When Apple Calendar is not syncing, first determine whether the event is actually in iCloud. Then check the service, Apple Account, iCloud Calendar setting, calendar visibility, and refresh settings before attempting sign-out or deletion. The steps below cover iPhone, iPad, Mac, iCloud.com, Windows with Outlook, and Apple Watch.

Apple Calendar usually stops syncing for one of a few identifiable reasons: the devices use different Apple Accounts, iCloud Calendar is disabled, the event belongs to Google/Exchange/Yahoo rather than iCloud, a calendar is hidden, or the app has not refreshed. Start by finding where the event is stored; do not sign out of iCloud or delete calendars as a first step.

Quick fix checklist

  1. Check Apple’s live System Status page for an iCloud Calendar or related iCloud incident. A server-side outage cannot be repaired by changing settings on your devices.
  2. Confirm that every device is signed in to the same Apple Account.
  3. Enable iCloud Calendar on every device: Settings > [your name] > iCloud > See All/Show All > Calendar, then turn on Use on this [device]. Older systems may call the setting Calendars.
  4. Open Calendar’s calendar list and make sure the required iCloud calendars are selected rather than hidden.
  5. Check whether the missing event is actually stored in Google, Exchange, Yahoo, a subscription calendar, or a local calendar.
  6. Refresh Calendar and check its sync range.
  7. Verify automatic date, time, and time-zone settings.
  8. Install the latest available iOS, iPadOS, or macOS update for the device.
  9. Compare the device with iCloud.com Calendar to determine whether the problem is on the device or in the account.

These checks follow Apple’s current troubleshooting order: verify service availability, account identity, iCloud settings, calendar visibility, refresh behavior, date and time, and software before attempting disruptive recovery steps. See Apple’s iCloud Calendar troubleshooting guidance for Apple’s current device-specific instructions.

First identify what is not syncing

“Apple Calendar” is an app, not necessarily the account where an event is saved. The app can display iCloud, Google, Yahoo, Exchange, subscribed, and local calendars together. An event created in Google Calendar will not appear in iCloud merely because both calendars are visible in Apple Calendar.

Apple 240W USB-C to USB-C Woven Charge Cable (2 m): Fast and Convenient Charging
  • DESIGNED BY APPLE — Ideal for charging, syncing, and transferring data between USB-C devices, this 2-meter charge cable is made with a woven design and has USB-C connectors on both ends.
  • FAST AND CONVENIENT CHARGING — Supports charging of up to 240 watts and transfers data at USB 2 rates. Pair the USB-C Charge Cable with a compatible USB-C power adapter to conveniently charge your devices from a wall outlet and even take advantage of the fast-charging feature on select iPhone and Mac models.
  • WHAT’S IN THE BOX — Apple USB-C Woven Charge Cable only. Power adapter sold separately.
  • CABLE LENGTH — 2 meters (6 feet).

On an iPhone or iPad, open Calendar, tap Calendars, and inspect the account headings and colored calendars. On an iPad, open the sidebar if the list is not visible. On a Mac, choose View > Show Calendar List and inspect the calendars under each account.

Check the same event on another device and at iCloud.com:

  • Visible at iCloud.com but missing on one device: the likely problem is that device’s account, iCloud setting, calendar visibility, refresh state, or local app data.
  • Missing at iCloud.com and on the devices: check the event’s account, service status, and whether it was deleted or saved locally.
  • Visible in Google, Exchange, Yahoo, or another account but not iCloud: there may be no iCloud sync failure. The event is simply stored in a different service.

Do not change the default calendar expecting old events to move. The default calendar controls where new events are created; it does not migrate existing events from a third-party account.

Fix iCloud Calendar on an iPhone or iPad

1. Confirm the Apple Account and iCloud Calendar setting

Go to Settings > [your name] > iCloud. On current iOS and iPadOS versions, tap See All or Show All, select Calendar or iCloud Calendar, and turn on Use on this iPhone or Use on this iPad. On older supported versions, the control may be labeled Calendars.

Repeat the check on every iPhone and iPad that should share the calendars. Compare the Apple Account email address shown under the person’s name in Settings. A device signed in to another Apple Account will not display the first account’s iCloud calendars.

2. Make the calendar visible

Open Calendar, tap Calendars, and select the required calendars under the iCloud heading. A calendar that is unchecked can look like a sync failure even though its data is still present in iCloud.

