After signing in to your university’s official student portal, open the page you need to document and capture only the relevant status, message, or record. The shortcut depends on your device: Windows uses Windows key + Shift + S, Mac uses Shift + Command + 5, and most Android devices use Power + Volume Down. Check the image for legibility and sensitive information before sharing it through the channel your university specifies.
Before you capture the portal page
- Go to the university’s official portal address and sign in. Portal layouts, login steps, and evidence requirements vary by institution; use your university’s instructions if they differ from these general steps.
- Open the specific page that shows the issue or information you need to document. Arrange it so the relevant message, status, or record is visible.
- Use a partial or selected-area capture where available. This keeps unrelated desktop and browser content out of the screenshot.
- Open the image and confirm that the necessary content is readable and complete. If the recipient needs context, make sure the relevant page heading or status is included.
- Before sending, inspect the full image for passwords, payment details, student identifiers, grades, notifications, browser tabs, or other people’s information. Redact details the recipient does not need, while leaving the evidence that explains the issue visible.
Take the screenshot on your device
Windows 10 and Windows 11
- Press Windows key + Shift + S to open the Snipping Tool overlay.
- Choose a capture mode: rectangular, freeform, window, or full screen. For a portal record, rectangular selection is often useful when you only need part of the page.
- Select the area to capture. The snip is copied to the clipboard; open Snipping Tool if you need to review or save it as a file.
Microsoft notes that when a browser snip is saved as HTML, the URL appears below it; the Snipping Tool option can disable that URL display. Review the saved image or file before sharing so it contains only what you intend.
Mac
- Press Shift + Command + 5 to open the Screenshot app.
- Choose the screenshot tool you need. For a partial screenshot, select and adjust the frame around the portal content.
- Capture the page and open the resulting image to check that the important text is legible.
iPhone or iPad
- Face ID model: Press and release the side button and volume-up button together.
- Home button model: Press and release Home and the side button (or Sleep/Wake button, depending on model) together.
Button names and placement vary by model. Review the screenshot before sending it, particularly if notifications or other personal information appear on screen.

- Press the device’s Screenshot key if it has one. Otherwise, press Shift + Ctrl + Show windows to open Screen Capture.
- Choose Screenshot, then select full-screen, partial-screen, or window capture.
- Capture the portal content and check the result. Google says screenshots are saved in Downloads by default and copied to the clipboard; you can change the save folder in Screen Capture settings.
Android
On most Android devices, press Power + Volume Down together. The screenshot generally appears in Gallery or Photos. The exact combination or menu can vary by manufacturer and model; if it does not work, use the device’s screenshot command or consult the manufacturer’s instructions.

Review and share the screenshot safely
A signed-in student portal can display private account information. Check the entire captured image, not just the center of the page. Hide or redact sensitive details the recipient does not need, but do not obscure the status or message needed to understand the problem. Send the screenshot only through the upload page, support channel, or other method specified by the university or intended recipient.
There is no single screenshot-handling or retention rule established for every Indian university. Requirements depend on the institution and why the screenshot is being requested, so follow the relevant university instructions.
When screenshot capture is blocked
A university-managed browser or device may have administrator restrictions. Google documents screenshot-prevention controls for qualifying managed Chrome environments. Microsoft’s Edge policy documentation says its screenshot restriction does not prevent every method: Web Capture or methods outside the browser may still work. These policy documents describe available administrator controls; they do not show that any particular university has enabled them.
Do not try to bypass a university restriction. Contact the university’s IT desk or the support team handling your request and ask for an approved way to provide the necessary evidence.
