Choose the tool that fits the suite your company already uses. Microsoft Teams is the more natural fit for construction organizations built around Microsoft 365 and SharePoint, especially when project conversations and shared files need to stay connected. Google Meet is a sensible fit for companies already using Google Workspace that want browser-based meetings and Workspace tools for frontline staff. The available documentation does not establish a construction-specific winner: treat either as a communication layer, then verify it against your field workflows, project controls, and access requirements.

How Teams and Google Meet differ for construction

Teams is part of a broader collaboration setup: its frontline capabilities include chat, channels, meetings, and file sharing tied to SharePoint, alongside apps such as Shifts, Walkie Talkie, Planner, Approvals, and Updates. Microsoft describes these as general capabilities usable across sectors, not as construction-validated workflows. (Microsoft Learn: Frontline team collaboration; Microsoft Learn: frontline worker apps)

Meet is a video-meeting service within Google Workspace. Google describes Workspace tools for frontline staff on personal or shared devices, including Meet and Chat, and points to AppSheet for building workflow apps. That makes Workspace relevant to field teams, but does not make Meet construction project-management or document-control software. (Google Workspace for manufacturing)

Decision point Microsoft Teams Google Meet and Workspace
Existing suite Natural fit where Microsoft 365 and SharePoint are already used; files in a team’s Files tab map to a folder in its SharePoint team-site document library. (Microsoft Learn) Natural fit where Google Workspace is already used for documents, identity, and devices. (Google Workspace)
Field access Microsoft documents access on personal or shared devices for frontline workers. Check account provisioning and device policies for your crews. (Microsoft Learn) Google describes frontline use on personal or shared devices and browser-based Meet access on supported desktop browsers without plugins. (Google Workspace; Google Meet Help)
Project communication Channels can organize work by project or crew, with chats and meetings for day-to-day coordination; these are plausible applications, not construction-specific vendor outcomes. (Microsoft Learn) Meet supports meetings, while Workspace also offers Chat. Decide where project updates belong and how they will be found later. (Google Workspace)
Documents and permissions Files shared through a team are associated with its SharePoint site, so file access and governance depend on Microsoft 365 configuration. (Microsoft Learn; Microsoft Teams security guide) Evaluate Google Workspace document sharing, identity, and device practices together; the cited Meet sources do not establish a construction document-control workflow. (Google Workspace)
Administration and records Security administration spans Teams and connected Microsoft 365 services such as SharePoint and Exchange; review the organization’s tenant configuration and license. (Microsoft Teams security guide) Google describes encryption for Meet and says audio or video is not stored unless recording, transcript, or note-taking is activated. Confirm applicable plan and settings. (Google Meet Help)
Construction software connection Check whether it connects to your project-management, document-control, and field-reporting systems; general collaboration capabilities do not establish a particular integration. Check the same requirements for Workspace and Meet; the cited materials do not establish construction-platform integrations.

Which tool fits your company’s workflow?

Choose Teams when Microsoft 365 and SharePoint are already central

If your company already stores project documents in SharePoint and administers accounts through Microsoft 365, Teams can give project conversations and shared files a common home. A project channel could hold routine updates and meeting coordination, while the linked SharePoint library holds the controlled documents. Use the relevant apps only where they match actual processes; for example, Shifts may support crew scheduling, but it does not replace a construction scheduling or project-controls system.

Choose Meet when Google Workspace is already central

If staff already use Google Workspace for documents, identity, and devices, Meet can be the lower-friction choice for browser-based meetings. Google’s frontline materials describe use by shop-floor and field-service staff and include AppSheet for workflow apps. Those are adjacent examples, not evidence that Meet manages construction projects. Define separately how crews find current drawings, instructions, inspection records, and decisions.

Use a mixed environment only with clear ownership

Some contractors, owners, consultants, and subcontractors may arrive with different suites. A meeting link can help people join a call, but it does not settle where the authoritative file lives, which account can view it, or how project decisions are retained. Choose one system of record for each project document type and communicate that choice to every party.

Security, subcontractor access, and meeting records

Neither vendor’s general security description is enough to declare a categorical winner. Microsoft frames Teams security within Microsoft 365 and notes connected services such as SharePoint and Exchange. Google describes encryption for Meet and says it does not store meeting audio or video unless recording, transcript, or note-taking is enabled. These statements describe vendor controls; the outcome for your organization depends on its plan and configuration. (Microsoft Teams security guide; Google Meet security and privacy)

  • Identity: Decide whether field workers and subcontractors use company-managed accounts, and establish who provisions, reviews, and disables access.
  • Devices: Test sign-in and access rules on the personal or shared phones and tablets crews actually use; make sure shared-device practices do not expose one worker’s account or project files to another.
  • External access: Pilot guest or external-user access with a subcontractor account. Check what that user can see, whether they can share or download files, and how access is removed when the contract ends.
  • Document permissions: Review access to drawings, instructions, inspection records, and meeting outputs at the project level. Confirm that a meeting participant does not automatically receive broader file access than intended.
  • Records: Set expectations for recording, transcription, note-taking, retention, and where meeting outputs are stored. Apply the organization’s own legal and records policies.

Keep communication tools separate from project controls

Teams and Meet can make it easier for project parties to communicate, but general collaboration tools were not designed specifically for construction. A call or chat does not by itself provide controlled drawing revisions, formal submittals, RFIs, inspection workflows, or project reporting. The construction collaboration overview likewise treats general tools as support for communication rather than construction-specific systems. (Procore: construction collaboration tools)

Run a field pilot before committing

  1. Choose one representative project: Include office staff, a site crew, and at least one external collaborator so the pilot tests real communication boundaries.
  2. Test actual site access: Join meetings and retrieve required files using the devices and network conditions workers will encounter. Include any shared-device process.
  3. Set up a project space: Organize a small set of conversations and documents, then have users locate the latest instruction or drawing without coaching.
  4. Exercise external permissions: Invite a subcontractor, verify the intended file and meeting access, and test how access is revoked.
  5. Test records and integrations: Review recording and transcription settings, confirm where outputs are saved, and check the required connections to project software.
  6. Compare total cost for your setup: Verify current regional pricing, required user licenses, add-ons, and administration needs directly against your organization’s configuration.

Choose the platform that passes these workflow checks with the least disruption to your existing suite and project controls, rather than selecting on meeting features alone.
