To connect an AI answering service to your calendar and CRM, first identify the connector it supports—native integration, automation platform, or API/webhook—then define what the service may book and which CRM records it should update. Test the entire call-to-record flow, including failures and human handoffs, before relying on it for live calls.
What the connection should do
A useful workflow does more than capture a caller’s words. It checks availability before offering a time, creates the appointment in the intended calendar, records the call against the right CRM contact or lead, and assigns any follow-up to someone responsible. A completed conversation alone does not prove that either system saved its update; verify the results in the calendar and CRM.
Connector capabilities vary by answering service and account. For example, ElevenLabs lists Google Calendar, Calendly, Cal.com, HubSpot, Twilio, SIP, Zapier, webhooks, and MCP among its integrations, but that catalog is an example—not a promise that another service supports those options or actions. Check current documentation for the product you use.

Inventory your systems and define a successful call
Before configuring anything, write down the exact answering-service product and account, calendar provider, CRM, and phone-routing setup. Then decide what outcome the workflow should produce. Depending on the call, success might mean a booked appointment, a qualified lead assigned to an owner, a callback task, or a transfer to a person.

- Identify which calendar or staff calendars the service should check.
- Choose which caller details and call outcomes belong in the CRM.
- Decide who owns follow-up when a call cannot be booked or resolved automatically.
- Determine whether the service offers the needed actions directly, through middleware, or through an API or webhook.
Set calendar access and booking rules
Authorize the calendar through the answering service’s documented process and confirm that it can perform the actions you need. A booking flow generally needs to check availability and then create an event; do not assume that a connector offering one action also supports the other.
Specify what the service can book
- Select the calendar or calendars to check and the calendar where new events should be created.
- Define appointment type, duration, and any required attendee information.
- Set the applicable time zone, minimum notice, and buffers if the product supports them.
- Tell the service how to respond when the caller’s preferred time is unavailable, such as offering another available time or routing the request for human follow-up.
Google’s official Calendar API overview describes the API as RESTful and lists event data such as a title, start and end times, and attendees. Those fields are a useful reminder to decide what a created event should contain; the answering service may expose a different set of controls.
After setup, make a test booking and inspect the destination calendar. Confirm the date, start and end times, time zone, event details, and attendee information rather than relying only on what the agent said during the call. OnCallClerk, for example, describes real-time free/busy checks and event creation; capabilities in another service may differ.

Decide what the system should do with caller information before connecting it. Depending on the business process, the workflow might match an existing contact or create a new one, log a call summary or activity, create a lead, deal, or task, and assign follow-up to an owner. Exact record types and field mappings depend on the CRM and answering service.
Map only the information you need
Possible fields include the caller’s name, phone number, email, reason for calling, urgency, requested service, booking outcome, and next action. Choose which are required, how the service should behave when information is missing or ambiguous, and whether a qualified call should create a separate lead, task, or other record. Avoid collecting fields the business does not need or automatically storing every transcript.
HubSpot’s CRM API guide documents its API, while vendor examples such as OnCallClerk and Target Dial describe contact matching or creation and logging conversation information. These examples do not establish identical mappings across products. Check that the selected connector writes to the intended CRM object and fields, and verify the contact, activity, and follow-up owner in the CRM after a test call.

Select a connection route
Choose the simplest route that supports the actions and controls the workflow actually needs. The available choice depends on the answering service, the destination apps, and the connector’s supported actions.
| Route | Best fit | What to verify |
|---|---|---|
| Native connector | The service directly supports the calendar or CRM actions you need. | Confirm availability checks, event creation, CRM objects, field mappings, and ownership controls in current product documentation. |
| Automation platform | The service exposes a usable event or trigger and a platform such as Zapier, Make, or n8n supports the destination app. | Account for the extra workflow, credentials, execution history, and troubleshooting point. Target Dial distinguishes named native integrations from industry tools reached through automation. |
| Webhook or API | You need custom mappings or system behavior and have someone able to build and maintain the integration. | Check authentication, payload fields, retries, and—where signatures are used—signature validation in the service’s technical documentation. OnCallClerk describes signed call-event webhooks and mid-call API calls as product capabilities. |
When comparing routes, look beyond whether an app name appears in a connector list. Check whether the connection supports live availability checks and the booking or rescheduling actions you require, whether it can match CRM contacts and create the right activity or object, how it handles fields and owners, and how failed actions can be found and recovered.

- Call when a suitable slot is available; confirm the service checks availability, creates the event, and records the booking outcome in the intended CRM record.
- Call when a preferred slot is unavailable; confirm the response follows your rules and does not create an incorrect event.
- Change the requested time during a call; check that the final choice, not an earlier option, is reflected in the systems.
- Test a new caller and an existing contact; check for the intended create-or-match behavior and for duplicate records.
- Test missing or ambiguous caller details; confirm the service asks for clarification or routes the case for human follow-up rather than writing unreliable data.
- Simulate or review a failed calendar or CRM write using the product’s supported test method; confirm how the failure appears and who is expected to act on it.
- Request a human handoff; verify that the transfer or fallback works and that useful context reaches the person taking over.
For successful bookings, check the event’s time zone, calendar, details, and attendees. For CRM updates, check the contact match, fields, activity or other record, outcome, and follow-up owner.
Plan for failures and ongoing monitoring
Decide what should happen when a calendar check, event creation, CRM update, or human transfer fails. Depending on the tools available, the service may be able to route the caller to a person, capture a callback request, or send an event to middleware. Configure and test the actual fallback rather than assuming the vendor’s documented transfer or webhook feature is already enabled in your workflow.
Recommended Free Tools
- Review failed writes, duplicate contacts, incorrect bookings, and follow-ups without an owner.
- If middleware is involved, inspect its execution history and assign someone to monitor and troubleshoot each workflow step.
- Give staff a way to handle calls that cannot be completed automatically.
- Do not describe the setup as real-time, two-way, or guaranteed to prevent double bookings unless the selected configuration has been tested and the vendor documents that behavior.
Integration claims are product- and configuration-specific. Vendor pages describe their own features, not an independent performance guarantee for every business or connector combination.
