Choose the suite that best fits the way your employees already work and the controls your business needs. Microsoft 365 is a strong fit when desktop Word, Excel, PowerPoint, Outlook, Exchange, or Microsoft’s collaboration and security tools are central to daily work. Google Workspace is a strong fit when Gmail, browser-based document collaboration, Meet, and organization-wide pooled Drive storage better match the team. Neither vendor’s plan pages establish a universal winner: compare the exact tier, storage model, user limit, security features, migration needs, local price, and subscription commitment before you decide.
Start with the work your team actually does
Business email is part of a larger work system. Microsoft describes its platform as including Exchange, Office apps, Teams, and SharePoint; Google Workspace combines Gmail, Meet, Drive, Calendar, and Docs, Sheets, and Slides. A sensible choice starts with the apps employees rely on, not the similarity of plan names.
- List the applications people use every day, including desktop Office, Outlook, Gmail, Docs, Sheets, video meetings, chat, and file sharing.
- Identify workflows that depend on particular file formats, integrations, shared calendars, or desktop software.
- Ask which tasks should remain familiar and which could reasonably change. A lower list price can be offset by training, support, or workflow disruption.
Microsoft’s Microsoft 365 and Office 365 platform service description gives platform and service context. For plan-by-plan included apps, check the current Microsoft 365 business plans and Google Workspace business plans.

Compare the specific tiers, not just the vendors
The same vendor’s plans can differ in desktop applications, storage, meeting features, and administration. Compare the tier that would meet your requirements rather than treating “Microsoft 365” or “Google Workspace” as a single feature set.

Google Workspace
Google’s US business page snapshot reviewed October 4, 2026 displays annual-plan prices of $7 per user per month for Starter, $14 for Standard, and $22 for Plus. Google describes storage as pooled across the organization: 30 GB per user on Starter, 2 TB per user on Standard, and 5 TB per user on Plus. The allocations are vendor plan specifications, not estimates of typical use.
Google’s tiers also vary in meeting, retention, endpoint-management, and security capabilities. The business page lists Vault, advanced endpoint management, and enhanced security controls on Plus, with additional enterprise controls on Enterprise. Verify that the exact edition and region include each control your organization requires.

Understand the storage difference
Microsoft’s Business Basic page specifies 1 TB of cloud storage per user. Google specifies pooled storage shared across the organization, with the per-user allocation increasing by tier. These figures are not directly equivalent: one is presented as per-user cloud storage, while Google’s allowance is an organization-wide pool calculated from the number of users.
Estimate both individual and shared needs before comparing. Include email, personal files, shared team content, growth, and any retention requirements. A pool may suit teams whose usage varies considerably between employees; a per-user allocation may be easier to reason about when needs are more evenly distributed. Confirm how the selected plan counts and administers storage in the current vendor documentation.

Check security, retention, and administration requirements
Write down the controls your business must have before choosing a tier. Depending on your obligations, that may include identity and access management, device management, threat protection, retention, eDiscovery, encryption, or compliance features. Do not infer that a control is included merely because it appears somewhere in a vendor’s product family.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Match each required control to the exact plan and edition.
- Confirm availability for your country and any relevant regulatory or contractual requirements.
- Determine who will administer accounts, devices, access, and retention settings.
- Ask whether a needed capability requires a higher tier, an add-on, or a separate service.
Microsoft identifies advanced cyberthreat protection and device management as additions in Business Premium. Google lists Vault, advanced endpoint management, and enhanced security controls on Business Plus, and additional enterprise controls on Enterprise. Feature names alone do not establish that a plan satisfies a particular legal or compliance obligation; validate requirements with the vendor and your compliance advisers.

Check employee-count limits and expected growth
Microsoft’s business-plan family is limited to 300 users. Google says Starter, Standard, and Plus are also capped at 300 users; Enterprise has no stated minimum or maximum on the cited pricing information. If your company is near or above the limit, confirm eligibility and the appropriate enterprise option directly with the vendor before budgeting or migration.
Compare the full cost and commitment
The prices above are dated vendor-page displays, not a same-date quote for every market. Currency, taxes, commitment, promotions, included apps, add-ons, and renewal pricing can change the total. Microsoft’s cited Business Basic price is shown with yearly payment; Google’s cited US prices are for annual plans. Compare the cost of the required seats and features over the same period and contract basis.
Google’s EUR/UK-English pricing page includes a future-dated introductory offer running October 17, 2026 through January 17, 2027. As of October 4, 2026, that offer has not begun; do not treat it as an active price. Promotions may also be limited by customer eligibility or seat count. Check current local terms at checkout and record the renewal price, not only any introductory rate.

Moving a company suite can involve more than copying email. Inventory mailboxes, calendars, contacts, files, user identities, domains, integrations, shared permissions, and retention needs. Microsoft documents domain administration and migration options; Google lists its Workspace Migrate tool. Neither mention alone establishes that a particular migration will be automatic or cost-free.
- Inventory: Record the systems and data in use, approximate volumes, integrations, and access rules.
- Map: Decide how existing mail, calendars, files, identities, and permissions will translate into the destination suite.
- Price: Obtain a migration scope and cost, including internal IT time, vendor or partner services, and user training.
- Pilot: Test representative users and workflows before moving everyone, especially shared mailboxes, calendars, and business-critical integrations.
- Schedule: Set a cutover plan, user communications, support coverage, and a recovery path for issues.
Use a decision checklist before buying
- Which suite best matches employees’ established email, document, meeting, and collaboration habits?
- Do people need desktop Office applications, or are web and mobile apps sufficient?
- Does the storage model fit your real usage: per-user allocation or pooled organization storage?
- Are the required threat, device, retention, and compliance controls included in the exact tier?
- Will your current and expected employee count fit the business-tier limit?
- What is the full cost for the needed seats, commitment, taxes, add-ons, migration, and renewal?
- What data and workflows must move, and who will support employees through the change?
Use the vendors’ current plan pages to validate features and obtain a localized quote: Microsoft 365 Business plans, Google Workspace Business plans, and Google’s localized pricing and storage details.
