To make a standard PDF of your slides, use PowerPoint’s PDF export. To show speaker notes beneath each slide, choose File > Print > Notes Pages, then save or print the output as a PDF. These create different page layouts, so check the preview before sharing.
Choose the PDF layout you need

Microsoft says saving a presentation as PDF freezes its formatting and layout. A PDF is useful for viewing and sharing, but it is not an editable PowerPoint deck. Microsoft’s PDF instructions give platform-specific steps for Windows, macOS, and the web.
Convert slides to PDF without notes
- Open the presentation in PowerPoint and select File > Export.
- Choose the option to create a PDF/XPS document or export as PDF. The exact wording and controls depend on your platform and version.
- Choose where to save the file and select the available quality option, if offered.
- Save or publish the PDF, then open it to confirm the slides appear as intended.
Where the export dialog offers both settings, Microsoft describes Standard as higher quality for printing and Minimum size as a smaller file for email or sharing. Choose based on how the PDF will be used; not every PowerPoint version presents the same options.
Convert slides to PDF with speaker notes
- Open the presentation and select File > Print.
- Open the print-layout dropdown, which may initially show Full Page Slides.
- Select Notes Pages. In this layout, each page contains one slide and its related speaker notes below it.
- Select a PDF printer or the platform’s save-as-PDF option as the print destination.
- Review the preview, then save or print the PDF.
Microsoft’s Notes Pages guidance distinguishes this layout from other print layouts and handout options: those other layouts print slide content rather than the speaker notes. Long or crowded notes can affect how a page looks, so review the document rather than relying on a single-page preview.

What to do if Notes Pages is missing
PowerPoint’s menus and PDF features differ across Windows, macOS, the web, and individual versions. Microsoft’s notes-printing instructions cover Microsoft 365 and desktop releases including PowerPoint 2024, 2021, 2019, and 2016, but availability still depends on the app you are using. Microsoft also identifies Mac version contexts in which some PDF features, such as saving notes or slides as handouts, are unavailable.
- Check that you are using the desktop app and not a web experience with different controls.
- Look under File > Print for a layout dropdown and the Notes Pages option.
- If a notes option is missing from Export, try the Print route in a desktop version that offers Notes Pages, then save the print output to PDF.
- Use the preview to confirm notes are actually visible before sending the file.
Do not assume every version can create the same PDF layout. If the installed app does not offer Notes Pages, its current menus or Microsoft’s platform-specific instructions will determine which options are available.

Optional: convert speaker notes with Adobe Acrobat
Adobe documents a Windows Acrobat PDFMaker setting for converting PowerPoint speaker notes into text notes in the PDF. Its consumer guidance also describes a Convert Speaker Notes option. This is a separate route from PowerPoint’s Notes Pages layout and may suit someone who already uses Acrobat or needs PDFMaker controls. Check the setting and resulting file in your installed Acrobat version; Acrobat is not required for the standard PowerPoint Notes Pages workflow. Adobe’s PDFMaker documentation and Adobe’s PowerPoint-to-PDF guidance describe the Acrobat options.

If your goal is to edit a document that includes slides and notes, Microsoft describes exporting notes pages to Word handouts, with notes next to slides or below them. You can then edit or print the Word document separately. Microsoft’s Word handout instructions explain that alternative.
