Choose a bookkeeping service by matching its written scope, workflow, and expertise to your business—not by comparing monthly prices alone. First list the work you need, then check provider fit, verify who will handle your books, and compare written quotes on the same basis. A bookkeeper’s ongoing recordkeeping is not automatically tax preparation, tax advice, payroll, bill payment, or tax representation.
Decide what work you need done
Before contacting providers, list the tasks you want handled. Ask each candidate to mark every item as included, excluded, or separately priced. That turns a vague quote for “bookkeeping” into a comparison of actual deliverables.
- Transaction categorization and bank and credit-card reconciliations
- Monthly close and financial statements
- Catch-up or cleanup of overdue or inaccurate records
- Accounts payable, accounts receivable, and bill payment
- Payroll and related filings
- Inventory tracking
- Income or sales tax return preparation, tax advice, or representation
These services are not interchangeable. For example, Intuit’s published U.S. QuickBooks Live/Intuit Experts Bookkeeping description includes transaction categorization and account reconciliation, but excludes bill payment, inventory, accounts payable and receivable, payroll, tax filing, and financial or tax advice. Its terms are provider-specific and can change; check the current service description before relying on a particular scope.

Match the service to your business’s complexity
Consider more than the number of transactions. A provider should understand the workload created by your accounts, revenue streams, employees, inventory, sales channels, entity structure, and any backlog that needs cleanup. Relevant experience in your industry and accounting platform can also matter.
DIY may be practical when transactions are limited, operations are straightforward, you know the basics, and you can keep records current. Hiring becomes more attractive when errors are rising, bookkeeping is taking time away from revenue-producing work, the business adds employees or inventory, or records are falling behind.
Xero’s U.S. guide gives fewer than 50 monthly transactions, one revenue stream, and no inventory or employees as an example of a simple setup that may suit DIY. Its FAQ also suggests considering a hire if bookkeeping takes more than five hours a week. Those are Xero’s 2026 rules of thumb, not universal cutoffs; complexity and the need for reliable, timely information matter more than any single threshold. See Xero’s guide to choosing a bookkeeper.

Compare the main service models
| Option | May suit | Verify before choosing |
|---|---|---|
| Independent or local bookkeeper | An owner who values direct contact, local referrals, or a custom scope | References, backup coverage, platform fit, availability, security, and written deliverables |
| Managed online service | An owner who prefers a remote workflow and a defined package | Eligibility, assigned contact, included hours and tasks, exclusions, cleanup terms, and escalation path |
| Hybrid arrangement | An owner who can handle invoicing or document gathering while a professional manages reconciliation and reporting | Clear task ownership, handoffs, and deadlines |
| DIY plus a tax professional | A simple operation with low volume and an owner able to maintain records | Consistent records, suitable software, and a separate tax engagement if needed |
A managed service may impose platform or eligibility requirements. Intuit’s published U.S. documentation, for example, says its service requires QuickBooks Online and a tax return filed in the prior calendar year; it also lists some complex businesses, foreign currency or cryptocurrency activity, and heavily mixed personal and business expenses as possible reasons a business may not qualify. The documentation says cleanup takes about 30 days after the required information is received, and that pricing varies with average expenses and is periodically reassessed. Confirm current details directly with the provider.

Check software compatibility and records access
Ask which accounting platform the provider uses and whether it works with your accountant’s systems. Software compatibility can reduce handoff friction, but the IRS does not require a particular brand or electronic system. The IRS says, “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.” Its recordkeeping guidance says books should ordinarily summarize transactions and show gross income, deductions, and credits; supporting records can include invoices, receipts, bills, deposit slips, and canceled checks.
Ask how you will review current books and reports, what permissions the provider needs, how documents are transferred securely, and how you will receive your records if the engagement ends. Make sure you retain practical access to the books rather than relying only on emailed summaries.
Verify experience and the people doing the work
Ask who will be your regular contact, who performs day-to-day work, and who covers if that person is unavailable. Request references from businesses with a similar model, complexity, or platform, and contact them. Xero recommends checking a provider’s track record and references and suggests inviting your accountant to meet candidates.
Platform directory badges or certifications can indicate training or listing eligibility, but they do not guarantee bookkeeping quality. Xero says its directory listing criteria include at least eight Xero clients and staff trained in Xero; that is a directory threshold, not an independent quality certification. Confirm experience with the specific work your business needs.

Compare the workflow, not just the deliverables
Before signing, agree on the operating details that determine whether the service will work in practice:
- How often accounts are reconciled and when monthly reports arrive
- What documents you must provide, how to submit them, and by what deadline
- How questions, approvals, and missing information are handled
- What access the provider receives to bank and accounting accounts
- How onboarding and any historical cleanup are scoped
- How errors are corrected and unresolved items are identified
- Expected response times and how urgent issues are escalated
Agree on what a successful first close looks like: reconciled accounts, categorized transactions, reports delivered by a set date, documented questions, and a clear list of unresolved items. A first-month review or short pilot can reveal whether the promised process matches reality.
Compare written quotes on the same basis
Ask for written proposals with the recurring fee, what it covers, and any limits on transactions or accounts. Separate one-time onboarding and catch-up charges from ongoing work. Also confirm add-on rates, contract length, cancellation terms, and applicable taxes.

Keep bookkeeping separate from tax qualifications
There is no general requirement that a bookkeeper hold a CPA, enrolled agent, or attorney credential. If you also want a provider to prepare a federal tax return for compensation, verify who will prepare and sign it and confirm that the paid preparer has an active PTIN. The IRS recommends checking credentials and history, asking about fees and availability after filing, and reviewing the return before signing.
Tax credentials affect representation rights, not whether someone is qualified to maintain your books. The IRS says CPAs, enrolled agents, and attorneys have unlimited rights to represent clients before the IRS. PTIN-only preparers have no representation rights for returns filed after 2015, while Annual Filing Season Program participants have limited practice rights. The taxpayer remains responsible for information on the return. See the IRS overview of tax return preparer credentials and qualifications for details.
Frequently Asked Questions
At what point should I hire a bookkeeper?
Consider hiring when errors are increasing, records are becoming overdue, the business is adding operational complexity, or bookkeeping is taking time away from higher-value work. Transaction counts and weekly hours are only rules of thumb, not universal thresholds.

How much do bookkeepers typically charge?
Xero’s U.S. guide reports illustrative rates of $20–$50 per hour or $200–$2,000 monthly, depending on scope and complexity. These are vendor-published figures, not an independent market survey; compare written quotes for your actual workload.
Should I hire a bookkeeper or an accountant?
A bookkeeper can handle ongoing transaction records, reconciliations, and reporting; tax preparation, advice, and representation are separate services that providers may or may not offer. Choose based on the work you need, and verify tax credentials if hiring someone to prepare a federal return or represent you.
