Always compare the result with the original image, especially for names, amounts, dates, and codes.
Choose the OCR method by the result you need
OCR is not one application; it is the recognition step inside several different workflows. Decide what you need before choosing a tool.

Input type matters as much as software. A street sign is “scene text”; a screenshot or scanned page is a document. Cloud APIs distinguish general text detection from dense-document recognition, and a structured result is more useful than a single text string when you must preserve pages, paragraphs, tables, or form fields.
Copy text from a picture with OneNote desktop
OneNote desktop can recognize text in one inserted picture or in pages of a printout. The web app does not provide this picture-text-copy command, so use the desktop application for this method.

- Open a notebook in OneNote desktop.
- Insert the image: choose Insert, then Pictures, and select the photo, screenshot, or scan.
- Right-click the image and choose Copy Text from Picture.
- Paste into OneNote, a text editor, an email, or another application.
- Compare the pasted text with the image and correct spelling, punctuation, numbers, and line breaks.
For a multi-page printout, right-click the printout and choose the command for the selected page or all pages. OneNote may take time to make the command available; Microsoft notes that, depending on complexity, legibility, and text volume, some results can take 24–48 hours. That is a possible delay for this feature, not a general OCR processing time.
When OneNote is a good fit
- You have an occasional image and want text on the clipboard.
- You are already working in a Windows OneNote notebook.
- You do not need a carefully reconstructed document layout.
Important limitations
- OneNote for the web does not offer the picture-text-copy action itself.
- Handwriting, script fonts, decorative lettering, blur, and skew reduce recognition quality.
- OCR may preserve words while losing columns, tables, or visual spacing.
Make a scanned image or PDF searchable with Acrobat
Acrobat is the better choice when the deliverable is a document that others must search, select, edit, or archive. Its Scan & OCR workflow can enhance a camera image or scan, straighten page borders, and add recognized text.
- Open the photo, scanned PDF, or document captured with a connected scanner or Adobe Scan.
- Open Scan & OCR.
- Use the enhancement and straighten options when the page is skewed, shadowed, or poorly framed.
- Choose Recognize Text and select the appropriate document or page range.
- Save the result, then search for several words and select text across different pages.
- Review unclear words and correct OCR errors before distributing the file.
In Acrobat’s web flow, use Convert > Recognize text with OCR. Recognition creates a searchable, editable text layer; it does not turn a low-resolution photograph into a perfect typeset original. Check headings, columns, tables, footnotes, and characters that look alike, such as O/0, I/1, and punctuation.

- Choose the recognition language.
- Frame the text and capture the image.
- Adjust the crop so only the relevant page or sign remains.
- Continue, then copy or share the extracted text.
Lens also provides routes to PDF, Word, OneDrive, and OneNote. Its documented language support includes OCR languages, while handwritten-note extraction is limited to English. For handwriting in another language, plan on manual transcription or a service that explicitly supports that script.
Use an OCR API for applications and dense documents
Google Cloud Vision: general text versus document structure
Google Cloud Vision exposes two materially different paths. TEXT_DETECTION is intended for text in general images and returns an overall extracted string plus words and bounding boxes. DOCUMENT_TEXT_DETECTION is optimized for dense pages and returns page, block, paragraph, word, and break structure. Choose the first when readable text is enough; choose the second when layout and reading order matter. Google directs scanned-document workflows that need structured form parsing or entity extraction toward Document AI.
Design an API pipeline
- Validate the file type, size, orientation, and language before upload.
- Deskew and crop pages when your input is a camera photo.
- Select general or dense-document recognition based on the document, not on a generic “OCR” label.
- Store bounding boxes or confidence values when a reviewer must locate uncertain text.
- Return the original image with the extracted result so a person can audit it.
- Protect credentials, set timeouts, and define what happens when a page is blank or unreadable.
For recurring workloads, an API is useful because it can process batches and feed a database or search index. It also means your privacy, retention, residency, and access-control review must cover the service and its configuration.
Automate repeated desktop extraction with Power Automate or Tesseract
Power Automate Desktop includes OCR actions using Windows OCR and Tesseract engines. Its documented settings include language and image width/height multipliers. This is an automation option, not evidence that one engine is universally more accurate.

A typical flow watches a folder, opens each image, applies the selected OCR action, writes the returned text to a file or spreadsheet, and moves failures to a review folder. Keep the source image and log the language, engine, and filename so an operator can reproduce a questionable result.
Tesseract is another route for developers who need local processing and control over deployment. A practical implementation should include image preprocessing, language packs, page segmentation choices, and a review step. The appropriate settings depend on whether the input is a clean scan, a screenshot, a receipt, or scene text; there is no single setting that wins for every image.
Improve OCR before you run it
Image quality is the largest controllable factor. Use the following preparation checklist:
- Capture at a resolution where small characters have clear edges.
- Crop away desks, borders, browser chrome, and unrelated background.
- Keep the page square to the camera; straighten perspective and rotation.
- Use even lighting and remove glare and deep shadows.
- Prefer a clean, high-contrast image with dark text on a light background.
- Choose the correct language and script.
- For a long document, process pages consistently rather than mixing orientations and resolutions.
Do not assume that a visually plausible result is correct. Proofread names, totals, dates, serial numbers, addresses, legal clauses, and medical information character by character. Handwriting and highly stylized or script-like fonts are less reliable than clean printed text.

Privacy, security, and reliability decisions
Local desktop OCR keeps processing under your control, but it still requires access permissions and secure storage. Cloud OCR can return useful locations and confidence scores and commonly uses HTTPS in transit; HTTPS alone does not establish acceptable retention, residency, deletion, or staff-access practices. Review the current terms and settings before uploading confidential images.

For any workflow, preserve the original, record the OCR engine and language, and route low-confidence or high-consequence pages to human review. There is no authoritative shared accuracy benchmark that supports a universal percentage or winner across these tools. Test representative images from your own languages, layouts, and lighting conditions before committing to a production process.

Is OCR the same as copying text from a screenshot?
Yes. A screenshot contains pixels rather than selectable characters, so OCR is the conversion step that creates copyable text.
Which OCR output is best for tables?
Use a document-structure workflow that returns page, block, paragraph, word, and break information, then validate the reconstructed table against the image.
Should I use an online OCR service for confidential scans?
Only after checking the provider’s current retention, residency, deletion, access, and contractual terms. Transport encryption does not answer those questions.
