For a personal Microsoft account, start at the Microsoft account dashboard’s storage section. It shows your total cloud usage and quota. Then open OneDrive’s files or storage view to identify large files, and check Outlook.com separately at Settings > Account > Storage for mailbox usage by folder. These views overlap because attachments can affect both Microsoft cloud storage and your Outlook.com mailbox, but they are not the same quota or cleanup screen.

What “Microsoft 365 storage” includes

Microsoft uses several related storage categories. Personal cloud storage can include OneDrive files and photos, Outlook.com attachments and inline images, Teams message attachments and recordings, Loop files, and Designer project images. Outlook.com mailbox storage covers mail and attachments, calendar items, contacts, and deleted messages. Because attachments are mentioned in both descriptions, an attachment can make your overall cloud usage look higher even when you are looking primarily at OneDrive.

The account type also changes the instructions. Personal accounts use the Microsoft account dashboard, OneDrive, and Outlook.com. Work or school accounts use an organization-controlled OneDrive interface and may require administrator permissions. Desktop Outlook has its own mailbox tools, while New Outlook, Outlook on the web, mobile Outlook, and Exchange administrators may expose different controls.

Check your overall personal Microsoft cloud usage

  1. Sign in to the Microsoft account that is displaying the storage warning.
  2. Open the account dashboard and select the Microsoft storage section.
  3. Read the used amount and the total quota shown for that account.
  4. If the number is unexpected, verify the account identity. A person can have more than one Microsoft account, and each account has separate storage.

This dashboard is the best first check because it provides the account-level total. It does not, by itself, explain which individual files or messages are responsible; use the OneDrive and Outlook views below for that diagnosis. Take a screenshot or note of the starting figure if you are carrying out a large cleanup, so you can tell which action actually reduced usage.

Use the account that received the warning, not merely the account that happens to be open in another browser tab. Personal, work, school, and family accounts can all be signed in on the same computer, and switching between them can make a correct number look wrong.

Find the largest items in OneDrive

Microsoft Support’s concise instruction is: “Sign in to OneDrive and see what’s taking up space.” In practice, use OneDrive’s storage or files view and sort through the items shown there. Start with the largest folders or files, then check whether each one is still needed before deleting it.

Prioritize the files that commonly consume the most space

  • Large videos: camera-roll recordings, screen captures, and exported projects can be much larger than ordinary documents.
  • Archives: ZIP files and other compressed archives are easy to overlook because one file can contain an entire old project.
  • Duplicate copies: repeated downloads, backup folders, and multiple versions of the same media add up quickly.
  • Image collections: screenshots and high-resolution photos may be spread across folders rather than stored in one obvious location.
  • Old shared-work copies: exported presentations, rendered videos, and downloaded project packages can remain after a collaboration has ended.

Delete, move, or retain deliberately

Delete files you no longer need, or move retained files out of OneDrive to another location. Downloading a copy to a computer or external SSD does not reduce cloud usage while the OneDrive copy remains; the cloud copy must be deleted or moved out of the synced OneDrive location. Keep a second copy of anything important before deleting it, and check that the moved copy opens correctly.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Be careful with synchronized folders. Removing a file inside a folder that syncs with OneDrive normally removes the cloud copy as well. If your goal is only to stop syncing a folder while keeping it online, use the sync app’s account or folder controls rather than deleting the files.

Attachments and media from other Microsoft services may contribute to the account total even when the OneDrive file list looks small. That is why the dashboard total should be compared with Outlook.com and other relevant services instead of treated as a pure OneDrive measurement.

Empty the OneDrive recycle bin

Deleting a file from a OneDrive folder does not necessarily free the quota immediately. Deleted OneDrive items can continue to count toward cloud use until the online OneDrive recycle bin is emptied.

  1. Open OneDrive on the web and choose the Recycle bin.
  2. Review the deleted items in case you need to restore one.
  3. Select the items you are certain you no longer need, then empty the recycle bin.
  4. Return to the account storage page and allow time for the figure to refresh.

