To fix formatting in Word, first identify where the mismatch lives: in selected text, a paragraph, a reusable style, pasted content, or a document section. Then repair only that level. A broad reset can erase intentional emphasis or change parts of the layout you meant to keep.
Start by identifying what looks wrong
Formatting problems have different causes, and the right fix depends on their scope. A stray font or color is usually a text-level issue; inconsistent headings are usually a style issue; unexpected pasted text often reflects a paste option; and layout changes that spread across pages may involve section breaks.
- One word or phrase: inspect direct text formatting.
- A paragraph or repeated heading: check its style.
- Text brought in from elsewhere: choose a paste behavior.
- Margins, columns, orientation, headers, or page numbering: inspect section boundaries.
Fix a single word or phrase
Select only the affected text. Use Word’s clear-formatting command, then apply the font or style you want. Clearing formatting removes added formatting from the selection, so it can also remove deliberate bold, emphasis, color, or other choices. Reapply any intentional formatting afterward. Microsoft documents clear-formatting controls across Word interfaces, but their placement varies: Microsoft Support: Clear all text formatting.

If another phrase already looks right, use Format Painter rather than trying to reproduce its settings manually. Select the correctly formatted text, choose Home > Format Painter, then brush over the target. A single click applies formatting once; double-click Format Painter to apply it to multiple selections. Microsoft also documents Alt+Ctrl+C to copy formatting and Alt+Ctrl+V to paste it: Microsoft Support: Use the Format Painter.

Choose how pasted text should look
At paste time, Word provides three options. The choice determines whether the text keeps its original appearance or adopts the destination document’s formatting. Microsoft’s guidance covers Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016: Control the formatting when you paste text.
| Paste option | What it does | Use it when |
|---|---|---|
| Keep Source Formatting | Retains the copied text’s formatting and associated style definition. | You want the pasted material to retain its source appearance. |
| Merge Formatting | Generally discards most direct formatting while letting the text take on characteristics of the destination paragraph’s style. | You want pasted text to blend with the surrounding document. |
| Keep Text Only | Removes formatting and nontext elements such as pictures or tables; the text takes on destination paragraph styling. | You need plain text and do not need embedded objects. |
Set paste defaults in desktop Word
To change what Word does by default, open File > Options > Advanced and find Cut, copy, and paste. Desktop Word provides separate settings for pasting within a document, between documents, when style definitions conflict, and from other programs. These controls let you choose behavior by paste context instead of relying only on the option shown after each paste.

Make headings and repeated paragraphs consistent with styles
Styles are reusable sets of formatting options. Apply a style from the Styles gallery to headings or other recurring text; modifying a style updates the instances that use it, which is more maintainable than changing every occurrence by hand. Microsoft describes styles and the applicable desktop features in Add and remove styles from the Quick Styles gallery.

- To apply one, select the text and choose the intended entry in the Home tab’s Styles gallery.
- To make repeated headings match, modify the style they use rather than formatting each heading separately.
- In desktop Word, you can create a style from selected text that you have already formatted, using the Styles gallery.
Some style features differ in Word for the web and mobile apps. If you cannot create or modify a style in the interface you are using, see the platform limits below.

Limit a page-layout change to the intended section
Margins, columns, orientation, headers, and page numbering can depend on section boundaries. Insert a section break where the layout should change, then make the change with the cursor in the section that needs it. If a change unexpectedly affects the preceding section, Microsoft advises undoing it, placing the cursor after the section break, and trying again.
Choose the section break for the layout
- Continuous: starts a new section on the same page; it can support changes such as column count.
- Next Page: begins the new section on the next page.
- Odd Page or Even Page: starts the new section on the specified page parity.
For Microsoft’s guidance on section breaks and section-specific formatting, see Insert a section break.

Check whether Word for the web supports the control
A formatting option that is unavailable in a browser may be a platform limitation, not a broken document. Microsoft says Word for the web supports basic font and paragraph formatting, but it cannot adjust line spacing, create or modify styles, or edit margins and orientation. Columns, themes, page color, and watermarks are preserved but not editable there. Headers and footers are also preserved but unavailable for editing in the browser. Open the document in desktop Word when you need one of those controls. See Microsoft Support: Differences between using a document in the browser and in Word.
Choose the smallest repair that fits
Use the scope of the problem to avoid changing unrelated content:
Best Value
- One character or phrase: clear or copy formatting on a narrow selection.
- Pasted passage: select a paste option that matches what you need to preserve.
- Repeated headings or paragraphs: apply or modify a style.
- Page layout in only part of the document: use section breaks and make the change in the intended section.
These fixes operate at different levels. A targeted selection is the safer starting point when only a small area is wrong; use a style or section-level change only when the mismatch is repeated or tied to layout.
