Choose self-hosting when a concrete need for control, customization, data location, latency, or integration outweighs the work of operating the app—and you have people and processes to maintain and recover it. Choose the managed cloud version when you want to start quickly and avoid running infrastructure, provided its features, terms, data handling, and service commitments meet your needs.

The key is to compare the exact app and service model, not “your server” against “the cloud” as if either were a single arrangement. A managed SaaS product and a rented cloud server leave very different jobs with the customer.

First, identify what “cloud” means for this app

Cloud does not automatically mean the provider operates every part of the software. In SaaS, the provider supplies ready-to-use software and manages its infrastructure, feature updates, and cloud security patching. Customers still manage their data, access, and application configuration, as AWS explains in its cloud and on-premises comparison. With IaaS, the customer still runs and manages operating systems and applications. Renting a cloud server to install an open-source app on is therefore not operationally equivalent to buying managed SaaS.

Some vendors host an installation of their software without offering the same responsibility split or features as a conventional SaaS product. Check the service description, contract, and technical documentation to learn who patches the app and operating system, handles backups, monitors service health, and restores service after an incident. AWS’s SaaS versus on-premises guide also highlights contract, support, customization, backup, scaling, and data-retrieval questions to verify.

Compare the options against your requirements

What to compare Self-hosting is a stronger fit when… Managed cloud is a stronger fit when…
Responsibility and skills You have people and established processes to patch, monitor, back up, restore, and troubleshoot the app, including during outages. Your team is small or should focus on using the app rather than operating its infrastructure.
Data and control You have a specific requirement for local control, configuration, or data location, and this product can meet it. The vendor’s terms and controls meet your requirements and hands-on infrastructure work is not worth taking on.
Full cost You already have suitable infrastructure and expertise, and the complete operating cost is favorable. The service cost is acceptable and the reduced operational burden justifies it.
Reliability and scaling You can provide the necessary redundancy, monitoring, capacity, and recovery—or the app must operate locally. Provider-managed maintenance and scaling fit your reliability needs.
Product fit and exit The self-hosted edition’s features, maintenance policy, support, and export options suit your use case. The hosted edition has the features you need and clear terms for retrieving and deleting data.

This is a decision framework, not a promise that every provider or self-hosted installation has the same service level. For contractual or regulatory obligations, verify the actual controls and terms for your jurisdiction and workload; server location alone does not establish compliance.

Work out the real operating cost

Compare both choices over the same period and under the same expected workload. A free software license is not a zero-cost service, and a subscription price is not the whole value comparison. Include infrastructure and storage, staff time, security work, backups, monitoring, support, and the work of growing or recovering the deployment.

For IaaS, Microsoft Learn cautions that costs can rise as resources and maintenance are added; its application modernization guidance, last updated May 19, 2025, contrasts this with PaaS’s reduced management overhead. That comparison does not establish a universal price winner for an open-source app: your usage, labor, infrastructure, and service terms determine the result.

  • Estimate staff time for routine upgrades, security patches, monitoring, troubleshooting, and user support.
  • Account for backup storage and the effort to test and perform a restore—not merely the existence of a backup.
  • Include the capacity and redundancy needed for the workload, plus the people available to respond when something fails.
  • For cloud, check what the subscription includes, which usage or support may cost extra, and how pricing changes as use grows.

Assess who can meet your security and reliability needs

Neither deployment model is inherently more secure. Self-hosting can make specific security policies and data-location choices possible, but the operator must implement and maintain them. Managed vendors may handle infrastructure maintenance and security patching, but customers still need to assess vendor controls, access, data handling, and contract terms.

A self-hosted installation also needs a clear operating plan: who applies updates, watches for problems, keeps backups, investigates incidents, and restores service. Control without that capacity is not the same as protection or resilience. In managed SaaS, confirm precisely which operational tasks the provider covers and which remain yours; the SaaS responsibility split should not be assumed for IaaS or every vendor-hosted installation.

Likewise, local operation is not automatically the right answer for sensitive or regulated information, and hosted operation is not automatically disqualifying. Establish the actual data, jurisdiction, contractual obligations, and controls first, then verify that the particular deployment can satisfy them.

Check the product editions before deciding

“Open source” does not guarantee that hosted and self-hosted editions have identical features or support. Compare the current documentation for the exact app, including its interface, integrations, authentication, tenancy, update process, backups, support, and data export or deletion terms.

Product documentation shows why this matters. Timefold’s comparison says its managed Timefold Cloud Platform handles infrastructure maintenance, security patches, scaling, and updates. Its self-hosted platform calls for technical resources for updates, scaling, infrastructure issues, and security patches; the documented editions also differ in areas such as interface and tenancy. These are Timefold-specific arrangements, not a general rule for open-source apps.

GLPI’s cloud-versus-self-hosted documentation likewise lists differences in server maintenance, update arrangements, and backups for its own offers. The terms and plans can change, so check the current product documentation rather than applying GLPI’s arrangements to another app.

Consider whether hybrid is worth the extra coordination

You may be able to keep one workload local and use a managed service for another. This can address mixed requirements, but it expands the operational surface: integrations, monitoring, security, and governance cross both environments. Microsoft Learn describes hybrid operations as inherently complex to manage, use, monitor, and control. Choose a hybrid arrangement only when the benefits of meeting those distinct needs justify coordinating both sides.

Make the decision in a practical order

  1. Write down the non-negotiables. Identify data-location, contractual, privacy, latency, customization, integration, feature, and uptime requirements. Separate mandatory requirements from preferences.
  2. Confirm the deployment model. Determine whether the hosted offer is managed SaaS, a vendor-hosted installation, or infrastructure where you still operate the app and operating system.
  3. Assign each operational task. For patching, monitoring, backup, restore, incident response, scaling, and support, establish whether you or the provider is responsible—and what evidence or service commitment supports that expectation.
  4. Compare editions and exit paths. Verify features, support, update policies, data export, deletion, and migration requirements in the app’s current documentation and terms.
  5. Build a like-for-like cost estimate. Use a common time horizon and expected usage; count staff and recovery work alongside subscription, infrastructure, storage, and support.
  6. Choose the option your organization can sustain. If self-hosting depends on expertise or outage coverage you do not actually have, its theoretical control is not a practical advantage. If managed cloud misses a hard requirement, do not choose it just to avoid infrastructure work.

If you choose to self-host locally, a Linux computer, Raspberry Pi, or hosting plan can be a starting point; you do not necessarily need to buy new hardware. A local setup still makes updates, backups, monitoring, uptime, and troubleshooting your responsibility, as described in TechRadar Pro’s self-hosted app setup guide.