Microsoft says the quota can take up to 24 hours to update after deletion. Emptying the Windows Recycle Bin or macOS Trash is a separate operation and does not empty the online OneDrive recycle bin. If a file was deleted from a synchronized computer, check both places: the local bin can contain the deletion record, while the online recycle bin is the one that affects the cloud quota.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not empty the online bin until you have checked that no business, school, tax, or personal records still need to be restored. Permanent deletion removes the easiest recovery route.

Check Outlook.com mailbox storage

Outlook.com has a dedicated breakdown by folder:

  1. Open Outlook.com and sign in to the same personal Microsoft account.
  2. Select Settings.
  3. Open Account, then choose Storage.
  4. Review the folder-level totals and open the folders with the largest amounts.

Folders and items worth reviewing

  • Inbox: find messages with large attachments that you no longer need.
  • Sent Items: sent mail often retains the full attachment, creating a second copy of a file you already saved elsewhere.
  • Deleted Items: deleted messages can continue to consume mailbox capacity until this folder is emptied.
  • Junk Email: unwanted messages and their attachments still occupy space until removed.

Save attachments you must retain to a computer folder or another storage location, then remove the message or attachment from Outlook.com. Keeping the attachment in the mailbox continues to count it there, and Microsoft’s personal cloud-storage description also includes Outlook.com attachments.

Sent mail is a frequent source of accidental duplication: a large attachment may exist in the original message, in Sent Items, and as a separate OneDrive copy. Decide which copy is the authoritative one before removing anything. If you save an attachment locally or to an external drive, label the folder clearly and maintain a backup if the file is important.

After deleting messages, empty Deleted Items and Junk Email if you need the capacity immediately. As with OneDrive, allow the service time to recalculate totals rather than repeatedly deleting the same items because the number has not changed yet.

Cloud storage and mailbox storage: what is different?

Storage view What it covers Where to inspect it Typical space-releasing action
Microsoft personal cloud storage OneDrive files and photos, plus certain Outlook.com, Teams, Loop, and Designer content Microsoft account dashboard; OneDrive files or storage view for item-level detail Delete or move large OneDrive items, then empty the online OneDrive recycle bin
Outlook.com mailbox storage Mail, attachments, calendar items, contacts, and deleted messages Outlook.com Settings > Account > Storage Remove large messages or attachments and empty Deleted Items and Junk Email
Work or school OneDrive Organization-managed OneDrive content under your employer or school account OneDrive sync app or OneDrive website, using the organizational storage controls Delete or move files according to organizational policy; ask an administrator if controls are unavailable

The two personal views should be checked independently. A low OneDrive total does not prove that Outlook.com is below its mailbox limit, and a tidy mailbox does not prove that OneDrive has available cloud capacity. Conversely, a cloud-quota warning does not automatically mean that your mailbox is full.

Attachments explain much of the confusion. Outlook.com uses mailbox storage for messages and their attachments, while Microsoft’s broader personal cloud-storage description also counts Outlook.com attachments. Treat the two screens as different diagnostic views, even when the same attachment is part of both explanations.

Check work or school OneDrive storage

Organizational accounts use a different route from personal accounts. In the OneDrive sync app:

  1. Select the OneDrive cloud icon in the notification area or menu bar.
  2. Open Settings.
  3. Select Manage storage to open the largest-files page.

On the OneDrive website, the usage value in the left navigation links to the largest files. If you cannot see the usage value or manage storage, your organization may restrict the feature. Contact the site administrator rather than changing personal-account settings or assuming that a personal quota applies.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Organizational retention, legal holds, and shared ownership can also affect what you are allowed to delete. Do not remove a work or school file solely because it is large; follow the organization’s records policy and confirm whether another team owns it.

Use Outlook desktop tools when the mailbox is local or synchronized

Some desktop Outlook versions provide additional diagnostics:

  • Choose File > Tools > Mailbox Cleanup to locate large or old messages and manage deleted items.
  • For a folder-specific measurement, use Folder > Folder Properties > Folder Size.

These commands are version-specific. Do not assume they exist in New Outlook, Outlook on the web, mobile Outlook, or every organizational Exchange configuration. For Outlook.com in a browser, use the dedicated Settings > Account > Storage page instead.

