For changes that must survive future revisions or affect the page structure, edit the original HTML/CSS and generate a new PDF. Those two routes solve different problems: a PDF edit changes the rendered file, while an HTML edit changes the source that produces every future copy.
Choose the right editing route first

There is no documented universal “best” PDF generator or editing workflow. Use the table as a practical decision, not as a benchmark ranking.
How to edit text directly in the PDF
This method changes only the current PDF. Keep an untouched copy before you begin.
- Open the file in Acrobat. If the PDF is a scan, Acrobat may run optical character recognition (OCR) so text and images become editable.
- Select Edit. Choose the text you need to change. You can replace wording, correct a typo, adjust font or size, format text, or add and delete text.
- Make the smallest possible change. A short replacement is less likely to exceed the original text box than a paragraph rewrite.
- Resize the text box if needed. Text reflows inside its own box. The box is independent: extra text does not push neighboring boxes or continue automatically onto another page.
- Save as a new file. Use a versioned name such as
invoice-v2-corrected.pdfso the original remains recoverable.
What the text box limitation means
PDFs store positioned content rather than a continuously flowing document model. In Acrobat, enlarging a box changes its boundaries and lets text reflow inside it; it does not automatically increase the font size or create a new text box on the next page. Edits remain on the current page. If your replacement needs substantially more room, shorten it, reduce spacing or font size carefully, or return to the HTML source and regenerate the document.

Check fonts before editing
Font availability can determine whether an edit is possible and whether it looks consistent. Acrobat requires the font to be installed for normal editing. If a font is embedded in the PDF but unavailable on your computer, editing may be limited to properties such as color or size. If the font is neither installed nor embedded, Acrobat cannot edit that text normally and may substitute a fallback typeface.
- Compare the edited characters with nearby text, especially punctuation and numerals.
- Look for a changed typeface, weight, line break, baseline, or letter spacing.
- Inspect every edited page at 100% zoom and at the size at which it will be printed or published.
- Open the saved file on another device or in another PDF viewer to catch missing-font or rendering problems.
Can you change the PDF without changing the HTML?
Yes. Direct PDF editing leaves the original HTML/CSS untouched and is appropriate when you only need a corrected copy. It does not, however, update the source. The next PDF generated from unchanged HTML will contain the old wording.
If the PDF is distributed as an official document, record which version was edited, who approved it, and whether the correction affects accessibility, page references, signatures, bookmarks, or links. A text patch can also invalidate a digital signature; sign the corrected file again when your process requires signed PDFs.
Edit the HTML/CSS and regenerate the PDF
Use the source workflow when the correction must persist, when multiple instances of text change, or when the problem is structural rather than a typo.

- Locate the HTML template, data, stylesheets, fonts, images, and scripts used to make the original PDF.
- Correct the text or CSS in the source. Keep the change in version control if your project uses it.
- Run the same PDF conversion pipeline and settings used previously.
- Compare the new PDF with the old one: page count, headings, line breaks, tables, images, links, bookmarks, margins, and accessibility metadata.
- Publish the regenerated PDF only after checking it in a second viewer or a print preview.
Adobe’s PDF Services documentation lists both static and dynamic HTML as supported PDF inputs. That establishes HTML-to-PDF regeneration as a supported approach, but it does not prove which generator created your particular file or guarantee identical pagination.
Conversion settings that change the result
When the defect originates during conversion, inspect the converter rather than patching the output. Acrobat’s web-page conversion settings include:
- input encoding and language-specific fonts;
- text, background, and link colors;
- image and multimedia handling;
- page size, orientation, and margins;
- scaling for content wider than the page; and
- whether scrollable blocks expand to include their hidden content.
A changed encoding can alter characters; a different font can alter line wrapping; margins and scaling can move page breaks. Preserve these settings in a documented build configuration.
Use Acrobat on the web for a basic correction
Acrobat’s web editor supports basic add, replace, and delete text operations. It is convenient when you do not need a full desktop installation. Treat it as a straightforward-edit option: complex layouts can require manual positioning and a visual check after saving. Do not assume that a browser edit will rebuild a multi-column HTML layout or repair a conversion problem.

Verify the edited PDF before delivery
- Content: search for the old wording and confirm the new wording appears everywhere it should.
- Layout: inspect line wraps, clipped text, overlapping objects, orphaned headings, table splits, and blank areas.
- Typography: check for substituted fonts, changed weights, incorrect glyphs, and inconsistent sizes.
- Behavior: test hyperlinks, form fields, bookmarks, attachments, and copy/paste.
- Accessibility: run your normal accessibility check; a visual text replacement may not preserve reading order or tags.
- Output: open the saved file in a second viewer and, if it will be printed, inspect a print preview or proof.
Troubleshooting common failures
The text cannot be selected
The page may be an image-only scan or the text may use an unsupported font. Run OCR where appropriate. If the file is protected, obtain editing permission from its owner. If you have the source, correcting HTML and regenerating is usually cleaner than forcing a patch.
The replacement wraps into an ugly line
The text box is too narrow or its font metrics differ. Shorten the wording, widen the box without covering adjacent content, or install the required font. Recheck every nearby object because a box is independent and will not push other content away.
The font looks different after saving
The original font may be unavailable or not embedded. Install the licensed font if permitted, use the original source pipeline, or accept a deliberate substitute and review the entire page for visual consistency.
Content is cut off at the page edge
Check the box boundary, page margins, and clipping. A direct edit cannot automatically flow onto a following page. For a longer passage, edit the HTML/CSS and regenerate, or create and position a new text box manually.

The regenerated PDF has different page breaks
Compare fonts, encoding, margins, orientation, scaling, image dimensions, and scrollable-block settings with the original conversion. Small changes in any of these can alter pagination. If exact page identity is required, retain the original PDF and make only a tightly controlled direct edit.
The browser edit is insufficient
Move to the desktop editor for more control, or return to the source. Browser editing is intended for basic operations and is not a replacement for rebuilding a complex HTML layout.
