For lawful remote sharing, choose a cloud-drive or file-transfer service based on file size, whether recipients need ongoing collaboration, and the access controls you need. For a nearby recipient, a USB flash drive may be simpler. First, make sure you own the content or have permission to distribute it: a transfer service does not grant copyright rights.
Start with permission to share
The transfer method and the right to distribute a file are separate issues. Dropbox’s official copyright policy says: “You should only use shared folders, public links, and photo galleries for files that you have the legal right to share with others (for example, documents, photos, software, music, and videos that you personally created).” Read Dropbox’s copyright policy. Microsoft likewise tells OneDrive users to respect copyright when sharing. See Microsoft’s OneDrive sharing guidance.
Whether a particular share is lawful can depend on the work, your ownership or license, the circumstances, and applicable law. The fact that a service is a legal file-transfer product does not make every file shared through it authorized.

Use a transfer link for a finished handoff
A transfer link is designed for sending a completed file or set of files without inviting recipients to collaborate on the working copy. Dropbox describes Transfer as appropriate for files that do not need collaboration, such as finalized contracts or finished video files. Dropbox Transfer guidance.

Compare size limits in context
Check both the maximum size for an individual file and any account-level or daily upload cap. A service’s advertised maximum is not necessarily available on every plan or in every workflow.

Set the audience and link controls deliberately
Named-recipient access is generally the narrower choice when only specific people should receive a file. An “anyone with the link” setting is convenient, but the link can be forwarded. Google warns that linked material may be used or interpreted beyond the sharer’s purposes or intent. Google’s sharing guidance.

- Choose the narrowest audience that will work: specific recipients rather than an open link where practical.
- Give recipients only the role they need; a download does not require edit access.
- Use a password or expiry option if the selected service and plan provide it.
- Check whether the recipient needs an account or app for your particular workflow; that requirement is not the same across all plans and sharing methods.
- Confirm how long a transfer is retained and what happens after a link expires in the provider’s current terms.
Consider a physical handoff for someone nearby
If the recipient is in the same place, a USB flash drive can avoid uploading and downloading. It is an in-person option, not a replacement for remote delivery. A UK Intellectual Property Office survey report lists direct receipt through Dropbox, WeTransfer, a USB stick, email, or messaging apps as a response category for video-game access; that category accounted for a 1% average usage split among 1,028 people who had accessed video games online in the previous three months. This is dated UK survey context, not a measure of current service adoption or general file sharing. UK Intellectual Property Office report.
