If you need to find what is taking up space, open OneDrive’s Manage storage view. One important detail: personal Microsoft storage can include Outlook.com and other Microsoft services, not just files in OneDrive.
Three ways to check OneDrive storage usage

1. Check the Microsoft account dashboard
- Sign in to your Microsoft account.
- Open Microsoft storage.
- Review the used storage and quota shown for your account.
This is the best starting point for a personal account because the figure represents Microsoft cloud storage overall, not necessarily OneDrive files alone.
2. Check storage on the OneDrive website
- Open OneDrive on the web and sign in to the account you want to check.
- Open Settings, then select Manage storage.
- Review the usage information and, if needed, the largest files listed.
For a work or school account, the used and available storage appears in the left navigation. Selecting the usage figure opens a view of the largest files. If the organization restricts storage details, contact your Microsoft 365 administrator. See Microsoft’s instructions for work or school OneDrive storage.
3. Check in the sync app or on a phone
Windows or Mac sync app: Select the OneDrive cloud icon in the taskbar or menu bar. Open Help & Settings > Settings to see the storage overview, then choose Manage storage for more detail. Icon placement and labels can vary by app version.

OneDrive mobile app: Tap your profile picture or person icon, then tap Settings. The available storage details can vary by account and app version. Microsoft also documents a personal-storage refresh route in Outlook mobile: open your profile, go to Settings, select the account, then Storage.
Microsoft says a yellow warning triangle on the sync cloud icon means storage is nearly full; a red circle with a white minus sign means the allowance has been exceeded. These icons signal status, rather than showing a complete breakdown of what is using space. See Microsoft’s OneDrive settings instructions.

What the storage total includes
Personal Microsoft accounts
The personal Microsoft storage total can include OneDrive files and photos, Outlook.com attachments and inline images, Teams message attachments and recordings, Loop content, Designer project images, and items in the OneDrive Recycle Bin. Microsoft states: “Your recycle bin also contributes to your cloud storage usage.” Read What is Microsoft cloud storage?
That’s why the Microsoft storage total may not match the size of the files you can see in your OneDrive folder. Microsoft also describes changes to how email features and storage work.

Work or school accounts
Microsoft’s work or school OneDrive guidance describes the quota as including OneDrive files and folders and items in the Recycle Bin. Do not assume that every personal-account storage category applies to an organization’s account; your organization’s settings and policies may differ.
How much OneDrive storage should you have?
Microsoft’s storage quota page lists 5 GB for a free account, 100 GB of cloud storage for Basic, and 1 TB for several named Microsoft 365 consumer plans. These are the plan figures displayed by Microsoft on October 5, 2026; plan availability and exact entitlements can depend on your account and region. Check the current quota information and your account’s own storage view rather than assuming a figure applies to every user.

What to do if OneDrive is nearly full
- Find large items. Use OneDrive’s Manage storage view, especially the largest-files view available for work or school accounts. Review videos, screenshots, archives, and other items you no longer need.
- Delete only what you are willing to remove. Follow Microsoft’s guidance to delete OneDrive files or folders.
- Empty the OneDrive Recycle Bin online if you intend to reclaim its space. Deleting a file may move it to the Recycle Bin, where it can still count toward personal Microsoft storage. Emptying your computer’s Recycle Bin or Trash is a separate action.
- Check the quota again after it updates. Microsoft says deletion and purchased storage increases can each take up to 24 hours to appear. This is a support-page estimate, not a guaranteed update time.
- If you still need room, review available storage options. Buying or upgrading storage is subject to the account’s plan and regional availability.
What happens when a personal account exceeds its quota?
Microsoft says that when personal Microsoft storage is over quota, new OneDrive uploads, edits, and syncs can stop, and existing files become read-only. Outlook.com email and Teams messages with attachments can also be affected. Microsoft’s current quota guidance says an over-limit OneDrive may be frozen after three months and may be deleted after six months. These are Microsoft’s stated policies and can change; consult the quota page for current terms. Microsoft also explains restrictions in its Microsoft storage FAQs.
