It uses the sheet’s print area, paper size, orientation, margins, scaling, page breaks, print titles, and print settings. That is why a PDF may contain clipped columns, unexpected blank pages, tiny text, missing gridlines, or only part of the worksheet.
Use File → Print first to inspect the actual page arrangement. Fix the worksheet’s print settings, preview it again, and only then save it as a PDF.
1. Check what Excel is actually going to publish
Before changing formatting, open the print preview:
- Press Ctrl+P, or select File → Print.
- Under Settings, choose the correct output: Print Active Sheets, Print Entire Workbook, or Print Selection.
- Move through the preview pages and check for cut-off columns, unexpected blank pages, and poor page breaks.
If the sheet has a print area, Excel prints only that area. To include the whole worksheet, select Ignore Print Area in the print settings. This is often the reason a newly added table or set of columns is missing from the PDF.
2. Set the correct print area
A print area tells Excel which cells to publish. It is saved with the workbook, so it can continue affecting later PDF exports.
- Select the complete range that should appear in the PDF.
- Go to Page Layout → Print Area → Set Print Area.
- Return to File → Print and confirm that the preview contains the intended cells.
To extend an existing area, select the adjacent cells and choose Page Layout → Print Area → Add to Print Area.
Be careful when adding separate, nonadjacent ranges. Excel treats each separate print area as a separate page, which can create apparently empty or unexpected pages in the PDF. If the print area has become confusing, click anywhere on the worksheet and select Page Layout → Print Area → Clear Print Area. Then define one clean range again.
3. Change portrait orientation to landscape
Wide tables commonly export badly because Excel starts with portrait orientation. The result may be one or two columns on the first page and the remaining columns on later pages.

- Open the Page Layout tab.
- Select Orientation → Landscape.
- If necessary, select Size and choose a larger paper size, such as Legal, instead of Letter.
Landscape is normally preferable to shrinking a wide table until the text is unreadable. Excel’s automatic page breaks depend on paper size, orientation, margins, scaling, column widths, and row heights, so changing one of these settings can move the page boundaries.
4. Fit all columns on one page
If the PDF should keep all columns together but may continue down several pages, use width-only scaling:

- Go to Page Layout.
- In the Scale to Fit group, set Width to 1 page.
- Leave Height set to Automatic.
This is usually better than forcing a large worksheet onto one physical page. It keeps the columns together while allowing the rows to flow onto additional pages.
5. Fit a small worksheet onto one page
For a short report that must fit on a single PDF page:
- Select Page Layout.
- Open the Page Setup dialog by selecting the small launcher arrow in the lower-right corner of the group.
- On the Page tab, select Fit to.
- Enter 1 for page(s) wide by and 1 for tall.
- Select OK.
Do not use this setting for a long data sheet without checking the preview. Excel may technically fit the sheet, but the resulting text can be too small to read. Try landscape orientation, narrower margins, or a larger paper size before applying aggressive scaling.
Important: Fit to scaling overrides manual page breaks. If manually inserted breaks appear to do nothing, open Page Setup → Page, change scaling from Fit to to Adjust to, and then review the breaks again.
6. Use percentage scaling instead
Percentage scaling gives more control when a table is only slightly too wide or too tall:
- Open Page Layout → Page Setup.
- On the Page tab, select Adjust to.
- Enter a percentage such as 90% or 80%.
- Select OK and inspect the preview.
On Windows, the Page Setup dialog can also be opened with Alt+P, S, P. To remove applied scaling from the print interface, select File → Print → Settings → No Scaling.

