To put files on a flash drive in Windows, open File Explorer, select the files, copy them to the USB drive, verify that they arrived, and eject the drive before unplugging it. Choose Copy if you want the originals to stay on your PC; use Move only if you intend to relocate them.
Copy files from Windows to a flash drive
- Plug the flash drive into a USB port and give Windows a moment to recognize it. If it does not appear, open File Explorer and check This PC.
- Open File Explorer from the taskbar. Browse to the folder containing the files. Common locations include Documents, Desktop, Downloads, Music, Pictures, and Videos.
- Select the file or folder you want. To select several items, hold Ctrl while clicking each one.
- Copy the selection to the drive. You can right-click the selected items and choose Show more options > Send to, then select the flash drive. Alternatively, choose Copy, open the flash drive in File Explorer, and choose Paste. Menu labels and placement can vary by Windows version.
- Wait until Windows finishes copying. The time depends on how many files you are transferring and their size.
- Open the flash drive in File Explorer and check that the files appear in the expected location before relying on the transfer. Microsoft recommends browsing the external drive to verify copied files in its external-storage transfer instructions.
Copy or move: which should you choose?
Copying creates another version on the flash drive and leaves the original on the PC. Moving relocates the files, so they are no longer in their original location. Unless you specifically want to remove them from the PC, choose Copy. Microsoft describes moving files to external storage as a separate workflow in its guide to freeing up drive space in Windows.
Eject the flash drive before unplugging it
Use Windows’ safe-removal control when the copy is complete. Microsoft warns: “To avoid losing data, always safely remove hardware devices like USB flash drives or external hard drives before disconnecting them.”
- Find the Safely Remove Hardware and Eject Media icon in the taskbar notification area. If it is not visible, check the hidden system-tray icons.
- Select the icon, choose Eject for the flash drive, and wait for Windows to indicate that it is safe to remove.
- Unplug the drive only after Windows confirms it can be removed. Microsoft’s safe-removal instructions cover Windows 10 and Windows 11.
If Windows will not copy a large file
Check both the flash drive’s free space and its file system. A drive formatted as FAT32 cannot store a single file larger than 4 GiB, even when the drive has plenty of free space. Microsoft Learn’s file-system comparison, last updated in 2023, lists that FAT32 limit and higher maximum file sizes for exFAT and NTFS.

Do not format the drive as a first troubleshooting step: formatting erases its contents. If you are considering a format change, first copy any files you need elsewhere and check which devices must be able to read the drive. Compatibility depends on the device.
