In Outlook, “default calendar” can mean two different things: the calendar Outlook uses for new appointments, or the account and data file Outlook treats as its primary calendar. The steps depend on whether you use classic Outlook for Windows, new Outlook, Outlook on the web, or Outlook for Mac.
One limitation is important: Outlook does not normally let you turn an arbitrary secondary calendar—such as a shared calendar, internet calendar, or separately created calendar—into the primary calendar for an account. You can select that calendar when creating an event, but the account’s main Calendar folder remains the default.
What you can change in Outlook

Set the default account in classic Outlook for Windows
If you have more than one email account in classic Outlook, new appointments and other items are normally associated with the account Outlook treats as the default. You can change that account.

- Select File.
- Select Account Settings, then select Account Settings again.
- On the Email tab, select the account you want Outlook to use by default.
- Select Set as Default.
- Select Close.
- Restart Outlook and create a test appointment.
If Set as Default is unavailable, the selected account may already be the default, or your account setup may be controlled by your organization.

Also check the default data file
In some Outlook profiles, especially profiles containing several accounts or older POP accounts, the default account and default data file do not line up. Check both settings:
- Go to File > Account Settings > Account Settings.
- Open the Data Files tab.
- Select the data file associated with the account you want to use.
- Select Set as Default.
- Select Close, then restart Outlook.
The default data file determines where Outlook stores certain default folders, including the Calendar folder used by that profile. If you are using a Microsoft 365 account, avoid changing or removing the data file unless you know which account it belongs to.
Choose a different calendar for a new appointment
This is the most reliable method when you want an appointment to belong to a secondary, shared, or delegated calendar.

- Open Calendar in Outlook.
- Choose New Appointment or New Event.
- In the event window, locate the Calendar field or calendar selector. Its exact position varies by Outlook version.
- Select the calendar where the event should be stored.
- Enter the subject, date, time, and other details.
- Select Save.
If the calendar selector is not visible, create the event while the target calendar is selected in the Calendar navigation pane. Outlook commonly uses the currently selected calendar for a new event.

Move an existing appointment to another calendar
Changing the calendar after an event has already been created is a separate operation.
- Open the appointment.
- Use Move or Copy to My Calendar, depending on your Outlook version.
- Select the destination calendar.
- Save the appointment.
You can also drag an event from one visible calendar to another in the calendar grid. Be careful with meetings: moving a meeting may affect its organizer, attendees, or meeting updates. For a meeting organized by someone else, copying the event may be safer than moving it.
Use a shared or delegated calendar as your working calendar
You can add another person’s calendar or a shared calendar to Outlook and use it when creating events, provided you have permission to create or edit items there.
- Open Calendar.
- Add the shared calendar using your organization’s normal method, such as Add Calendar, Open Shared Calendar, or the address-book picker.
- In the calendar list, select the shared calendar so it appears alongside your own.
- Create the event while that calendar is selected.
Having Editor or Author permission does not necessarily make the shared calendar your default calendar. It only determines what you can do in that calendar.

New Outlook for Windows and Outlook on the web
New Outlook and Outlook on the web are account-centered rather than profile-centered. They generally use the primary Calendar folder belonging to the account you are signed into. There is no classic-Outlook-style setting that converts a separately created secondary calendar into the primary calendar.
To place an event on a different calendar:
- Select Calendar.
- Select New event.
- Open the calendar drop-down in the event form.
- Select your secondary, shared, or delegated calendar.
- Complete the event and select Save.
If you have several accounts, select the account or calendar shown in the event form before saving. If the required calendar is missing, add it first through Add calendar or ask the calendar owner or administrator for access.
Outlook for Mac
Outlook for Mac normally uses the primary calendar associated with the selected account. It does not generally provide a setting for promoting an arbitrary secondary calendar to the account’s primary calendar.
To save an event to another available calendar:
- Open Calendar.
- Create a new event.
- Use the calendar selector in the event window.
- Choose the required calendar.
- Save the event.
If you work with multiple accounts, check the account and calendar selectors before saving. A calendar can be visible in Outlook without being writable; a permission error when saving usually means the calendar owner has not granted sufficient access.

If you mean the default calendar application in Windows
Sometimes “default calendar in Outlook” means making Outlook open calendar links and calendar-related actions instead of another Windows application.
- Open Windows Settings.
- Select Apps > Default apps.
- Search for Outlook or select the current calendar-related application.
- Assign Outlook to the relevant link and file types, where Windows offers that choice.
The exact list depends on your Windows version and whether you use new Outlook or classic Outlook. This changes which application opens calendar links; it does not change the calendar in which Outlook stores appointments.

The calendar shown first is also different from the default calendar used for new events. In classic Outlook for Windows, you can change the startup folder:
- Select File > Options.
- Select Advanced.
- Under Outlook start and exit, select Browse next to Start Outlook in this folder.
- Select the Calendar folder you want Outlook to open.
- Select OK, then restart Outlook.
This works best for a Calendar folder in your Outlook profile. It does not make a shared or secondary calendar the account’s primary calendar, and availability can vary with Exchange permissions and Outlook version.

FAQ
Can I make a secondary Outlook calendar the default calendar?
Usually not. Outlook treats the account’s primary Calendar folder as the default. You can select a secondary or shared calendar when creating each event, or change the default account/data file in classic Outlook for Windows.
Why does Outlook keep saving appointments to my personal calendar?
Your personal calendar is probably selected in the event form, or it is the primary calendar for the default account. Select the required calendar before saving. In classic Outlook, also check File > Account Settings > Account Settings on both the Email and Data Files tabs.
Can I set a shared calendar as the default for everyone?
No. A shared calendar’s visibility and editing permissions are separate from Outlook’s default-calendar behavior. An administrator can manage permissions, but users normally still select the shared calendar when creating events.

No. It affects where new items are associated or stored. Existing appointments remain on their original calendars unless you move or copy them.
What is the difference between the default calendar and the startup calendar?
The default calendar is the calendar Outlook uses for new items. The startup calendar is the calendar Outlook displays when it opens. In classic Outlook for Windows, you can change the startup folder under File > Options > Advanced without changing the primary calendar.
The Bottom Line
For classic Outlook on Windows, change the default account and, when necessary, the default data file through File > Account Settings > Account Settings. For new Outlook, Outlook on the web, and Outlook for Mac, the primary account calendar generally cannot be replaced with an arbitrary secondary calendar. Select the intended calendar in the new-event form instead, and make sure you have permission to add or edit items there.
