For a screenshot you already have, open it in Preview and export a separate JPEG or JPEG-2000 copy with a lower quality setting. If the recipient needs fewer pixels, use Tools > Adjust Size and select Resample image. Keep the original, then check the compressed file’s size and appearance before replacing anything.
Choose the right way to reduce the file
“Compress” can mean two different changes: reducing visual quality during export, or reducing the number of pixels. Preview supports both. A third workflow applies when the screenshot is inside a PDF rather than saved as an image.

There is no universal “best” quality value or guaranteed percentage reduction. The result depends on the screenshot’s dimensions, text, colors and current format, so judge the exported copy rather than relying on a number.
Compress an existing screenshot in Preview
Export as JPEG or JPEG-2000
- In Finder, double-click the screenshot. If another app opens it, Control-click the file, choose Open With, and select Preview.
- Choose File > Export. Do not use Save if you want an untouched original.
- Enter a new filename and destination so the compressed copy is easy to compare with the source.
- Open the Format menu and select JPEG or JPEG-2000. Preview also lists HEIC, OpenEXR, PDF, PNG and TIFF as export formats.
- Move the Quality control toward lower quality, or leave it higher when small text and sharp edges must remain readable.
- Click Save, then open the exported file and inspect it at 100% zoom.
JPEG and JPEG-2000 expose a quality adjustment; PNG does not provide the same quality slider in Preview because it is intended for preserving image data rather than choosing a lossy quality level. Screenshots containing interface text, code or thin lines often show artifacts sooner than photographs, so reduce quality gradually and compare the lettering, icons and borders.

Reduce pixel dimensions with Resample image
Use resampling when a service rejects the screenshot because it is too large in width, height or total pixels. This changes the image itself, not just the encoding.
- Open the image in Preview.
- Choose Tools > Adjust Size.
- Enable Resample image.
- Enter a smaller width, height or resolution. With the proportion-lock control enabled, changing one dimension keeps the image’s aspect ratio.
- Read Preview’s resulting size information, select OK, and export or save the resized copy under a new name.
- Zoom in on text and fine details before deciding whether the new dimensions are acceptable.
Resampling and quality reduction can be combined: first choose dimensions that meet the destination’s limit, then export to JPEG or JPEG-2000 if additional reduction is still needed. Make the dimensional change deliberately; once pixels are discarded, enlarging the file later cannot recreate the original detail.
Pick a format when taking a new screenshot
If you have not captured the image yet, set the format before taking it. Press Shift-Command-5 to open Screenshot controls. On supported Mac models running macOS Tahoe 26 or later, Screenshot can capture SDR in PNG or HDR in HEIF. These are capture choices for new screenshots; they do not convert an existing file.
- PNG: choose it when broad compatibility and crisp interface text matter.
- HEIF: choose it when your workflow and recipients support HEIF and you need HDR capture on compatible hardware and macOS.
The Capture Format option is conditional: an older Mac or an earlier macOS release may not show the same choices. If the control is absent, capture in the format offered by Screenshot and convert the resulting file in Preview.

Compress a PDF that contains a screenshot
A PDF is a separate case from a standalone PNG or JPEG. Open the PDF in Preview, choose File > Export, and select the Reduce File Size Quartz filter. Depending on the options shown by your macOS version, you can also optimize images for screen viewing or save images as JPEG.
Preview warns that these PDF options can lower quality, and the final size varies with the document’s images, fonts and other content. Check every page after exporting, especially small labels and screenshots containing code. Do not apply the PDF filter to an ordinary image file; use the image export or resampling workflow instead.
Verify the compressed copy before sending it
- In Preview, choose Tools > Show Inspector (or use the Inspector window available in your macOS release).
- Check the file size and image resolution reported for the exported copy.
- Open the source and copy side by side at the same zoom level.
- Confirm that text, cursor details, color distinctions and any required privacy redactions still look correct.
- Test the file in the destination upload form or mail client. Some services impose pixel dimensions, file-size limits or accepted-format rules independently of macOS.
Keep the source until the recipient or service has accepted the compressed version. Apple documents the controls, but does not promise a particular percentage reduction or a quality setting that is optimal for every screenshot.

Troubleshooting
The exported file is still too large
- Confirm that you exported a new JPEG or JPEG-2000 copy rather than saving the original format unchanged.
- Lower the quality in small steps and inspect text after each export.
- Use Tools > Adjust Size and resample to fewer pixels when the destination has a dimension limit.
- If the file is a PDF, use the PDF workflow; image export controls do not compress a PDF container.
Text looks blocky or blurred
The quality setting is too aggressive, the dimensions are too small, or both. Return to the original, export at a higher quality, and resample less. Never enlarge the already-compressed copy to try to restore detail.

Export another copy as PNG for compatibility, or use JPEG if the service accepts it and a smaller file is more important than lossless text edges. The Screenshot Capture Format choices on a newer Mac do not guarantee that every recipient supports HEIF.

The PDF became unreadable
Re-export from the original PDF without the Reduce File Size filter, or choose a less aggressive image-optimization option. Review several pages because a filter can affect images differently across a document.
