To categorize business expenses accurately, record what each transaction was for, identify its business purpose, separate any personal-use share, and retain records that support the amount and treatment. For U.S. federal tax purposes, many business expense deductions must be ordinary and necessary, but a bookkeeping label alone does not make a cost deductible. The right treatment can depend on your business structure, tax year, and the facts of the transaction.

How to categorize business expenses

Use a consistent chart of accounts that reflects how your business operates. IRS guidance generally allows a bookkeeping system of your choice if it clearly shows income and expenses; it does not require a particular software package or paper format. Schedule C categories can help sole proprietors organize records, but Schedule C is not the reporting framework for every entity, and bookkeeping accounts do not always map one-to-one to tax return lines.

  1. Capture the transaction. Record its date, amount, payee, payment account, and a clear description. Keep the receipt, invoice, bank or card record, or other source document.
  2. Identify the business purpose. Note how the purchase relates to the business, especially for unusual or ambiguous transactions.
  3. Choose a consistent account. Use the category that best describes the transaction, rather than selecting an account simply because it appears on a tax form.
  4. Allocate mixed use. Record the full transaction and separately identify a supportable business-use share when the item also serves personal purposes.
  5. Flag assets and unusual costs. Route equipment, property, and improvements for review before treating them as routine expenses.
  6. Reconcile and review. Regularly compare books with bank and card statements, retain supporting records, and review tax reporting categories for the business’s entity and return type.

For federal tax purposes, the IRS describes an ordinary expense as common and accepted in the trade or business, and a necessary expense as helpful and appropriate. Necessary does not mean indispensable. The IRS puts the general rule this way: “To be deductible, a business expense must be both ordinary and necessary.” (IRS Publication 583.) Whether a specific cost qualifies still depends on applicable rules and the facts.

Common business expense categories

These are common bookkeeping categories, not a guarantee that every transaction in them is deductible. Keep enough detail to identify the purchase and review special treatment where noted.

Category Examples and bookkeeping cautions
Advertising and promotion Record the vendor, campaign or item, and business purpose; retain invoices.
Bank and payment fees Track account or processing fees separately from loan principal, owner transfers, or other cash movements.
Insurance Identify the policy and coverage period. A premium paid in advance for multiple years may need to be allocated across those years.
Legal and professional services Separate business work from personal work. Fees associated with acquiring an asset may need to be included in its basis rather than treated as routine operating costs.
Office supplies and postage Keep invoices and distinguish consumable supplies from durable property that may need asset review.
Repairs and maintenance Describe the work performed. Routine repairs can be treated differently from improvements that better, restore, or adapt property.
Taxes, licenses, and permits Identify the tax or fee and the jurisdiction. Some taxes may be part of another cost; personal taxes are not automatically business expenses.
Utilities and communications Allocate mixed personal and business use where required. Costs connected with business activity in a home can be subject to home-office rules.
Payroll, benefits, and contractor costs Maintain payroll and payment records and use accounts suited to the business and its tax reporting framework.
Travel Record the business purpose, dates, destination, and relevant expenses. Business travel and commuting are treated differently.
Meals Record the business purpose and attendees. Applicable requirements include the taxpayer or employee being present and the expense not being lavish or extravagant; the deductible share is generally 50% under the cited federal guidance.
Vehicle Track business mileage or actual costs, as applicable, and keep details that support business use and any personal-use allocation.
Equipment and other property Flag purchases for review of capitalization, basis, placed-in-service date, depreciation, and any applicable election.
Home office Check eligibility before calculating a deduction. Keep records of the area and its qualifying use.

Separate business expenses from personal costs

A business card payment does not turn a personal purchase into a business expense. Personal, living, and family expenses are generally not deductible as business expenses. If an item has both business and personal use, preserve the full transaction and a reasonable, supportable allocation; do not leave the personal share in business expenses.

Vehicles and home expenses have specific allocation and eligibility rules. Keep contemporaneous details that substantiate the business portion rather than relying only on a year-end estimate. The applicable records vary by expense and method.

Know when a purchase may be an asset

Do not automatically categorize expensive equipment, property, or improvements as supplies or repairs. Some costs must be capitalized and recovered through depreciation or another applicable tax treatment instead of being deducted in full as a current operating expense. Improvements may receive different treatment from routine repairs.

Before posting a significant purchase as an immediate expense, gather its cost and acquisition details, determine when it was placed in service, and flag it for review under the rules for the relevant tax year. Keep the records needed to establish basis and depreciation method. The correct result can depend on current law, elections, and the particular facts.

Apply extra care to travel, meals, and home-office costs

Travel

Business travel generally involves being away from your tax home substantially longer than an ordinary workday and needing sleep or rest to meet work demands. A tax home is generally the regular place of business, not necessarily the family residence. Commuting is different from deductible business travel. Record the dates, destination, business purpose, and supporting costs. See the IRS guidance on travel, gifts, and car expenses.

Meals

Meal deductions have conditions beyond the choice of bookkeeping category. The cited 2025 Schedule C instructions describe requirements including that the taxpayer or employee be present and that the expense not be lavish or extravagant; the general deductible share is 50%. Keep the receipt and note who attended and the business reason. Check the instructions for the tax year being reported because rules can change.

Home office

The IRS simplified option calculates a deduction at $5 per square foot of qualified business-use area, up to 300 square feet. Those figures describe the simplified method, not an automatic deduction for anyone who works from home. The method changes calculation and recordkeeping mechanics; it does not remove the qualification criteria. Keep records of the area and qualifying use, and distinguish expenses related to business activity from expenses for use of the home itself. See IRS home office deduction guidance.

Keep records that support your categories

Books organize transactions; source documents and notes help substantiate them. Retain receipts, invoices, statements, mileage or trip records where relevant, and information explaining the business purpose and any allocation. A paper ledger or checkbook can be part of a recordkeeping system, but neither replaces supporting documents. The IRS places responsibility on the business to support items reported on its return, while generally allowing any system that clearly shows income and expenses.
