Choose a customer-support chatbot builder by matching it to the conversations you need to handle, the systems it must access, and the way your team will take over when automation should stop. Start with your existing helpdesk: a native agent may be enough for knowledge-based answers, while scripted or action-taking bots may require a programmable builder or a third-party service. Compare each option with real support scenarios, handoff behavior, privacy terms, reporting definitions, and a cost model based on expected use.

Start with the support work, not the chatbot label

Before comparing vendors, identify the customer requests the bot should handle and the ones it must pass to a person. “Chatbot” can mean a bot that retrieves approved help-center answers, a scripted dialogue that collects details, a generative agent that follows procedures, or a bot that takes authorized actions through integrations. Those approaches have different setup needs and risks.

  • List frequent questions: identify topics with stable answers in approved support content.
  • List customer-specific tasks: note requests that require account, order, shipment, subscription, or other live data.
  • List channels: specify where customers need help, such as a website messenger, mobile experience, or messaging channel.
  • Set non-automation boundaries: identify sensitive, ambiguous, or high-impact cases that should go to an agent.
  • Define a useful outcome: decide what counts as resolved, escalated, or incomplete, rather than treating silence after a bot reply as proof of success.

Zendesk’s product documentation illustrates the range: its AI agents can use trusted knowledge sources and extend to scripted dialogues, procedures, authorized actions, and API integrations. These are product capabilities described by Zendesk, not independent evidence of answer quality or business results. Zendesk AI options

Choose an implementation route

Route Best starting point What to examine Trade-off
Native agent in the existing helpdesk Teams whose support content and agent workflow already live in a helpdesk that offers AI agents. Which knowledge sources, procedures, actions, channels, analytics, and plan levels are included. Less fragmentation may mean simpler operations, but capability and availability depend on the helpdesk product and plan.
Programmable or custom builder Teams that need tailored conversations, structured information collection, or actions against business systems. Engineering work, connector/API permissions, testing, maintenance, and ownership of flows. More control can come with greater build and ongoing support effort.
Third-party bot Teams whose existing helpdesk lacks a suitable capability or that need a bot designed for a specific workflow. Helpdesk integration, transcript/context transfer, channel coverage, data handling, and separate billing. A specialist option may add capabilities, while also introducing another vendor and integration surface.

Zendesk documents all three routes within its own ecosystem: built-in AI agents, a programmable Web Messenger/Sunshine Conversations approach, and third-party bots. This is a useful way to frame the decision, not a census of every builder. Zendesk says Sunshine Conversations requires a separate license; confirm current feature and plan availability with the vendor. Zendesk’s chatbot options

1. Zendesk AI agents: a native route for helpdesk-centered teams

Zendesk describes AI agents that can begin with trusted knowledge sources and extend to scripted dialogues, procedures, authorized actions, API integrations, and analytics. That range makes the native route worth assessing when agents already work in Zendesk and the bot should operate close to the existing support workflow.

What to validate

  • Whether the agent can access the exact approved content and data sources your use cases need.
  • Whether actions require configuration or APIs, and how permissions prevent unauthorized changes.
  • What analytics are available and how the product defines resolution or deflection.
  • Which capabilities are included in the account’s specific plan.

Zendesk’s dialogue-builder documentation describes branching scripted flows, integration/action flows, structured detail collection, availability rules, escalation blocks, testing before publication, and publishing changes live. The documentation supports checking the full path from a customer’s first question through action or escalation. Zendesk dialogue-builder documentation

Zendesk’s product documentation does not establish a price for AI agents here. Treat feature availability as account- and plan-dependent rather than assuming every described capability is included. Zendesk AI product information

2. Zendesk programmable conversations: for tailored dialogue and channel needs

Zendesk’s programmable route uses Web Messenger and Sunshine Conversations to customize conversations and connect them across channels. It is relevant when the standard agent experience does not provide enough control over the conversation or integration pattern.

Zendesk says Sunshine Conversations requires a separate license. Its current price is not stated in the cited material, so include the license and any implementation work in a total-cost estimate. Confirm the channels and configuration available for your account. Zendesk’s chatbot options

3. Third-party bots connected to a helpdesk: a separate-vendor route

Zendesk identifies third-party bots as another route, but the available product evidence does not name or establish the capabilities or prices of particular third-party builders. The key decision is whether a separate bot can integrate cleanly with the helpdesk and preserve customer context when a human takes over.

