If you need to move a few documents or photos, copy them in Finder to a separate external drive. If you need automatic backups and a way to recover earlier versions or deleted files, set up Time Machine. A disk image is useful for specific imaging or packaging needs, but it is not a universal whole-Mac backup. These options preserve different things, so choose based on what you may need to restore.

Choose between exporting files, backing up, and making a disk image

Method What it is for How you recover
Finder copy A one-time copy of selected files to a separate storage device. Copy or drag the files back to the Mac.
Time Machine Recurring backups of Mac data, with historical versions available for recovery. Restore some or all backed-up files to the same Mac or another Mac, subject to macOS compatibility.
Disk Utility image A single image file made from a folder or connected device for a defined imaging or transfer need. Open or mount the image; an encrypted image requires its password.
iCloud Drive Syncing and storing files across devices using iCloud. Access synced files through iCloud; this is not the same as keeping a separate local copy.

Apple describes Time Machine, iCloud Drive, manual copying, and third-party utilities as distinct options in its Mac backup overview. For a recovery copy that can help if the Mac or its internal disk fails, store it somewhere other than the internal disk, as Apple recommends in its Time Machine guide.

Set up Time Machine on an external drive

For macOS Ventura 13 or later, Apple’s documented route is through System Settings. If the labels differ on your Mac, follow the steps for your macOS version in Apple’s Time Machine setup guide.

  1. Connect a USB or Thunderbolt storage device, or confirm that your supported network destination is available.
  2. Open System Settings → General → Time Machine.
  3. Choose Add Backup Disk or the add button, select the destination, and set it up.
  4. If macOS asks to erase or reformat the disk, stop and check for files you need before confirming. Reformatting can erase its contents.
  5. Let the first backup finish, then check Time Machine’s status before relying on the copy. The Mac can remain in use during the first backup; it may take longer than later backups, which copy changes.
  6. Before disconnecting a directly attached drive, eject it or shut down the Mac.

Apple Support’s guidance, published July 8, 2026, recommends a Time Machine destination with at least twice the Mac’s storage capacity. This is a sizing recommendation, not a guarantee that every backup history will fit. Time Machine is for restoring backed-up files, not a promise of a bootable duplicate: Apple says it does not back up system files or apps installed as part of macOS installation. Apple says a Time Machine backup can restore any or all files to the same Mac or a different Mac; see its setup guide and user guide for details.

Copy selected files to an external drive

For a one-time export, connect a separate external storage device, open it in Finder, and drag the files you want—such as documents, photos, or videos—from the Mac to the drive. Apple describes this manual-copy approach in its backup overview.

  • Keep the original files until you have checked that the copies open and contain what you expect.
  • Leave the external drive disconnected when you are not copying or restoring files if you want the copy physically separate from the Mac.
  • To restore later, connect the drive and copy the needed items back to the Mac.

Checking copied files is a prudent safeguard; Apple’s overview describes copying but does not prescribe a particular verification method.

Choose and prepare a Time Machine destination safely

Time Machine can use directly connected USB or Thunderbolt storage, another Mac on a network, or a compatible NAS. Apple recommends APFS or APFS Encrypted for Time Machine disks in its supported disk types guide. Some older Mac OS Extended formats remain supported for certain configurations.

  • Check before erasing. Apple warns that reformatting a Windows-formatted drive permanently removes its data. Confirm the selected device and move any files you need before approving an erase prompt.
  • Plan shared storage. Apple says the entire APFS volume is reserved for Time Machine. If the same physical device will also hold other files, add another APFS volume; both volumes draw on the device’s available space.
  • Check NAS compatibility. Follow the manufacturer’s instructions and confirm Time Machine over SMB support. Apple says AFP is not supported for NAS backup or transfer in macOS 27 or later, so SMB is the appropriate choice for a current or future-proof setup. See Apple’s backup-destination guidance.

Create a disk image only for a defined need

A disk image is a file that contains files and folders. Disk Utility can create a blank image, an image from a folder, or an image from a connected device. Apple documents these choices and encryption in its Disk Utility guide.

  • For a folder: use a folder image when you specifically need those folder contents packaged as an image file.
  • For encryption: choose an encryption option when creating the image and preserve its password. Apple says a forgotten password means you cannot open the image and view its files. Eject a secure mounted image when finished; while it remains mounted, anyone with access to the Mac can access it.
  • For device imaging: Apple’s documented method cannot create images of individual APFS volumes, or of APFS containers on Apple silicon Macs or Macs with a T2 Security Chip.

Apple warns: “Don’t create a disk image of a disk that you believe to be failing or that contains corrupted information. The disk image may not serve as a reliable backup.” A disk image therefore should not stand in for a recurring recovery plan.

Check that the backup can be used for recovery

Before trusting a backup, confirm that it completed and understand how to restore the files you care about. Apple’s troubleshooting guidance identifies insufficient destination space, connection problems, cloud-sync delays, and protected files that may require an unlocked Mac as possible causes of backup trouble. Restore compatibility has a version limit: Apple’s guide says backups created on macOS 12 or later can be restored only to a Mac using macOS 11 or later. Check the relevant Apple instructions for the source and destination Macs before depending on a migration or restore.
