In New Outlook for Windows, open Settings with the gear icon in the upper-right corner. To manage a specific account, go to View > View settings (or File > Account info) > Accounts > Your accounts. Sync options depend on the account provider: Microsoft’s documentation does not establish one universal calendar-and-contacts switch for every account.
Open account settings in New Outlook for Windows
- Make sure you are using New Outlook for Windows, not Outlook on a phone or tablet.
- Select the gear icon in the upper-right corner to open Settings.
- To manage an account, open View > View settings or File > Account info, then select Accounts > Your accounts.
- Select the account or account-management action you need, then follow that provider’s setup or authorization steps.
Microsoft says changes to settings in New Outlook for Windows are also reflected in Outlook on the web. Labels and available options can vary by account and product rollout.
Check what your account type syncs
The account provider and connection method determine whether calendar and contact data can appear in Outlook. Microsoft’s documentation distinguishes these behaviors:

Do not assume that a provider’s calendar and contacts support in Outlook for iOS or Android, Outlook for Mac, or another Outlook version also applies to New Outlook for Windows. Microsoft documents feature availability by client.

Understand the Microsoft Cloud option before enabling it
For the non-Microsoft cloud-sync pathway described by Microsoft, syncing means a copy of email, calendar, and contacts is synchronized between the email provider and Microsoft data centers. Microsoft says its Services Agreement and Privacy Statement apply to that copy, while the provider’s terms and privacy policy continue to apply. Review Microsoft’s cloud-sync explanation before choosing that route.
Keep Outlook contacts separate from Teams contact sync
New Outlook’s People area can search, add, edit, and delete Microsoft-account contacts; changes are reflected in other places signed in to that Microsoft account. People may also show contacts synced through Microsoft Teams. This is not a universal calendar-and-contacts setting for every Outlook account. Microsoft documents the separate Teams path as Settings and more > Settings > People > Sync contacts > Manage. Removing a synced source in Teams does not remove those contacts from Microsoft servers, according to Microsoft’s contacts guidance.

If calendar or contacts still do not appear
- Identify the account type. Check whether it is Exchange, Gmail, Yahoo, iCloud, or an IMAP/POP account, then confirm that the account type and New Outlook for Windows support the data you expect.
- Check the provider setup. In Accounts > Your accounts, select the relevant account and complete any provider authorization or setup flow offered there. For iCloud, the documented flow includes the sync step and Apple authorization.
- For a work or school account, ask your administrator. Organizational policies can affect account support or whether New Outlook is available. Microsoft notes that some support and the New Outlook toggle may depend on administrator availability or blocking; see its New Outlook getting-started guidance.
If the problem is in Outlook on a phone or tablet
Mobile troubleshooting is different from changing settings in New Outlook for Windows. Microsoft advises checking that the account’s Calendar is selected in Outlook mobile, verifying the operating system’s Contacts permission, and using account reset or remove-and-add steps where appropriate. Its mobile guidance also says an IMAP setup will not provide calendar or contacts through IMAP. Follow the steps for your device in Microsoft’s phone and tablet sync troubleshooting; these are not Windows New Outlook controls.