If only one calendar is missing, compare its name and account with the other device. It may be a Google, Exchange, subscribed, or local calendar rather than an iCloud calendar.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Choose the correct default calendar for future events

When new events should be saved to iCloud, go to Settings > Apps > Calendar > Default Calendar and choose an iCloud calendar. On older iOS or iPadOS versions, the Calendar settings may be located directly under Settings > Calendar.

This affects future events only. It does not transfer existing events from Google, Exchange, Yahoo, or a local calendar into iCloud. To move existing information, use the source account’s supported export or move features and verify the result before removing anything.

4. Refresh Calendar and adjust its sync range

Close the Calendar app, return to the Home Screen, wait about a minute, and reopen Calendar. Tap Calendars, then swipe down in the calendar list to refresh.

Fix iCloud Calendar on a Mac

1. Turn on Calendar in iCloud

Choose Apple menu > System Settings > [your name] > iCloud. Depending on the macOS release, find Calendar under Saved to iCloud or Apps Using iCloud, then enable Calendars.

Confirm that the Apple Account is the same one used by the iPhone, iPad, or other Mac. If the accounts differ, the devices are not expected to show the same iCloud calendars.

2. Show the calendar list and select the calendars

In Calendar, choose View > Show Calendar List. Under iCloud, select the calendars that should appear. Also inspect the other account headings so you can identify whether the missing event belongs to Google, Exchange, Yahoo, a subscription, or a local calendar.

3. Refresh the Mac’s calendars

In Calendar, choose View > Refresh Calendars. For an account-specific refresh, open Calendar > Settings > Accounts and use the Refresh Calendars menu. The Push option allows supported account-based calendars to update automatically when changes are made on devices using that account or to shared calendars.

If the Mac is the only device that is out of date, compare it with iCloud.com before changing accounts or removing local data. That comparison helps distinguish a Mac-only issue from an account-wide issue.

Check date, time, and time zone

An incorrect clock or time zone can make an event appear at an unexpected time and can interfere with calendar operations. It may look as though an event is missing when it is actually displayed on another date.

iPhone and iPad

  1. Connect the device to the internet.
  2. Open Settings > General > Date & Time.
  3. Turn on Set Automatically.
  4. Make sure the device can determine its time zone. If necessary, check Settings > Privacy & Security > Location Services > System Services and enable the time-zone-related service.

Mac

Open Apple menu > System Settings > General > Date & Time and enable automatic date and time and automatic time-zone settings. Also verify the relevant Location Services system setting if the Mac is not identifying its time zone correctly.

Update the operating system

Apple’s troubleshooting guidance recommends installing the latest available software on each affected device. Apple’s supported versions and menu labels change, so use the update screen rather than relying on a version number in an older guide.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • iPhone or iPad: go to Settings > General > Software Update, then install an available update.
  • Mac: open Apple menu > System Settings > General > Software Update and install the available macOS update if compatible.

Keep the device connected to power when appropriate and make sure it has a reliable internet connection. An update is not a guaranteed fix for every sync problem, but it removes known software incompatibilities and is part of Apple’s recommended sequence.

Use iCloud.com to locate the failure

On a computer or tablet, sign in to iCloud.com/calendar with the same Apple Account. Look for the missing event and calendar there.

What you find What it indicates What to do next
The event is on iCloud.com The iCloud copy exists; the problem is probably local to one device. Recheck that device’s Apple Account, iCloud Calendar switch, visible calendars, sync range, date/time, software, and refresh state.
The event is absent on iCloud.com but appears in another account The event is not an iCloud event. Use the relevant Google, Exchange, Yahoo, subscription, or local-calendar account instead.
The event is absent everywhere The event may have been created in another account, deleted, or affected by an iCloud service problem. Check the account list, System Status, and any available recovery options before making changes.

If iCloud.com itself behaves incorrectly, update the browser, clear its cache when appropriate, open another iCloud web app and return to Calendar, or sign out of iCloud.com and sign back in. Avoid restoring an archive until you have established that data is actually missing and that restoration is necessary.

When Outlook on Windows is not syncing iCloud Calendar

For iCloud Calendar in Microsoft Outlook, first update Windows and refresh Outlook. Then check the iCloud for Windows connection:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open iCloud for Windows.
  2. Sign out and sign back in if the account connection appears stale.
  3. Temporarily clear Calendars and Contacts, then click Apply.
  4. Wait a few seconds, select Calendars and Contacts again, and click Apply.
  5. Verify that the iCloud Outlook add-in is enabled.

