For an SOP, capture the screen state the reader needs to recognize—not automatically the entire desktop. Set up the relevant page or app, choose a region, window, or full-screen capture, then review the image for legibility and sensitive information before inserting it next to the matching instruction. Windows, Mac, Chromebook, iPhone, and Android all have built-in capture tools for ordinary screenshots.
Plan the screenshot before you take it
A useful procedure screenshot answers a visual question: which button should I select, what should the form look like, or where will I see the result? Prepare that exact state first. Close unrelated windows, navigate to the right screen, and make sure the relevant control, status, or message is visible. Microsoft’s guidance puts it simply: “Set up your screen so you can clearly see what you want to capture.” (Microsoft Support)
Choose the capture scope
- Selected area: Use a rectangle around a control or small group of fields when extra screen content would distract.
- Window: Capture the app or dialog when surrounding context helps the reader identify where they are.
- Full screen: Use it when the page layout or relationship between distant controls matters. Crop unrelated desktop content during review if appropriate.
These are practical choices, not universal rules. Preserve enough context that the reader can locate the control without making the screenshot so wide or busy that its details become hard to see. If a menu or tooltip disappears when you interact with it, use a timer or delay if the platform offers one.
Keep the visible state meaningful
Capture the state that matches the procedure step: for example, a field before entry, a confirmation after submission, or the exact error the reader may need to recognize. Avoid showing a mixture of states that could make the action ambiguous. If the screen contains personal or confidential data, remove or redact it before sharing the image.

Capture on Windows
On Windows, press Windows key + Shift + S to open the Snipping Tool capture overlay. Its documented options include rectangle, window, full screen, and freeform captures. The Print Screen key can copy a full-screen snapshot to the clipboard. Available controls can vary by Windows version, so use the current Snipping Tool interface on the device.
- Open the screen or dialog the SOP will describe.
- Press Windows key + Shift + S.
- Choose the capture mode and select the area, window, or screen.
- Open the resulting capture in Snipping Tool to annotate, crop, save, or share it.
Snipping Tool also offers shapes and annotation tools. Its Text Actions feature can recognize text and offer quick redaction for email addresses and phone numbers. Microsoft says that text recognition is performed locally on the device. Treat quick redaction as assistance, not a full privacy review: inspect the entire image for names, account details, notifications, or other information the feature may not identify.
Capture on Mac
On macOS Mojave 10.14 or later, press Shift-Command-5 to open the Screenshot app. It includes a timer, save-location selection, and an option to show the pointer. Use the controls to capture the whole screen, a window, or a selected portion, then save and inspect the result. See Apple’s screenshot instructions for the current controls.
Some apps, including Apple TV, may prevent window screenshots. If a window capture is unavailable, use another appropriate capture scope only if doing so is allowed and does not expose protected content. Supported Mac models running macOS Tahoe 26 or later can select SDR (PNG) or HDR (HEIF); this format choice is specific to those supported models and software versions.

Capture on Chromebook
On a Chromebook, use the Screenshot key if your keyboard has one, or open Quick Settings and select Screen Capture. The tool supports full-screen, partial, and window screenshots. For an external keyboard without a Show windows key, Google documents Ctrl + Shift + F5 as an alternative. See Chromebook Help for device-specific instructions.
Captures are copied to the clipboard, and screenshots and recordings are saved to Downloads by default. You can select another folder. After capture, confirm where the file went before adding it to the procedure project.
Capture on iPhone
On iPhone models without a Home button, press and release Side button + Volume Up together. On models with a Home button, press and release Home + Side. The preview provides crop and Markup tools. For supported content such as a Safari webpage, it can also offer Full Page. Full-page capture is useful when the procedure needs a long page’s content, but check that the resulting image remains readable at the size readers will see. Capture on Android
Power + Volume Down is a common Android screenshot shortcut, but button combinations can differ by device. If it does not work, check the device maker’s instructions. On Android 12 and later, scrolling screenshots are available on most screens that allow scrolling. Open the capture in Photos or, on some older setups, Gallery to view, edit, or share it. Review, annotate, and save for the procedure
Make annotations helpful, not obstructive
Use a small number of arrows, boxes, or highlights to direct attention to the control or result described in the step. Keep labels and interface state visible; an annotation that covers a button label, field value, or error message can undermine the instruction. Crop away irrelevant surroundings while retaining enough context for orientation.
Check privacy and readability
- Inspect the whole image for names, email addresses, phone numbers, account identifiers, notifications, and confidential content.
- Check that annotations do not hide important labels or the state the reader must verify.
- Open or preview the image at the size readers will see it in the published procedure. There is no single pixel or contrast threshold established by the cited platform guides; use the actual display context to judge whether details are legible.
Save and place the image predictably
Save screenshots in a consistent project folder with ordered, descriptive names, such as 03-submit-expense.png. This is a practical naming convention, not an official standard. Insert each image near its corresponding action, and add a useful caption or accessible alternative text in the publishing system. Reopen the procedure and inspect the placed image to ensure it still supports the step at its rendered size.

These are documented workflow traits, not benchmark results or a claim that one platform produces better SOPs. Use the built-in tool that fits the device and the capture scope your instruction needs.

The shortcut does nothing
Confirm the platform and device first: Mac uses Shift-Command-5 on macOS Mojave 10.14 or later; Chromebook keyboard layouts vary; Android button combinations vary by manufacturer; and iPhone combinations depend on the model’s Home button. If a shortcut is unavailable or behaves differently, use the platform’s on-screen capture tool or consult the device maker’s instructions.

The menu closes before you capture it
Use a timer or delay where available, such as the timer in the Mac Screenshot app, then open the menu and let the capture run. Alternatively, choose a capture mode that lets you select the relevant area without dismissing the state you need.
A window cannot be captured
Some applications restrict window screenshots; Apple notes that apps including Apple TV may prevent them. Do not try to bypass a content restriction. If you have permission to document the screen, capture a different permitted view or explain the step without exposing protected content.
The screenshot is hard to read in the SOP
Crop less aggressively if the reader has lost context, or crop more if unrelated desktop content distracts. Reposition or reduce annotations that cover labels. Preview the image within the actual procedure rather than judging only the original file.
The screenshot contains sensitive information
Redact or recapture before sharing. Windows Snipping Tool can offer quick redaction of recognized email addresses and phone numbers, but inspect for other identifiers and sensitive details yourself. If the information cannot be reliably removed, stage a safe example screen and capture that instead.