Mailbox Cleanup is useful for finding old or oversized messages, but it is not a replacement for the Microsoft account cloud-storage dashboard. If a warning concerns overall Microsoft storage, check both locations.

Understand the published quota figures

Microsoft’s current quota guidance lists these examples for personal plans:

Account or plan example Published cloud-storage figure Qualification
Free personal account 5 GB Microsoft Support figure accessed in 2026; actual account status is shown in the dashboard
Basic 100 GB Plan-specific figure; verify the subscription attached to your account
Personal 1 TB Plan-specific figure; do not treat it as a universal Microsoft 365 quota
Qualifying new Family and Premium subscriptions 2 TB shared cloud storage Applies to new subscriptions started October 8, 2026; existing subscriptions receive the change at renewals beginning April 1, 2027

Microsoft publishes separate timing for Pro, and plan terms can depend on when a subscription started or renews. The figures above are Microsoft Support statements, not independent survey results. Check the account dashboard and the terms for your own subscription before relying on a number. A plan name alone is not enough to establish your current allowance.

Microsoft’s quota guidance also lists 100 GB of mailbox storage for Microsoft 365 subscriptions. That mailbox figure should not be substituted for the cloud-storage allowance shown on your account; inspect both storage pages when diagnosing a warning. Shared Family storage is also not the same as a private personal allowance: the dashboard is the authoritative place to see what is assigned and available.

What happens when you exceed the cloud quota?

Exceeding the cloud quota can have effects beyond a OneDrive warning. Microsoft says that an over-quota account may be unable to upload, edit, or sync new OneDrive files. Outlook.com may be unable to send or receive mail even when the mailbox quota itself has not been exceeded, and Teams messages with attachments can be blocked.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Those are potential consequences of remaining over quota, not a claim that every account is disabled immediately. Microsoft describes possible OneDrive freezing after three months over quota and possible deletion after six months over quota. Treat those as serious future risks: remove data, empty the online recycle bin, or use an official capacity option before the account remains over its limit.

Freeing a few files but leaving the account above its limit may not restore every function immediately. Recheck the dashboard after synchronization and the stated refresh period. If the account remains over quota, continue with the largest categories rather than assuming a warning is harmless.

A practical cleanup sequence

Use this order when you need to recover space quickly without losing important data:

  1. Confirm the account: match the warning to the correct personal, work, or school sign-in.
  2. Record the baseline: note the used and total amounts on the account dashboard and, separately, Outlook.com storage.
  3. Remove obvious OneDrive giants: target videos, archives, duplicate backups, and oversized image folders first.
  4. Protect retained data: download or move files you need before deleting them from OneDrive.
  5. Empty the online OneDrive recycle bin: this is required for deleted OneDrive data to stop counting toward the cloud quota.
  6. Clean Outlook.com: remove large messages and attachments, then clear Deleted Items and Junk Email.
  7. Recheck after synchronization: allow up to 24 hours for Microsoft’s quota display to catch up after deletion.
  8. Escalate organizational issues: use the administrator route for work or school storage when permissions or policy prevent cleanup.

Work from the largest confirmed items downward. That approach produces a measurable reduction with fewer deletions than sweeping entire folders. Keep a written list of anything moved to an external drive so it can be found later.

Troubleshoot a storage number that still looks wrong

The dashboard and OneDrive do not match

The dashboard is an account-wide cloud total, while OneDrive’s files view focuses on OneDrive content. Outlook.com attachments and other Microsoft services can account for the difference. Check Outlook.com storage and verify that you are signed in to the same account in every tab.

Deleted files still appear to use space

Confirm that you emptied the online OneDrive recycle bin, not only your computer’s Recycle Bin or Trash. Then wait for the quota to refresh; Microsoft allows up to 24 hours.

Mail is blocked but Outlook.com does not look full

Check the overall cloud quota as well as the mailbox page. Microsoft says an over-quota cloud account can affect Outlook.com sending and receiving even when the mailbox-specific quota has not been reached.

You cannot find “Manage storage”

You may be using a work or school account without the required permission, or a different OneDrive interface. Use the organizational OneDrive path and contact the site administrator if the largest-files link is unavailable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A desktop menu is missing

File > Tools > Mailbox Cleanup and Folder > Folder Properties > Folder Size are controls for specific Outlook desktop versions. They are not universal commands for web, mobile, New Outlook, or every Exchange deployment.