If Outlook still does not update, close Outlook, sign out of iCloud for Windows, sign in again, enable Calendars and Contacts, and restart the computer. Because Outlook add-ins and iCloud for Windows can affect one another, check the add-in before concluding that the iCloud calendar data is gone.

Apple Watch calendar not updating

An Apple Watch receives Calendar data through its paired iPhone. If the watch is the only device showing stale information, open the Watch app on the iPhone and go to My Watch > General > Reset > Reset Sync Data.

Apple documents this as a force-sync option. It is unavailable when a family member set up the Apple Watch, so that configuration may require a different support path.

What to do about an “iCloud Data Not Syncing” alert

If a device displays an iCloud Data Not Syncing alert or a Settings badge, open Settings and follow the instructions attached to the alert. Authenticate the Apple Account if prompted.

If the warning remains after authentication, contact Apple Support rather than repeatedly signing out or deleting calendars. Have the affected device models, operating-system versions, Apple Account status, and the iCloud.com comparison ready for the support representative.

Less obvious causes and limits

Birthday calendars can be delayed

iCloud Birthday calendar changes may not appear immediately. Apple says updates can take up to an hour on a Mac and may not appear in the iOS or iCloud.com Calendar app until the following day. A short delay is therefore not necessarily a sync failure.

Very large calendars can reach iCloud limits

Unusually large or complex calendar data can exceed iCloud limits. Apple lists these limits for the combined calendar and reminder data:

Subscription calendars are different

A subscribed calendar is generally read-only and is not the same as an editable iCloud calendar. Verify the source before subscribing, especially if it is an unfamiliar website. Apple supports subscription calendars and indicates that choosing iCloud as the account can allow the subscription to appear across devices using the same Apple Account, but the subscription source must continue to publish the feed.

What not to do first

  • Do not delete calendars or events as a test. Deletion can propagate to other devices and make recovery harder.
  • Do not sign out of iCloud on every device immediately. Signing out can create additional prompts and local-data decisions without addressing an account mismatch or hidden calendar.
  • Do not restore an archive routinely. Calendar restoration on iCloud.com is a recovery option for confirmed data loss, not a normal refresh procedure.
  • Do not install third-party “calendar repair,” registry-cleaning, driver-updating, or system-optimization tools. They are not required for the Apple-supported checks above and can introduce new risks.

Before any disruptive recovery action, establish whether the event exists at iCloud.com, identify its account, and preserve any important event details or attachments.

When to contact Apple

Escalate after you have confirmed the same Apple Account, enabled iCloud Calendar, selected the calendar, checked the event’s actual account, refreshed the relevant apps, verified date/time, updated software, and compared the result with iCloud.com.

Contact Apple Support especially when:

  • an “iCloud Data Not Syncing” alert remains after authentication;
  • events are missing from iCloud.com and cannot be located in another account;
  • only one Apple Account or device has a persistent unexplained problem after the standard checks;
  • calendar data appears to have been deleted and requires recovery; or
  • the problem involves an iCloud service incident or account-security prompt.

Frequently Asked Questions

Will changing the default calendar move my old events to iCloud?

No. Changing the default calendar determines where new events are saved. It does not move existing events from Google, Exchange, Yahoo, or a local calendar into iCloud.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I tell whether an event is really stored in iCloud?

Check the event on iCloud.com/calendar. If it appears there, the problem is local to the device. If it is absent there but appears under Google, Exchange, Yahoo, or another account, it was not stored in iCloud.

How long can iCloud Birthday calendar changes take to appear?

Yes. Birthday-calendar updates can take up to an hour on a Mac and may not appear in the iOS or iCloud.com Calendar app until the next day.

How do I force an Apple Watch to refresh Calendar data?

No. Apple Watch Calendar data is delivered through the paired iPhone. Try Watch app > My Watch > General > Reset > Reset Sync Data. This option is unavailable when a family member set up the watch.

The Bottom Line

The safest fix is diagnostic: confirm the service is available, verify the same Apple Account and iCloud Calendar setting, identify the event’s actual calendar account, refresh the correct app, and compare the device with iCloud.com. Only consider sign-out, deletion, or calendar restoration after those checks establish that recovery is necessary.
