There is no single switch that turns off every generative AI feature across office suites. First identify whether you use a personal account or a work or school account, then disable the specific AI surface you mean: a standalone assistant, AI embedded in apps such as Word or Gmail, or simply a visible button. Hiding an icon does not necessarily block access to the feature.
The instructions below reflect official vendor help pages checked on October 9, 2026. Admin settings and available controls can vary by license, platform, and tenant.
Choose the right control for the AI you want to disable
Before changing a setting, identify the account and feature involved. A personal app setting, an organization-wide service control, and a button-visibility option have different effects.

How do I turn off Copilot in Word, Excel, or PowerPoint?
Personal Microsoft account
- Open Word, Excel, or PowerPoint while signed in with your personal Microsoft account.
- In that app’s settings, clear the Enable Copilot checkbox.
- Repeat in each of the three apps where you want Copilot disabled, and repeat on every device you use.
Microsoft Support describes this checkbox as applying per app and per device. It does not apply to work or school accounts. If you only remove Copilot from the ribbon, the feature can remain available through other routes; Microsoft specifically notes that the shortcut menu may still provide access.

Microsoft also warns that turning off Copilot through account privacy settings may turn off other connected experiences. Use that broader setting only if you are comfortable losing those as well.
Work or school Microsoft account
A user signed in with a managed account should ask their Microsoft 365 administrator to review the tenant’s Copilot controls rather than relying on the personal-account checkbox. The admin center shows services licensed in that tenant, so an administrator should check the target experience and the applicable license before changing access.

Can an admin turn off Copilot for everyone?
Microsoft documents admin controls for Copilot Chat, including removing users’ access to Copilot Chat. These are not evidence of one universal switch for every Copilot feature in every Microsoft app. An administrator should identify the exact experience, decide whether the change applies to the whole tenant or a group, and verify the result with an affected user.

Microsoft identifies the AI Administrator role for least-privilege governance of Copilot and related AI controls. Use the least-privileged role appropriate to the task, and check the admin center for the controls actually available under the organization’s licenses.

How do I disable Gemini in Google Workspace?
Turn off the Gemini app
- In the Google Admin console, go to Generative AI > Gemini app.
- Change the Gemini app service status for the organization, or for the relevant organizational unit or configuration group.
- Allow up to 24 hours for the change to take effect.
This setting controls access to gemini.google.com and the Gemini mobile apps. Google explicitly says it does not affect other AI features in Workspace services, so it is not sufficient if your aim is to disable Gemini inside Gmail, Docs, or other Workspace apps.
Manage Gemini features inside Workspace services
Google provides separate controls for Gemini features in Gmail; Drive, Docs, Sheets, Slides, and Vids; Meet; and Chat. The official admin help page lists these controls for Enterprise Standard and Enterprise Plus. Review the settings for each service where you want to restrict embedded features; disabling one does not automatically disable them across the other services.

There is also a cross-service consideration: Google cautions that switching off Gemini features in one service does not prevent a user from asking Gemini in another service about content from the first service. Administrators concerned about access to organizational content should review both the relevant AI controls and the underlying data permissions.
Should I turn off Google Workspace smart features?
Google Workspace smart features are a separate family of settings, not a universal Gemini switch. They affect features beyond generative AI, and their defaults depend on region: Google says they are off by default in the European Economic Area, Japan, Switzerland, and the United Kingdom, and on by default in other regions. Administrators can set defaults, but users may override them. Review the setting description and its broader effects before changing it to address a specific Gemini feature.

What about LibreOffice and other office suites?
LibreOffice is a free, open-source office suite, but that description alone does not establish that every version or configuration is free of AI capabilities. Check the current version, installed extensions, and any integrations your organization has enabled.
For Apple iWork, ONLYOFFICE, and other suites, confirm the current vendor documentation for the particular app, account type, and version before following instructions. Removing a desktop assistant, blocking a button, or uninstalling a standalone app is not proof that AI embedded in the suite has been disabled.
How to verify the change
- Test from the same account type and app where the feature appeared; personal and managed accounts may have different controls.
- Check access to the assistant itself as well as AI controls inside individual apps. A disabled standalone app can coexist with embedded features.
- For an organization-wide change, confirm the intended users or groups are in scope and allow the vendor’s stated propagation period to pass.
- Ask a representative user to check whether the feature is unavailable, rather than treating a missing button as proof that access is revoked.
- Recheck the vendor’s current help page and admin console if the label or available control differs; suite controls evolve.
Microsoft’s relevant documentation is “Turn off Copilot in Microsoft 365 apps,” “Manage Microsoft Copilot Chat,” and “What is Microsoft Copilot?” Google’s is “Turn the Gemini app on or off – Business / Enterprise,” “Manage access to Gemini features in Workspace services,” and “Manage Google Workspace smart features for your users.”
