There isn’t a documented Microsoft 365 Family owner dashboard that ranks every member by storage use. To find who is using the most, have each member check their own Microsoft account’s storage, record the amount and date, then compare the figures. For a OneDrive-only comparison, check each person’s OneDrive storage-management view rather than comparing broader Microsoft storage totals.
Compare each family member’s storage
- Ask each member to sign in to their own Microsoft account. A Family subscription can be shared with up to five other people, for up to six people total, but the storage dashboard is account-specific. See Microsoft’s subscription-sharing instructions.
- Open the Microsoft storage area on the account dashboard. Note the displayed usage and the date checked. Microsoft explains that this view shows storage information for the signed-in account in What is Microsoft cloud storage?
- Use the same kind of figure for everyone. If you want to know who uses the most OneDrive space specifically, each member should also sign in to OneDrive and check its storage-management view. Microsoft’s storage FAQs direct users to OneDrive to see what is taking up space.
- Compare the amounts. A member can simply report their own figure; no one needs to share a password. Keep the metric consistent: don’t compare one person’s Microsoft cloud total with another person’s OneDrive-only amount.
What the storage figure includes
The Microsoft account storage total may include OneDrive files and photos, Outlook.com attachments, and data from other Microsoft apps. As a result, the account dashboard’s total is useful for comparing broad Microsoft storage use, but it may not answer which person has the most OneDrive files. Use the OneDrive view for that narrower question.
Why the Family owner may not see a ranking
The Microsoft support pages reviewed describe storage information for the signed-in account, not a single owner view that ranks every Family member. Comparing figures reported by each member is the practical method documented in those materials. This describes the available documentation, not proof that no regional or newly introduced interface exists.

Account for Microsoft’s changing Family storage model
Microsoft is moving applicable Microsoft 365 Family subscriptions toward a 2 TB shared storage pool. The pages reviewed differ on when that change takes effect: Microsoft’s storage-change notice gives one schedule, while Microsoft’s Australia-specific storage-quota page gives different dates. Because the dates conflict, check the notice attached to your subscription and the current storage page for each account rather than assuming one universal transition date.

A shared quota does not mean members can see one another’s files. Microsoft says each member’s files remain private unless explicitly shared. The 2 TB pool applies according to the subscription’s transition schedule, which can vary by plan and region.

Deleted files or a recent purchase may not immediately change the displayed quota. Microsoft says updates after deletion or purchase can take up to 24 hours; check again later if the figures appear stale. Deleting content or emptying the online OneDrive recycle bin can also take time to register, as described in Microsoft’s cloud storage guidance.