7. Control page breaks
Use page-break preview when Excel is splitting a report in an awkward place:
- Select View → Page Break Preview.
- Dashed lines represent automatic page breaks. Solid lines represent manually inserted breaks.
- To insert a vertical break, select the column immediately to the right of where the break should occur.
- To insert a horizontal break, select the row immediately below where the break should occur.
- Choose Page Layout → Breaks → Insert Page Break.
To remove one manual break, select the column to its right or the row below it and choose Page Layout → Breaks → Remove Page Break. To remove all manual breaks, choose Reset All Page Breaks. Automatic breaks cannot be deleted.
Dragging an automatic break converts it into a manual break. If dragging does not work in Windows, enable File → Options → Advanced → Editing options → Enable fill handle and cell drag-and-drop.
If page-break lines remain visible after returning to Normal view, go to File → Options → Advanced. Under Display options for this worksheet, clear Show page breaks.
8. Fix margins and centering
Large margins can force a few characters or an entire column onto another page. On the Page Layout tab, choose:
- Margins → Narrow for more printable space.
- Margins → Normal for a standard layout.
- Margins → Custom Margins when exact top, bottom, left, and right values are needed.
From Custom Margins, select Horizontally or Vertically under Center on page to center a small report.
You can also adjust margins visually from File → Print. Turn on Show Margins in the lower-right area of the preview, then drag the margin handles.
Headers and footers can be clipped if their margins are too large. Header and footer margins must be smaller than the corresponding top and bottom margins and must meet the printer’s minimum margins. In Page Setup → Header/Footer, clear Scale with document if the header or footer should keep its own font size. Clear Align with page margins if its left and right alignment should be independent of the worksheet margins.

A multi-page table is difficult to read when the second page has data but no column labels. Set print titles as follows:
- Open Page Layout → Page Setup using the dialog-box launcher.
- Select the Sheet tab.
- Under Print titles, select Rows to repeat at top.
- Select the heading row or enter a range such as
$1:$2. - Select OK and check the print preview.
You can use Columns to repeat at left for an identifier column that should appear on every page.
10. Decide whether gridlines, headings, and notes should print
What is visible in the worksheet is not necessarily included in the PDF:

For comments and notes, Excel can use At end of sheet or As displayed on sheet, depending on the required output. If the report needs visible cell boundaries, enabling gridlines is one option; applying borders to the actual table is usually more consistent in a polished PDF.

11. Save the corrected worksheet as a PDF
After the preview looks right, save the output:
- Select File → Save As or File → Save a copy.
- Enter the PDF filename.
- Open Save as type and choose PDF (*.pdf).
- Choose Standard (publishing online and printing) for normal-quality output, or Minimum size (publishing online) when a smaller file is more important.
- Optionally select Open file after publishing.
- Select Options to choose which pages or worksheets to publish and configure the output.
- Select OK, then Save.
The PDF Options dialog controls the worksheets or pages that are published, but it is not a replacement for worksheet print formatting. Correct the print area, scaling, page breaks, orientation, and margins before using it.
12. Excel for Mac and Excel for the web
On Excel for Mac, open Page Layout → Page Setup → Page, select Fit To, and enter the required values in Page wide by and Tall. For one-page-wide output with unlimited height, enter 1 for Page wide by and 0 for Tall. Mac PDF output is also available through File → Print → Show Details, where the print dialog provides PDF, page, margin, and scaling controls.
Excel for the web has fewer page-layout controls. It does not provide desktop Excel’s one-page scaling, custom page margins, or page-break insertion. Select Open in Excel and use the desktop application when precise PDF formatting is required.

Why does my Excel PDF look different from the worksheet?
PDF export follows print settings rather than the normal worksheet view. Print area, paper size, orientation, margins, scaling, page breaks, repeated titles, gridlines, headings, and comments or notes all affect the result.

How do I stop Excel from cutting off columns in a PDF?
Set the sheet to Page Layout → Orientation → Landscape, reduce the margins, and set Page Layout → Scale to Fit → Width → 1 page. Leave Height as Automatic if the rows can continue onto additional pages.

Fix the print layout before exporting: confirm the print area, choose landscape for wide sheets, scale to one page wide when appropriate, set useful margins, review page breaks, and repeat the heading rows. Then use File → Print to verify the pages and Save As → PDF to publish the result. If the PDF is still wrong, the problem is usually in one of those print settings rather than in the worksheet’s visible formatting.