The number changes after every refresh

Cloud totals can lag behind a deletion or synchronization event. Stop making duplicate deletions, wait for processing, and then compare the dashboard with the relevant OneDrive or Outlook folder view. If the value remains unexpected after the stated refresh period, verify the account and check other included services.

When paying for more capacity is appropriate

If cleanup would require deleting information you must retain, Microsoft documents subscriptions and additional OneDrive storage as options. Review the plan and account pages while signed in so the displayed quota, renewal date, and eligibility apply to your contract. Do not assume that a plan name or a published figure applies identically to an older subscription.

An external SSD can be useful for keeping downloaded files or saved Outlook attachments outside the cloud. It only reduces Microsoft storage after the cloud copy is removed or moved; simply making another local copy leaves the original usage unchanged. Protect the drive with a backup strategy because it is not automatically synchronized or recoverable like a cloud copy.

Keep storage under control

  • Review camera-roll and screen-recording folders regularly; they often grow faster than documents.
  • Delete temporary ZIP archives after extracting the contents you actually need.
  • Save important email attachments outside the mailbox and remove redundant sent copies when appropriate.
  • Empty OneDrive’s online recycle bin after confirmed deletions.
  • Check both the account dashboard and Outlook.com storage when a warning mentions Microsoft storage generally.
  • For work or school accounts, follow your organization’s retention and deletion policy before removing files.
  • Check large Teams, Loop, and Designer content when OneDrive and Outlook totals do not explain the account-wide figure.
  • Review subscription renewal details because quota terms can change with plan timing.

Bottom line

Use three checks instead of one: the Microsoft account dashboard for the overall personal cloud total, OneDrive’s storage view for large files, and Outlook.com Settings > Account > Storage for mailbox folders. Empty the online OneDrive recycle bin, allow up to 24 hours for updates, and treat work or school accounts as organization-managed. Microsoft’s published figures and over-quota policies can change, so the quota displayed for your signed-in account is the number to trust.

Frequently Asked Questions

How do I check my Microsoft storage?

Sign in to the Microsoft account showing the warning, open the account dashboard, and select its storage section. The page shows the used amount and quota for that account.

How can I see what is taking up space in OneDrive?

Sign in to OneDrive and open its storage or files view. Prioritize large videos, ZIP files, duplicate backups, camera-roll media, screenshots, and high-resolution images.

Why is OneDrive still full after I deleted files?

Deleted items can remain in the online OneDrive recycle bin and continue counting toward the quota. Empty that online bin—not just the Windows Recycle Bin or Mac Trash—and allow up to 24 hours for the figure to update.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I check Outlook storage?

In Outlook.com, open Settings > Account > Storage. The page breaks mailbox usage down by folder, including Inbox, Sent Items, Deleted Items, and Junk Email.

Are OneDrive storage and Outlook mailbox storage the same?

No. They are separate views and limits, although Outlook.com attachments appear in Microsoft’s descriptions of both categories. Check both pages when diagnosing a warning.

What happens if my Microsoft cloud storage is over quota?

Microsoft says uploads, edits, and synchronization of new OneDrive files may stop. Outlook.com sending and receiving and Teams messages with attachments may also be affected. OneDrive may freeze after three months over quota and files may be subject to deletion after six months, so reduce usage or add official capacity.

Why can’t I find Manage storage in OneDrive?

The organizational storage controls differ from personal accounts and may require permission. For work or school OneDrive, use the cloud icon’s Settings > Manage storage route or the usage link on the website, then contact your site administrator if it is unavailable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will copying files to an external drive free Microsoft storage?

No. A local or external copy does not reduce cloud usage while the original remains in OneDrive or Outlook.com. Move or delete the cloud copy only after confirming that the retained copy is complete and protected.

The Bottom Line

Check the account dashboard for the total, OneDrive for large files, and Outlook.com Settings > Account > Storage for mailbox usage. Empty the online OneDrive recycle bin, wait for the quota to refresh, and verify whether you are using a personal or organization-managed account before deleting anything important.