  • Confirm which conversation channels are supported and whether identity and history persist across them.
  • Check the actual integration path, permissions, sync behavior, and what happens when a connected system fails.
  • Review the third party’s data processing, retention, deletion, model-use, and security terms alongside the helpdesk contract.
  • Model any bot, connector, usage, or minimum charges separately from helpdesk seat costs.

4. Intercom and Fin: compare the two billing arrangements

Intercom’s FAQ dated August 27, 2026 describes two arrangements: an integrated Intercom-plus-Fin helpdesk with seat and usage pricing, and Fin used with an existing helpdesk with per-outcome billing, minimum commitments, and no teammate seat charges. These are Intercom’s vendor-published terms, not a general pricing benchmark. The FAQ also reports more than 450 apps and integrations, including Salesforce, HubSpot, and Jira; that count is a company-reported figure, not an independent audit or a measure of connector depth. Build the cost model around the billable unit

For the integrated option, account for both seats and usage. For Fin on an existing helpdesk, identify which outcomes incur charges, how the minimum commitment applies, and how the vendor handles cases that do not produce a confirmed resolution. Use your own expected low, typical, and high monthly volumes; do not compare a per-outcome price directly with a seat price without including the relevant usage and commitment terms.

5. Salesforce Agentforce: a platform lead, not a fully documented comparison here

Salesforce’s official search excerpt describes chatbot platforms in terms of deployment infrastructure, analytics, integrations, governance, and lifecycle management, and highlights privacy and security. The available page could not be reviewed in detail, so specific Agentforce features, supported channels, prices, and implementation requirements are not established here. Check Salesforce’s current product and contractual documentation before treating it as a match for a particular support workflow.

Test the bot with scenarios that expose failure modes

A polished answer to a common question is not enough to evaluate a builder. Run representative conversations in a test environment and inspect the transcript, the system behavior, and the agent handoff. Zendesk documents testing dialogue changes before publication; equivalent testing should be part of evaluating any route. Zendesk dialogue-builder documentation

  1. Common, answerable question: ask a frequent question whose approved answer is current. Check whether the response reflects the source accurately.
  2. Ambiguous request: use a vague or multi-part question. Check whether the bot asks a clarifying question or guesses.
  3. Missing or conflicting content: ask about a topic absent from the knowledge base or covered inconsistently. Check whether the bot acknowledges uncertainty and offers a safe next step.
  4. Customer-specific lookup: request a shipment or account status. Check authentication, permissions, data freshness, and error handling. Zendesk’s dialogue documentation describes integration/action flows for retrieving business-specific information such as shipment status when the integration is implemented. Zendesk dialogue-builder documentation
  5. Action with consequences: test an update, cancellation, or other permitted action, if relevant. Check authorization, confirmation, duplicate prevention, and recovery from failure.
  6. Frustrated customer or explicit request for a person: confirm that the bot stops trying to automate and communicates the next step clearly.
  7. Out-of-hours request: test availability rules, queue behavior, and what the customer is told when an agent is unavailable.
  8. Channel transition: if a customer can switch channels, verify that identity, transcript, and required context carry over as expected.

Review samples across scenarios rather than relying on a single successful run. Record incorrect answers, unsupported claims, unnecessary loops, failed actions, and missing context at handoff. This is an evaluation method for buyers, not a claim that any named platform has been independently tested here.

Make human handoff part of the design

A bot should have clear conditions for stopping and a reliable destination for the conversation. Zendesk’s dialogue documentation includes availability and escalation blocks, but buyers should test equivalent behavior in the specific product and channel they plan to use. Zendesk dialogue-builder documentation

  • Trigger: define when to escalate, including direct requests for an agent, low confidence, repeated failure, or sensitive subject matter.
  • Destination: verify the queue, team, or fallback route and what happens when no agent is available.
  • Context: check whether the human receives the conversation, collected details, attempted actions, and relevant customer identity.
  • Customer messaging: make the wait, operating-hours status, and next step explicit.
  • Measurement: separate successful handoffs from abandoned or unresolved conversations.

Check knowledge and integrations before promising automation

For each intended task, name the authoritative source of truth and determine whether the bot only needs to read it or must also change it. A help article may be enough for a general return-policy answer; an order-status answer requires current order data. Changing an address or canceling an order requires additional authorization and safeguards.

