Select the PDF options, choose a name and destination, then click Export. Pages creates a separate PDF copy; your original .pages file remains unchanged. This is Apple’s native method, so you do not need a separate converter.
Convert a Pages document to PDF
The menu names below match Apple’s current Pages for Mac guidance. If your version uses different labels, the equivalent command may appear under Share > Export and Send. Apple’s Pages User Guide currently covers Pages 15.3, which requires macOS 15.6 or later; check your installation with Pages > About Pages. See Apple’s Pages export guide and Pages User Guide for version-specific wording.
- Open the source file. Launch Pages and open the document you want to share or archive. Review the layout first, especially page breaks, tables, images and headers.
- Open the export command. In the macOS menu bar, select File > Export To > PDF. If that command is not present, select Share > Export and Send, then choose PDF.
- Choose PDF settings. Select an image-quality level and decide whether comments or smart annotations should be included. For documents with large tables, open Advanced Options and decide whether to turn on accessibility tags.
- Set the file name and location. Click Save. Enter a name and use the Where menu to choose a folder such as Documents, Desktop or iCloud Drive.
- Finish the export. Click Export. Pages adds the
.pdfextension automatically. Open the resulting file in Preview to check it before sending it.
The export is a copy. Editing the PDF later does not edit the Pages document, and changes made to the Pages document do not retroactively update an already exported PDF.
Choose the right PDF options
The export panel has a few choices that affect appearance, accessibility and file size. Use the following decision guide instead of automatically selecting the highest setting.

VoiceOver descriptions are handled differently: Apple says they are exported automatically. You do not need to enable a separate checkbox for those descriptions.
Passwords and sensitive documents
If the original Pages document has a password, that password carries over to the exported PDF by default. During the export flow, Pages lets you change the password or remove it. Before sharing the file, open the password controls and confirm that the PDF’s protection matches your recipient’s needs. A forgotten password can prevent the recipient from opening the copy, while removing protection may expose confidential content.
Find and verify the exported PDF
Check the destination
The Where menu in the save dialog determines where Pages writes the file. If you cannot find it, repeat File > Export To > PDF and look at the selected folder, or search Finder for the file name with a .pdf extension. Selecting the folder before clicking Export avoids accidentally saving to a default location.

Inspect the result in Preview
Open the PDF in Preview and check every page. Look for clipped table columns, missing images, unexpected blank pages, unreadable small text and comments that should have been excluded. If the file is too large, export again at a lower image quality and compare the images before replacing the first copy.

Remember that export is not synchronization
Pages does not maintain a live link between the source and the PDF. If you later edit the Pages file, export a new PDF and give it a distinct name or replace the old copy deliberately. This prevents recipients from using an outdated version.
Common problems and fixes
“Export To” is missing
Confirm that the document is open in the Mac Pages app, not merely previewed in Finder or opened in another editor. Use Share > Export and Send as the alternate route documented by Apple. If menus still differ, check Pages > About Pages and consult the guide for that release.

The PDF is too large to email
Export again with a lower image-quality setting. This reduces the embedded image data, so open the new file in Preview and zoom into photographs, scans and diagrams to make sure they remain usable. Do not lower quality blindly when the PDF is intended for printing.
Comments or annotations appear unexpectedly
Return to the PDF options and clear the checkboxes for comments and smart annotations. Export a new copy, then verify in Preview that the review material is gone. Keep the original Pages file if you may need the comments later.

A table is difficult for assistive technology
Open Advanced Options and enable accessibility tags for large tables before exporting. Pages does not imply that this option is enabled automatically. Test the resulting PDF with the accessibility tools available to your recipient when the document is legally or operationally important.

The recipient cannot open the file
Check whether a password was inherited from the Pages document. Re-export and set a password the recipient can use, or remove it if protection is not required. Send the password through a separate channel rather than placing it in the same message as the PDF.
The exported file is in the wrong folder
Export again and explicitly select the intended folder from Where. Finder’s Recents view can also help locate a newly created file, but the export dialog is the authoritative destination choice.
The PDF layout differs from what you expected
Return to Pages and inspect page breaks, floating objects and image placement. Exporting does not provide a separate layout editor; fix the source document, then create a fresh PDF and review it in Preview.

When a separate converter is unnecessary
Renaming a file from .pages to .pdf does not convert it and can leave you with a file that applications cannot open. Use Pages’ export command so the document’s text, fonts, images and page structure are written into a real PDF. A third-party converter is only relevant when you no longer have access to Pages or need a workflow that Pages itself does not provide; for a normal Mac Pages document, the built-in export is sufficient.
