To make the words in a PNG editable in Word, you need optical character recognition (OCR): inserting the PNG alone adds it as a picture, not as editable text. OCR can extract the words, but the result may need proofreading and layout repair. If your PNG is already inside a PDF, Word can try to convert that PDF into an editable document, but it does not guarantee an exact match.
Choose between keeping the picture and editing its words
There are two different outcomes:
- Keep the image looking as it does: Insert the PNG into Word. It remains a picture, so its letters are not ordinary editable text. Microsoft lists PNG among the image formats Word can insert in its instructions for inserting scanned text or images into Word.
- Edit the words: Use OCR to recognize characters in the image. The recognized text can be edited, but OCR does not guarantee that the original layout will be reproduced accurately.
In practice, clarity and correction effort matter as much as the conversion route. Sharp, straight, high-contrast printed text is a better OCR candidate than a blurry, skewed, low-resolution image or handwriting.
How do I convert a PNG to an editable Word document?
Word’s Insert Pictures command places a PNG in a document; it does not turn the words in the picture into text. You need an OCR-capable workflow to extract editable characters. Microsoft’s Word guidance describes scanning text through Microsoft Lens or scanning to PDF and opening the PDF in Word, but Lens has been retired for new mobile scans. For a mobile scan, Microsoft now recommends OneDrive; its documented OCR feature recognizes text in scanned PDFs, not a guaranteed conversion of an existing PNG into a fully editable Word layout.

Microsoft recommends the OneDrive mobile app’s built-in scanning feature as the alternative to Lens. OneDrive can recognize text in scanned PDFs so you can copy it. This can help you move recognized words into Word, but it does not establish that OneDrive will turn an existing PNG into a Word document that preserves its layout. Use Word’s PDF conversion if the PNG is in a PDF
- Open the PDF in the desktop version of Word.
- When Word explains that it will convert the PDF to an editable Word document, accept the conversion.
- Save the converted file as a Word document.
- Review the text and page structure, then correct recognition and formatting errors.
Word converts a copy of the PDF and attempts to reproduce its layout. This is a PDF conversion route, not a direct PNG-to-Word conversion. Microsoft says the process works best when the PDF is mostly text; a PDF made mostly of charts or other graphics may appear as a page image, leaving its text uneditable. The converted document may also differ from the PDF. Microsoft describes these behaviors and other limitations in Opening PDFs in Word.
Can Word extract text from a PNG?
Inserting a PNG does not extract its text. OCR is required to recognize the image’s characters. Microsoft’s general Word guidance describes scanning text through Lens or scanning to PDF and opening that PDF in Word, and notes that recognition depends on image quality. Lens is no longer a current option for new mobile scans: Microsoft retired it from iOS and Android devices starting January 9, 2026, ended support after February 9, 2026, and allowed scans to be created only through March 9, 2026. Microsoft recommends OneDrive for mobile scanning instead. Its Lens for Android support page includes historical Lens OCR-to-Word details and a retirement notice.

What to check after OCR or PDF conversion
Proofread the converted document and compare it with the source image or PDF. Microsoft advises proofreading recognized text; it does not provide a quantified OCR error rate. Check:

- Names, numbers, punctuation, and other characters that are easy to misread.
- Columns and reading order, especially where text runs across or between columns.
- Tables, including cell spacing and whether content stayed in the right cells.
- Line breaks, page breaks, and text that may have shifted or flowed differently.
- Graphics or pages that remain images rather than editable text.
Word’s PDF conversion can also handle some PDF features poorly, including tables with cell spacing, page colors and borders, tracked changes, frames, and certain notes. Expect to repair formatting when those elements matter.
