An AI business assistant is worth using only when it improves a specific, recurring task enough to outweigh the subscription, setup, review, correction and risk costs. Start with one low-risk workflow, compare it with the way you work now, and have a person check every result before it is used. The U.S. Small Business Administration recommends testing tools to see whether they add value; Microsoft likewise advises matching AI to a task’s repeatability, error impact and ease of checking.

Start with a real task, not an AI tool

Write down one task you already do and could realistically test. Avoid a broad goal such as “make the business more efficient.” A useful candidate has a clear beginning and end, happens often enough to compare, and produces work you can inspect.

  • Who does the task now?
  • How often does it happen, and how long does it take from start to finish?
  • What delays, repetitive steps or quality problems does it cause?
  • What would count as a useful improvement: less time, fewer errors, faster response, or a better first draft?

The SBA lists possible uses such as sorting email, summarizing meetings, drafting business plans, job postings, blog posts and product descriptions, and generating social content. These are ideas to test, not evidence that a tool will improve your results. Choose a task for which you have representative examples and can spot mistakes.

Check whether the task is a good fit

Microsoft’s task framework suggests considering how repeatable the work is, what happens if the output is wrong, how easily a person can detect errors, and whether speed matters. Use those questions to decide how much responsibility AI should have.

Task type Practical starting point
Routine summaries or recurring reports Let AI produce a draft, then check it against the original information.
Standard content, such as a product description Use AI for a first draft; have a person refine and approve it.
Structured information gathering or aggregation Use AI to organize information; validate the underlying facts and figures.
Ambiguous, judgment-heavy work Keep a person in the lead; use AI to prepare or organize supporting material.
Final approvals or high-impact communications Keep the decision and release with a responsible person.

Repetition by itself does not make a task safe to automate. If a mistake could harm a customer, employee, finances or reputation—or would be difficult to notice—keep stronger human control. Microsoft puts it plainly: “Delegating work to AI doesn’t transfer accountability.”

Run a small pilot and measure the whole workflow

Keep your existing process as a baseline. Try the assistant on representative examples, and require a responsible person to review every output before it is sent, published or used to make a decision. Record whether the result is useful, the severity of any errors, and the total time involved.

  1. Record the baseline. Note how long the task currently takes, including preparation and checking, and what quality issues occur.
  2. Test the same kind of work. Use comparable examples in the current workflow and the AI-assisted one; do not judge a tool from a single unusually easy prompt.
  3. Track all AI-related time. Include setup, learning, writing prompts, reviewing, correcting and moving results into the tools you already use.
  4. Log errors and usefulness. Record whether the output was accurate enough to keep, what had to be fixed, and whether a mistake would have been caught before it caused harm.
  5. Compare the full cost with the result. Count licenses, required seats, extra usage or integration charges, staff learning and review time, and the cost of mistakes.

This is a practical way to apply the SBA’s advice to test whether a tool adds value and Microsoft’s guidance to account for error impact, detectability and oversight. Continue only if measured time savings or quality improvements justify the costs and controls. A faster first draft is not a net gain if checking and correction take longer than doing the task yourself.

Check privacy and security before entering business data

Data handling depends on the exact product, plan, account and configuration—not merely on the fact that a tool is an AI assistant. Before using real business information, check the provider’s terms and settings for prompts, files and outputs, including storage, model training, retention, deletion and administrator access. Review connected services and agents separately.

  • Confirm which provider and plan employees are allowed to use. Do not assume a consumer account has the controls of a managed work plan.
  • Use the least sensitive input needed. Remove or anonymize customer, employee, financial and proprietary details unless their use is necessary and permitted.
  • Limit access to source files and check sharing permissions for both inputs and outputs.
  • Check what safeguards are actually included in the selected plan and configuration. Microsoft’s small-business documentation describes differences across access, device protection, sensitivity labels, data loss prevention, audit, retention and legal hold; buying an assistant alone does not necessarily enable every control.
  • Require human review of facts, calculations, external messages, copyright or trademark concerns, and decisions affecting customers or staff.

A joint guide from the Australian Cyber Security Centre, New Zealand National Cyber Security Centre and Council of Small Business Organisations Australia warns small businesses about data leaks and privacy breaches, unreliable or manipulated outputs, and supply-chain vulnerabilities. Its guidance is framed for Australia and New Zealand; the SBA material is U.S.-oriented. Check the privacy, employment, sector and other rules that apply where your business operates.

Compare the cost of a plan with your actual use

As one vendor example, OpenAI’s Business pricing page listed Standard seats at $20 per user per month when billed annually or $25 when billed monthly, and Premium seats at $100 per user per month when billed annually or $125 monthly, when checked October 4, 2026. OpenAI’s Help Center says a Business workspace requires at least two paid seats; listed U.S.-dollar prices may vary by country and currency, and API usage is billed separately. These are OpenAI’s published prices, not a market average. Verify current prices, seat minimums, features and terms before buying.

Compare candidate tools on the same sample tasks. Consider how well each fits existing workflows, the full cost, data terms and controls, output quality, how easily errors can be detected, and the amount of human review required. Microsoft’s task and security guidance describes its own products; it does not establish that Microsoft is the best choice for every small business.

Interpret productivity claims cautiously

Published figures can offer context, but they do not predict the return for an individual business. OpenAI said its analysis found at least 4 million people in the United States used ChatGPT during March 2026 to help plan, start, run or grow a business. That is a vendor analysis of reported use, not a measure of how many businesses earned a return.

OpenAI’s December 2025 enterprise report said 75% of surveyed workers reported that AI improved the speed or quality of their output. ChatGPT Enterprise users in that report attributed an average of 40–60 minutes saved per active day to AI use. Those findings concern surveyed workers and enterprise users; they are not an independent measurement of causal savings for a small business. Use your own pilot results to make the decision.
