Choose a label printer by starting with the label’s job, size, and expected lifespan—not by looking for one model that is best for every business. Direct-thermal printers are often a practical fit for short-lived shipping labels; labels that must remain crisp for years may call for thermal-transfer equipment and compatible ribbon. Then check print width, workload, connections, media compatibility, and ongoing supply needs against your actual workflow.
1. Identify the labels you need to print
Shipping and postage labels, product labels, inventory labels, and asset labels do not necessarily call for the same printer or media. Write down the largest label format you expect to use, what must appear on it, where it will be applied, and how long it needs to remain readable.
- Shipping and postage: Check that the printer supports the width and layout required by your shipping service. A 4-inch-wide format can accommodate many package-label designs, but confirm the exact dimensions and orientation your workflow requires.
- Product and inventory: Consider whether the label needs to remain legible through storage, handling, or exposure to light or chemicals. That can affect both the printing method and media choice.
- Small, information-dense labels: Match resolution to the actual design. Fine text and compact barcodes can make resolution more consequential, so check that they fit at the intended label size.
Maximum width is not the only format limit: also verify label length, orientation, and whether required text and barcodes fit without becoming too small to scan or read.
2. Choose direct thermal or thermal transfer by label lifespan
The main decision is whether the printer heats treated media directly or transfers an image from a heated ribbon. Zebra explains that direct-thermal media is chemically treated and darkens under a thermal printhead; thermal-transfer printing uses a heated ribbon to create images on various materials. Direct thermal for shorter-term labels
Direct thermal avoids ink, toner, and ribbon, which makes it a straightforward choice for many shipping labels used for a limited time. Its image durability is more limited, particularly in direct sunlight or around chemicals. Zebra describes direct thermal as suitable for shorter-term applications ranging from one week to one year, but that is general manufacturer guidance—not a guarantee for a particular stock or environment.
Thermal transfer for labels that must last
Thermal transfer uses a ribbon and compatible media. Zebra recommends it when crisp images need to last for years. For inventory, product, or asset labels with longer storage or exposure requirements, assess the specific label material, ribbon, and conditions rather than assuming any thermal-transfer combination will meet the need. These are different technologies: do not assume that a direct-thermal printer can use a ribbon. For example, Brother lists the QL-1110NWB as direct thermal, not thermal transfer.

3. Match throughput and capacity to your workload
Estimate ordinary daily output and the largest batch you need to print during a busy period. Compare those needs with the printer’s stated speed, media-roll capacity, and how often staff will have to reload supplies. A fast printer with a small roll may still interrupt a large batch; a high advertised speed may also depend on a particular label and layout.
Formatting time affects real throughput too. Zebra cautions that time spent preparing a print job is separate from the printer’s stated print speed. If labels are generated one at a time from an order system, the full workflow may matter more than a maximum labels-per-minute figure.
Look for cutter or peeler features only if they suit the way labels are applied. Consider setup and roll changes alongside printing speed when judging whether the device can handle peak demand.

4. Check connections and software fit
Choose connections that work where the printer will sit and with the devices that create labels. Depending on the model, useful options may include USB for a directly connected workstation, Ethernet or Wi-Fi for a shared printer, and Bluetooth or mobile printing for a wireless workflow.

Before buying, verify operating-system and app support, the connection method needed by your shipping or inventory software, and whether multiple users can print as intended. A connection appearing in a specification does not by itself establish compatibility with your specific application or setup.
5. Check media compatibility and total operating needs
Confirm the exact label stock supported by the printer and whether it requires proprietary or model-specific rolls. For thermal-transfer printing, include compatible ribbon as well as media in your supply plan. Compare the availability and price of the supplies you will actually use, plus the maintenance and service arrangements relevant to your volume. There is no common cost-per-label figure here that would support a fair comparison across printers.

Brother says QL printers use DK media. For the QL-1110NWB, Brother warns that non-genuine replacement labels could damage the printer and may not be covered under warranty. Its product page lists a DK-1247 die-cut large shipping-label starter roll with 41 labels and a DK-2205 continuous-tape starter roll in the box. Check current compatibility and warranty terms before choosing substitute media.

Brother’s US product page describes the QL-1110NWB as a direct-thermal printer for paper labels up to 4 inches wide, including packages, envelopes, and postage. It lists USB, Bluetooth, Ethernet, and Wi-Fi, and says mobile printing is available through Brother’s app when connected to a wireless network. These manufacturer specifications make it one option to assess if your business needs wide-format shipping labels and its media and software fit your workflow.

7. Make the decision with a short checklist
- Define the job: List the label types, dimensions, layout, and expected label life.
- Choose the printing method: Favor direct thermal when short-term use and avoiding ribbon suit the job; consider thermal transfer for durable labels that must stay crisp for years.
- Confirm format: Check maximum width, label length, orientation, and resolution against a real sample design.
- Estimate workload: Compare normal output and peak batches with speed, roll capacity, formatting time, and roll-change frequency.
- Validate the workflow: Confirm connections, operating-system and app support, and compatibility with your shipping or business software.
- Price the supplies and upkeep: Check compatible media, ribbon if required, availability, maintenance, and warranty terms.
