ChatGPT can help you create a readable map of an Excel workbook—its sheets, purpose, important columns, formulas, dependencies, and assumptions. Treat its description as a draft, not as proof: check it against the workbook before relying on it or sharing it.
Choose how to work with the workbook
For a one-off explanation, upload the workbook and ask questions about it. OpenAI lists XLSX, XLS, CSV, and TSV among spreadsheet formats ChatGPT can analyze; file support and limits depend on your plan and account. See OpenAI’s data analysis guide and file upload information.

Prepare the workbook for analysis
Clear structure makes it easier to interpret what the workbook contains. OpenAI recommends descriptive column headers, one record per row, and avoiding unrelated tables or empty rows and columns that divide the data. See OpenAI’s spreadsheet analysis recommendations.

- Use a distinct, descriptive header for each column.
- Keep each table in a consistent layout, with one record per row.
- Avoid placing unrelated tables on the same sheet or inserting blank separators through a data range.
Ask for documentation, not guesses
Start with an inventory, then ask for explanations of specific sheets and formulas. Tell ChatGPT to separate what it can verify from what it is inferring, and to list unanswered questions rather than inventing an explanation for unclear labels or logic.
For an uploaded workbook, adapt this prompt:
Document this Excel workbook for a colleague who has not used it before. First, create a sheet-by-sheet inventory with each sheet's apparent purpose. For each sheet, identify important columns and explain notable formulas and dependencies you can verify. List assumptions and any ambiguous items as questions for a human; do not guess. Distinguish observations from interpretations, and refer to sheet names and cell ranges where possible. Do not edit the workbook.
Use follow-up prompts to narrow the work—for example, ask what a particular formula calculates or which sheets appear to feed a summary. A generated explanation is not a guarantee that every workbook feature or dependency has been detected.

Review proposed edits before applying them
If you want ChatGPT to add documentation or make other substantial changes, ask for a plan first. Have it identify the sheets and ranges it proposes to change, describe each change, and state what must remain untouched. OpenAI’s ChatGPT for Excel guidance includes limiting changes to an Inputs tab while preserving formatting as an example of a specific instruction. - Specify what must not change, such as formulas, formatting, or sheets outside the documentation scope.
- Inspect the workbook changes against the plan before saving or sharing.
- Check descriptions against the actual formulas and source data in Excel. If Python analysis was used, review the generated code, outputs, and assumptions as well.
Keep explanations and discussion with the workbook
Excel comments and notes serve different purposes. Use a threaded comment when collaborators need to discuss a cell; use a note for an annotation or reminder that does not need a conversation. Microsoft puts comments in a Comments Task Pane for review. Use change history and version history for different needs
Excel’s change-history features help inspect supported edits; Version History is the route Microsoft identifies for restoring an earlier workbook version or retrieving a previous state. They are not interchangeable. Microsoft says supported edits are tracked for up to 365 days; that limit applies to supported changes, not necessarily every edit or every Excel application. Check Microsoft’s Show Changes guidance and its Version History guidance.

Verify the result against the workbook
Before treating the documentation as authoritative, compare it with the actual workbook. Check that sheet names, column meanings, formulas, and dependencies are accurate, and resolve assumptions that ChatGPT marked as uncertain with someone who understands the workbook’s business logic.