Zendesk’s documented action-flow example shows how an integration can retrieve business-specific information, such as a shipment status, when the integration has been implemented. That is evidence of a documented workflow pattern, not a guarantee that a connector exists for every business system. Zendesk dialogue-builder documentation

Review analytics without confusing activity for resolution

Ask what the product reports: resolved requests, escalations, unanswered intents, customer feedback, transcripts, and quality signals. Then inspect the metric definitions. A conversation marked “resolved” because there was no later reply is not necessarily equivalent to a customer-confirmed outcome. Intercom’s per-outcome pricing makes its definition especially important to cost, while Zendesk says advanced analytics are available for its AI agents; confirm the exact reports and plan access for the product under consideration. Review privacy, security, and governance for the exact service

Ask vendors how customer data moves through the bot, connected systems, and any models; how long it is retained; whether it is used for training; and how deletion, redaction, notice, consent, hosting region, access control, and auditability work. Review the applicable contract, data-processing terms, security documents, configuration, and jurisdictional requirements. A feature checklist alone does not establish legal or regulatory compliance.

Zendesk states that its AI principles include privacy, security, accuracy, transparency, and customer control. Its trust documentation describes controls such as customer control over model-training use, deletion schedules, redaction, privacy-notice features, and visibility identifying AI agents to users. Zendesk says: “AI agents are identified to end-users directly in Zendesk’s messaging interface, so it’s clear when end-users are interacting with human versus AI agents.” These are Zendesk statements about its products; verify their applicability to the service, account configuration, and terms you will use. Zendesk AI Trust documentation

Calculate total cost and operating effort

Use a monthly estimate at low, expected, and high volumes, and include both software charges and the work required to keep the bot reliable. The right billing unit varies: seats, usage, outcomes, channels, or minimum commitments can change which option costs less as volume changes.

Cost area What to include
Licenses and seats Helpdesk seats, bot access, separate channel licenses, and plan requirements.
Usage Conversations, messages, resolutions or outcomes, and any usage thresholds.
Commitments Minimum usage, contract length, or other minimum charges stated by the vendor.
Setup Content preparation, integration work, workflow design, testing, and launch support.
Ongoing ownership Content updates, flow maintenance, monitoring, transcript review, and integration support.
Risk controls Time and tools needed for permissions, privacy review, audit requirements, and human oversight.

Intercom’s August 27, 2026 FAQ is a practical example of why the billing unit matters: it distinguishes an integrated seat-plus-usage arrangement from Fin on an existing helpdesk, which it describes as outcome-billed with minimum commitments and no teammate seat charges. Apply those terms only to the relevant Intercom option and current agreement. Intercom Fin pricing FAQ

Use this decision sequence to shortlist builders

  1. Write the use-case list. Separate knowledge answers, scripted intake, data lookup, and actions; mark tasks that must always reach a human.
  2. Map sources and channels. For every task, name the content or system of record and the customer channels where it must work.
  3. Check the existing helpdesk first. Compare its native agent’s available knowledge, actions, escalation, reporting, and plan requirements with the actual use cases.
  4. Consider programmable or third-party routes only where needed. Identify the control or capability gap that justifies more engineering or another vendor.
  5. Run the same scenario tests for each shortlist option. Include ambiguity, missing content, failed integration, customer-specific access, frustration, and handoff.
  6. Review data and contractual terms. Confirm retention, training use, deletion, redaction, access, hosting, notice, and oversight for the exact product and configuration.
  7. Model total cost at expected volume. Compare seats, usage, outcome definitions, minimums, channel licenses, setup, and ongoing maintenance.
  8. Decide what success means before launch. Track confirmed outcomes, escalations, failures, and customer feedback, then expand only after review of actual conversations.

Frequently Asked Questions

Should a support team build a custom chatbot or use one in its helpdesk?

Start with the native helpdesk route if it covers the required knowledge, channels, actions, and handoff. A programmable or third-party route is more relevant when the native option cannot meet a concrete workflow or integration requirement. Include engineering and maintenance effort in that comparison.

What should a customer-support chatbot be tested on?

Test ordinary questions and failure cases: ambiguous requests, absent or conflicting content, customer-specific lookups, failed actions, requests for a person, and out-of-hours escalation. Inspect transcripts and whether context reaches the human agent.

How can a team tell whether a chatbot actually resolved a request?

Check how the product defines its resolution metric and distinguish confirmed outcomes from conversations with no follow-up. Review conversation samples alongside reported analytics.

What privacy questions should buyers ask a chatbot vendor?

Ask about data flows, retention, model-training use, deletion and redaction, customer notice and consent, hosting regions, access controls, audits, and the contract and security terms for the exact service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How should chatbot pricing be compared?

Compare the actual billing unit and minimums at realistic low, expected, and high volumes. Include seats, usage or outcome charges, channel licenses, implementation, and ongoing maintenance rather than comparing headline prices alone.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
