availability before relying on a particular joining workflow.

Microsoft’s official guidance covers presenting, accessibility and rehearsal features, but feature availability and interface details can vary by PowerPoint platform, version and account. Check your actual installation rather than assuming every control is available.

Prepare the deck and presentation space

Check the file and media

  • Open the presentation on the device you plan to use. Confirm that the intended deck is the one you will present.
  • Play any embedded audio or video from the presentation itself. Check that sound reaches the room or meeting and that the media starts as expected.
  • For an in-person talk, connect to the projector or external display early. For a remote talk, confirm you can share the intended screen or presentation window.
  • If you are using a second display, identify which screen shows the audience slides before you begin. Do not assume the display arrangement will match your rehearsal setup.

Start at the right slide

In PowerPoint, start the slide show from the beginning or from the current slide, depending on where you need to enter. Microsoft’s “Present your slide show” guidance describes both starting and navigating a show. Confirm that the audience sees the opening slide before speaking.

Use Presenter View when it helps

Presenter View can show the presenter the current slide, next slide, speaker notes and timing while the audience sees only the slide show. It is most useful when you have a separate presenter display and have verified the monitor arrangement.

  1. Connect or enable the presenter and audience displays.
  2. Start the slide show and select the intended monitor for the audience presentation.
  3. Check the presenter display. Confirm that notes and the next-slide preview are private and that the audience display contains only the slides you intend to show.
  4. If Presenter View does not appear or the displays are reversed, stop before speaking. Recheck the display selection, or use the manual fallback below.

For a one-screen setup, Presenter View may not be appropriate. Keep your notes on a separate device or use a printed outline, and make sure it cannot appear on the shared screen.

Have a manual fallback

If the second display, Presenter View or meeting share behaves unexpectedly, stop the slide show if necessary, select the correct display or shared window, and verify the audience view again. If you cannot restore the preferred setup promptly, continue with the standard slide show and notes kept private. A simple fallback is better than exposing speaker notes or unrelated desktop content.

Rehearse and choose how slides advance

Time the whole talk out loud

Rehearse the presentation aloud, including transitions, pauses, demonstrations and audience questions. PowerPoint’s Rehearse Timings feature records per-slide and overall timing. Use the results to identify slides that need more explanation or a tighter script; do not treat a timing record as proof that the talk will fit every live situation.

If you do not want slides to advance automatically, choose manual advancement in Set Up Slide Show. This is usually a better fit when you expect to pause, take questions or adapt to the room. If you use saved timings, test them through the full deck so they do not advance during a point that needs more time.

Use Speaker Coach as feedback, not a verdict

Speaker Coach can offer automated rehearsal feedback on pacing, filler words, wordiness, inclusive language and reading slide text. Treat that output as prompts for revision rather than a substitute for your own judgment. A deliberate pause, a technical term or a quoted passage may be appropriate even if an automated suggestion flags it.

Control the slides deliberately

Learn the next-slide, previous-slide and end-show controls for the device and PowerPoint version you will use. Microsoft’s presenting guidance documents slide navigation, but the exact controls can depend on the setup. Practice moving backward as well as forward, because a live audience may ask you to revisit a point.

A wireless presentation remote is an optional convenience, not a requirement. If you use one, check compatibility and test its range with the actual computer, receiver and room before the talk. Do not rely on an untested clicker as your only way to control the deck.

Make the presentation easier to follow

Captions and subtitles

PowerPoint supports live automatic captions or subtitles. Before relying on them, check whether the feature is available in your platform and version, select the appropriate languages where offered, and test it in the room or meeting. Automatic transcription can be imperfect, so do not promise that it will capture every word accurately.

Screen-reader and independent access

Microsoft documents screen-reader support for presenting with PowerPoint. Check the actual setup and accessibility needs of your audience in advance. Where possible, provide an accessible copy of the slides or another way for attendees to follow along independently. A shared slide file complements the live talk; it does not replace describing important visual information aloud.

Inclusive delivery

Use clear spoken transitions so listeners know when you have moved to a new topic. Avoid relying only on color or position to explain a chart, and explain meaningful images or diagrams in words. If you use captions, screen-reader support or a shared copy, confirm that the audience can actually access the chosen option.

Deliver the talk and close cleanly

  1. Confirm the audience view, audio and meeting share before beginning.
  2. Start the slide show from the beginning or the intended current slide.
  3. Speak to the audience rather than reading every line from the slides. Use notes as prompts.
  4. Advance deliberately, pause where the audience needs time, and move back when a question calls for it.
  5. At the end, exit the slide show and return to the meeting or discussion. Check that private notes and unrelated desktop content are not visible on the audience display.

Troubleshoot common presentation problems

Problem Likely cause What to do
Audience sees Presenter View or speaker notes The wrong display is selected or the screens are mirrored in an unexpected way. Stop and verify the monitor assignment and audience view before continuing. If needed, use the standard slide show with notes on a separate device.
Presenter View or the second screen does not appear The display is not connected, enabled or selected as expected. Check the display connection and PowerPoint’s selected monitor. If the preferred arrangement cannot be restored quickly, switch to the tested manual fallback.
Slides advance at the wrong time Saved slide timings are enabled or do not fit the live pace. Use manual advancement in Set Up Slide Show if you need control over pauses and questions; rehearse again after changing the setting.
Embedded audio or video fails The media, device, output or meeting share has not been tested in the live setup. Play it from the presentation on the presentation device and check the room or meeting audio path. Keep a spoken explanation or alternate plan ready if the media remains unavailable.
Captions are missing or inaccurate The feature may not be available in that platform or account, language settings may be unsuitable, or automatic recognition may mishear speech. Check availability and language settings in advance, test the feature, and offer another way to follow the presentation where possible.
Remote attendees cannot see the intended content The wrong screen or window is being shared, or the expected workflow is unavailable to the organization. Confirm the shared view from the meeting interface and check current PowerPoint and Teams access with the organization before promising a specific workflow.
